Automated Intelligent Call Routing: A Plain-English Guide for Small Businesses
Automated intelligent call routing means software decides where an incoming call should go instead of a person or a simple menu. The system listens to what the caller says or needs, matches it against your business information, and sends the call to the right place: a transfer to you, a booked appointment, or a message you can review later. This guide explains how it works, what it can realistically do, and how to set it up on your existing phone number.

What Automated Intelligent Call Routing Actually Means
Traditional call routing follows fixed rules: press 1 for sales, press 2 for billing. Intelligent routing adds a layer of understanding. Instead of asking callers to navigate a menu, the system can interpret the reason for the call in plain language and act on it. For a small business, that usually means one of three outcomes: the caller is transferred to the owner or a chosen number, the caller books an appointment, or the system takes a message.
It helps to separate two ideas. Routing is the decision about where a call goes. Handling is what happens during the call, like answering questions or collecting details. Many businesses combine both: an automated system answers first, handles routine questions, and routes the calls that genuinely need a human. If you want a broader look at routing tools in general, our call routing software guide covers the category in more depth.
The distinction matters when you shop. A tool that only routes calls still leaves someone to answer them; a tool that only answers still leaves you to sort the calls afterward. Intelligent routing earns its name when the system both understands the call and acts on that understanding without you in the loop.
- Fixed routing: callers follow menus and pick a department themselves.
- Intelligent routing: the system interprets the caller's need and decides where the call should go.
- Common outcomes: transfer to a configured destination, appointment booking, or a message for the owner.
- Routing and handling are separate decisions; most small businesses want both.

How It Works in Practice
With AllDayDesk, the system answers calls around the clock using the business information you save. It can answer questions from that information, book new appointments, and take messages when it does not know an answer, a price, or an opening. If a call needs you directly, it can transfer the caller to a destination you configure, along with rules for when transfers happen. Transfers are not guaranteed to be picked up or answered immediately, so the system is designed to take a message when it cannot confirm an answer rather than guess.
Everything the system does shows up in your dashboard: calls, transcripts, summaries, and bookings. New appointments go on the built-in AllDayDesk calendar by default, once you have set up your services and availability. If you prefer Google Calendar, you can optionally connect and authorize your Google account in Settings. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.
Setup follows a fixed path: choose your business or enter its website, check the details the system pulled together, hear a personalized sample built from that information, and then choose your phone setup option. The sample is a preview only and creates no real booking, so you can listen without worrying about your schedule.
- The system answers using your saved business details and can give a personalized sample before you commit.
- Unknown answers, prices, or openings become messages instead of guesses.
- Transfers require you to configure a destination and rules in advance.
- Calls, transcripts, summaries, and bookings appear in the dashboard.
- New bookings use the built-in calendar; Google Calendar is an optional connection in Settings.

Keeping Your Number: Forwarding Setup
You do not have to change your public phone number. You keep it and forward calls to the service. The exact steps depend on your phone provider, so check which product you actually have before entering any codes. Two examples from provider documentation: on Verizon mobile, dial *72 plus the 10-digit destination to forward all calls, *71 for unanswered calls, and *73 to turn forwarding off; on T-Mobile, **21*1 followed by the destination and # enables unconditional forwarding, and ##21# disables it.
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If you are unsure whether your line supports forwarding, or which type you have, our call forwarding service guide walks through the options. Conditional forwarding (busy or no-answer only) is a common choice for owners who want to answer their own phone during the day and let the system cover the rest.
Forwarding rules come in two flavors, and mixing them up is the most common setup mistake. Unconditional forwarding sends every call to the destination immediately. Conditional forwarding only sends calls when your line is busy, unanswered, or unreachable. Most owners who still answer their own phone during business hours pick conditional forwarding so daytime callers reach them directly and the automated system covers the rest.
- Verizon mobile: *72 plus destination forwards all calls; *71 covers unanswered calls; *73 disables.
- T-Mobile: **21*1 plus destination and # for all calls; ##21# disables.
- Forwarding setup must be done from your line, and charges depend on your plan.
- Google Voice numbers cannot be forwarded to an automated system.
- Identify your exact carrier product before using any code; instructions differ between products.

Decisions to Make Before You Turn It On
Routing only works well when the system knows your business. Before enabling it, decide what callers should be able to book, what your availability looks like, and which calls you want transferred versus messaged. Most owners answer their own phone, so think about when you actually want to be interrupted and when a message is enough.
A simple framework: transfer anything urgent and time-sensitive that you have defined in your transfer rules; book anything that fits a service and time slot; message anything the system cannot confirm, like a price you have not listed or a request to change an existing appointment. Review your dashboard transcripts after the first week and adjust what counts as a transfer-worthy call.
Write your transfer rules down before you configure them. A short list, such as transfer calls about today's schedule changes and let everything else become a booking or a message, gives you something concrete to test against during the first week instead of guessing call by call.
- Define your bookable services and availability first; booking depends on them.
- Choose transfer destinations and rules before enabling transfers.
- Expect messages, not guesses, for unknown prices or answers.
- Existing appointment changes arrive as requests for you to approve.
- Review transcripts and summaries to tune your rules.

Honest Limits to Know About
Automated routing is useful, but it has boundaries worth understanding up front. Around-the-clock availability does not guarantee every call connects, and a configured transfer is not a promise that you will pick up or respond immediately. The system also does not connect to dispatch software, CRMs, health records, or industry scheduling tools; the only external calendar connection is the optional Google Calendar setup in Settings. And it will not collect sensitive medical, legal, financial, or payment details, or give medical, legal, or financial advice.
Knowing these limits helps you set realistic rules. For example, if a caller needs something the system cannot confirm, it takes a message so you can follow up yourself. That is usually the outcome you want anyway for anything high-stakes.
The same honesty applies to what the system does not do: it does not flag calls as emergencies, dispatch technicians, verify insurance, or promise response times. If your business depends on any of those, plan for a human process outside the phone system to cover them.
- Availability is 24/7, but no system can guarantee every call connects.
- Transfers depend on your configured destination and rules; pickup is not guaranteed.
- No connections to dispatch, CRM, health records, or industry software; Google Calendar is the only optional external calendar.
- Sensitive medical, legal, financial, or payment details are not collected.

More questions, answered
Do I need a new phone number?
No. You keep your public number and forward calls to the service. The forwarding steps depend on your phone provider, so identify your exact product before entering any codes.
Can it connect to my Google Calendar?
Yes, optionally. New appointments use the built-in AllDayDesk calendar by default. If you want Google Calendar instead, connect and authorize your Google account in Settings.
What happens if the system does not know an answer?
It takes a message instead of guessing. Unknown answers, prices, or openings are collected as messages you can review in the dashboard.
Will callers always reach a person through transfers?
No. Transfers use a destination and rules you configure, but neither pickup nor an immediate response is guaranteed. That is why the system takes messages when it cannot confirm something.
Can I hear what it sounds like before signing up?
Yes. During setup you enter your business or website, check the details, and hear a personalized sample. The sample does not create any real booking.
