AI phone answering for your business
An HVAC call answering service answers your business phone when you are on a ladder, under a sink cabinet, or done for the day. AllDayDesk is an AI receptionist that answers calls around the clock using your saved business information. It greets callers, answers common questions like your service area and hours, takes messages, and can book new appointments on your calendar. You keep your existing phone number by forwarding calls to AllDayDesk, and the steps depend on your phone carrier. Everything the receptionist does, including calls, transcripts, summaries, and bookings, shows up in your dashboard so you can return calls and confirm jobs on your own schedule.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
HVAC work pulls you away from the phone. You might be in an attic, on a rooftop unit, or driving between jobs, and a missed call usually means the homeowner calls the next company on their list. An answering service covers that gap by picking up your business line when you cannot.
AllDayDesk answers using the business details you save, so callers hear your company name, your services, and your hours. When a caller asks something the receptionist does not know, like an exact repair price for an unusual system, it takes a message instead of guessing. When a caller wants a new appointment, it can book one once you have set up your services and availability.
Existing customers who call to change an appointment are handled as requests for you. The receptionist records what they want, and you confirm the change yourself. That keeps your schedule accurate and avoids double bookings.
Setup starts by choosing your business or entering its website. AllDayDesk checks the details it finds, and you confirm or correct them. You then hear a personalized sample of how the receptionist will sound for your company. The sample is a preview only and does not create a real booking.
Next you choose how to connect your phone. You keep your public number and forward calls to AllDayDesk, so customers dial the same number they always have. The forwarding instructions depend on your phone service, so check which carrier and product you have before entering any codes.
For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *71 for unanswered calls, with *73 to turn it off. T-Mobile uses **21*1 with the destination and # for unconditional forwarding. Comcast Business, Spectrum Business Voice, and Vonage Business Communications manage forwarding through their account portals, and the exact steps depend on which product you subscribe to. If you are unsure which service you have, your bill or provider support can confirm it.

Every call handled by the receptionist appears in your AllDayDesk dashboard. You can read the transcript, see a short summary of what the caller needed, and review any appointment that was booked. This means you do not have to listen to voicemails or call back just to find out what someone wanted.
New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, you can optionally connect it in Settings after connecting and authorizing your Google account. The built-in calendar works on its own, so the Google connection is a choice, not a requirement.
Because transcripts and summaries are saved, you can review the day's calls in the evening and decide which ones need a callback, a quote, or a follow-up.
AllDayDesk is available around the clock, but availability is not the same as a guarantee that every single call connects, and no service can promise that. Transfers to you are also not guaranteed to be picked up instantly; you configure a transfer destination and rules, and how quickly you respond depends on where you are.
It helps to decide ahead of time what should be transferred to you and what should become a message. Many owners want emergencies during working hours transferred and everything else captured as a message or booking. When the receptionist does not know an answer, a price, or an appointment time, it takes a message rather than guessing, and you follow up.
If you want to compare this kind of service with human-run options, look at hours covered, how messages reach you, and total monthly cost. Human services and fees vary by provider and plan, so compare current quotes rather than assuming one type always costs more.
AllDayDesk plans are priced by monthly minutes, with an extra per-minute rate if you go over. Current pricing is displayed on the pricing section of this site, separate from this page, so you can pick the plan that matches your call volume. There is no need to estimate perfectly; you can review your dashboard usage and adjust.
