Call Handling System: What Happens During a Business Call, Step by Step
A call handling system is the set of rules and steps that decide what happens when someone calls your business: who or what answers, what the greeting says, what information gets collected, how appointment requests are handled, and when a call is transferred or a message is taken. This guide walks through each stage so you can set yours up with clear expectations. With AllDayDesk, an AI receptionist answers calls around the clock using your saved business information.

What a call handling system actually covers
People sometimes use "call handling system" to mean phone hardware or software. Here it means the workflow itself: everything that happens between the first ring and the end of the call. A complete system answers four questions.
First, who answers? That could be you, a human receptionist, an automated menu, or an AI receptionist like the one AllDayDesk provides. Second, what does the caller hear first? Third, what information is collected before the call ends? Fourth, how does the call wrap up — a booked appointment, a transfer to you, or a message for you to follow up on?
If you already have software in place and want to compare tools, our guide to call handling software covers that category separately. This page focuses on the call itself.
- Who or what picks up the call
- The greeting the caller hears
- What details are captured from the caller
- How appointment requests are handled
- When a call is transferred versus when a message is taken
- If you want to compare specific tools and features rather than the call workflow, that guide covers the software category. call handling software
The greeting: setting expectations in the first seconds
The greeting does three jobs: it confirms the caller reached the right business, it tells them who is speaking, and it invites them to state what they need. A simple pattern works well: business name, a short hello, and an open question such as "How can I help you today?"
When AllDayDesk answers, it greets callers using your saved business information, so the greeting matches how you actually describe your business. You can hear a personalized sample during setup before any real caller does. The sample is a preview only — it does not create a real booking or take any real action.
If you also want wording for voicemail or after-hours greetings, those are a separate piece of the puzzle.
- Say the business name so callers know they dialed the right number
- Keep it short — one or two sentences before asking how you can help
- Use the same tone you would use in person
- Avoid promising specific arrival times or prices in the greeting unless you want to commit to them on every call

Capturing the right information
A good call ends with you knowing who called, how to reach them, and what they need. The exact details depend on your trade, but most businesses need the same core set.
At minimum, capture the caller's name, a callback number, and a short description of the request. For service businesses, the location or address of the job matters, since it affects whether you can take the work. For appointment-based businesses, the preferred day or time helps even when booking happens later.
One important rule: when the caller asks something the system does not know — a price, an answer, or an appointment slot that is not confirmed — the right move is to take a message rather than guess. AllDayDesk follows this rule. It answers from the business information you save, and when an answer or price is unknown, it takes a message so you can respond yourself.
After each call, you can review the transcript and a summary in the AllDayDesk dashboard, so nothing depends on memory or a scribbled note.
- Caller name and callback number
- A short description of the request or question
- Job location or service address, when relevant
- Preferred day or time, when the caller has one
- Anything the caller specifically asked you to know
Handling appointment requests
Appointment requests are where call handling systems either save you time or create confusion, so it helps to be precise about what gets confirmed and what does not.
With AllDayDesk, new appointments are booked on the built-in dashboard calendar by default. That works once you have configured your services and availability, so the system knows what you offer and when you can take it. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. Google Calendar is the supported external calendar connection; other calendar or industry scheduling software is not part of the setup.
Changes to existing appointments work differently. A caller asking to move or cancel an existing appointment generates a request for you to review — it is not a confirmed change until you act on it. This protects you from no-shows caused by a misheard date or a change you never approved.
If booking calls are a big part of your phone volume, our appointment booking page explains that workflow in more detail.
- New appointments book on the built-in dashboard calendar once services and availability are configured
- Google Calendar can optionally be connected in Settings after you authorize your account
- Changes to existing appointments are requests for you, not confirmed changes
- Every booking appears in your dashboard with the call transcript and summary

Transfer or message: deciding how a call ends
Not every call should end with the system. Some callers need you directly — an upset customer, a caller with a detailed question, or someone who simply asks for the owner. That is what transfers are for.
Transfers require you to configure a destination number and the rules for when a transfer happens. Once configured, the system can pass a call to that destination. Be aware that neither the pickup nor an immediate response is guaranteed — the person at the destination has to actually answer. Because of that, the system also takes ordinary messages for anything you would rather handle yourself.
A practical way to set your rules: transfer calls the caller explicitly asks to reach you, and take a message for everything else — pricing questions, general inquiries, and requests you want to qualify first. You can adjust this balance as you learn what kinds of calls actually need you live.
Before any of this works, calls have to reach the system. That happens by forwarding your existing number, and the steps depend on your phone provider.
- Configure a transfer destination and rules before transfers will happen
- Pickup at the destination is not guaranteed, so treat transfers as one option, not a certainty
- Take messages for unknown answers, prices and unconfirmed appointments
- Forward your existing number so callers keep dialing the same public number

How AllDayDesk call handling is set up
Setup starts by choosing your business or entering its website, so the system can pull in how you describe your services. You then check the details it found, correct anything wrong, and hear a personalized sample of how your receptionist will sound. After that, you choose your phone setup — usually forwarding your existing number, with instructions that depend on your phone service.
For example, Verizon mobile customers activate all-call forwarding by dialing *72 plus the 10-digit destination and disable it with *73, done from the phone itself while in coverage. Other carriers use different codes or portal steps, so always follow the directions for your specific service.
Once live, the dashboard is your record of everything: calls, transcripts, summaries and bookings. You keep your public number, callers keep dialing it, and you review the results on your own schedule.
- Choose your business or enter its website
- Check and correct the business details
- Hear a personalized sample before going live
- Choose phone setup and forward your existing number
- Review calls, transcripts, summaries and bookings in the dashboard

More questions, answered
Do I need to change my business phone number?
No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, so follow the instructions for your specific provider.
Can the system book appointments on my Google Calendar?
Google Calendar is supported as an optional connection. You connect and authorize your Google account in Settings. By default, new appointments use the built-in AllDayDesk dashboard calendar once you have configured your services and availability.
What happens if a caller asks a question the system cannot answer?
When an answer, price or appointment is unknown, the system takes a message instead of guessing. You see the message in your dashboard and follow up yourself.
Can callers be transferred to me?
Yes, once you configure a transfer destination and rules for when transfers happen. Pickup at the destination is not guaranteed, since someone has to answer on your end.
Will a change to an existing appointment take effect immediately?
No. Changes to existing appointments are requests for you to review. They are not confirmed until you approve them.
How do I check what was said on a call?
Calls appear in your dashboard with their transcripts and summaries, along with any bookings made during the calls.
