AI Voice Agent for Business: What It Does and How to Connect One
An AI voice agent for business is software that answers your business phone calls, holds a spoken conversation with the caller, and either handles the request or takes a message. It works around the clock and uses information you save about your business, such as your services, hours, and pricing, to answer common questions. You keep your existing phone number: calls are forwarded to the agent using your phone service's forwarding settings, and callers dial you the same way they always have. A typical setup has four steps: choose your business or enter its website so the agent can learn your details, check that the information it found is correct, listen to a personalized sample call, and then choose how to forward your phone. The sample is a preview only and does not create a real booking. After setup, you can see calls, transcripts, summaries, and any booked appointments in your dashboard. An AI voice agent is good at answering routine questions, taking messages, and booking new appointments once you have set up your services and availability. It is not a full replacement for a person: changes to existing appointments are passed to you as requests rather than confirmed changes, and if the agent does not know an answer or a price, it takes a message instead of guessing. This guide explains how these agents work, what to check before connecting one, and how forwarding depends on your phone provider.

What an AI voice agent actually does
An AI voice agent sits between your callers and you. When a call comes in, the agent answers in a natural voice, listens to what the caller needs, and responds using the business details you saved. It can answer questions about your services and hours, collect the caller's name, number, and reason for calling, and book new appointments when your services and availability are configured in the dashboard.
It is important to know the honest limits. The agent does not guess. When it does not know an answer, a price, or whether an appointment slot is open, it takes a message so you can follow up. Changes to existing appointments are recorded as requests for you to approve, not confirmed changes. Transfers to you or another number only work if you have configured a destination and rules, and a transfer is not guaranteed to be picked up or answered immediately.
Everything the agent handles shows up in your dashboard: the calls, written transcripts, short summaries, and any new bookings. New appointments go on the built-in AllDayDesk dashboard calendar by default. If you prefer Google Calendar, you can connect and authorize your account in Settings as an optional step.

How an AI voice agent connects to your existing number
You do not need a new phone number. You keep your public number and forward calls to the agent. The exact steps depend on your phone service, so AllDayDesk shows instructions matched to your provider during setup.
Most providers fall into one of two patterns. Many mobile and landline services use star codes: for example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Other services use a web portal instead: Spectrum Business Voice manages forwarding through Voice Settings or the Forwarding Manager after signing in, and Vonage Business Communications has a Call Forwarding option where you enable forwarding to a phone number.
One important exception: Google Voice does not support forwarding calls to an automated system, so a Google Voice number is not a compatible path. If your carrier or plan is unclear, check which exact product you have before using any instructions, because codes differ between a carrier's wireless, landline, and business products.
- Keep your existing public number and forward calls to the agent
- Setup instructions depend on your specific phone service
- Star-code examples: Verizon mobile *72/*73; T-Mobile **21*1 and ##21#
- Portal-based examples: Spectrum Business Voice and Vonage Business Communications
- Google Voice forwarding to an automated system is unsupported

Setting up an AI voice agent, step by step
Setup starts by choosing your business or entering its website. The agent uses that information to learn what you do. You then check the details it found and correct anything wrong, because the agent will speak from that information on real calls.
Next, you hear a personalized sample call so you know how the agent sounds with your business details. This sample is a preview and does not create a real booking. After that, you choose your phone setup, which is where the forwarding instructions for your provider come in.
Once you are live, finish the pieces that make booking work: add your services and availability so new appointments can go on the built-in dashboard calendar, and if you want transfers, configure a destination number and the rules for when transfers happen. Check the dashboard regularly at first to review transcripts and summaries and adjust your saved information.
- Choose your business or enter its website
- Check and correct the business details the agent found
- Listen to the personalized sample (no real booking is made)
- Choose phone setup and follow your provider's forwarding steps
- Configure services and availability, plus transfer destinations and rules if wanted

How to decide if an AI voice agent fits your business
Think about the calls you actually get. If most are routine questions about services, hours, and pricing, and new-appointment requests, an AI voice agent handles them well. If callers often need judgment calls, negotiation, or reassurance from a person, plan on the agent taking messages and transferring the calls that need you.
Compare the category honestly. Human answering services, such as Ruby at a starting price of $245 per month as of October 9, 2026, and Smith.ai's per-call human receptionist plans, offer people on the line; costs and hours vary by plan and quote. Smith.ai also sells a separate AI receptionist product with escalation to its live agents, which is a different feature from what AllDayDesk offers. An in-house receptionist does far more than answer phones, including greeting visitors and office tasks, so a phone service is not a full employee replacement.
AllDayDesk is this site's own product, and this comparison is based on documented features rather than hands-on testing. The practical test is simple: list your top five call types, decide which need a person, and confirm the service you choose takes messages for the rest instead of guessing.
- List your most common call types and which truly need a person
- Human services: people answer, but pricing and hours vary by plan and quote
- AI agents: consistent answers from your saved info, with messages for unknowns
- In-house reception covers visitors and office work beyond the phone
- This comparison reflects documented features, not independent testing

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the agent. The forwarding steps depend on your phone service, and AllDayDesk shows instructions for your provider during setup.
Can the agent book appointments on my calendar?
Yes, for new appointments. Once you have configured your services and availability, bookings go on the built-in AllDayDesk dashboard calendar by default. You can optionally connect Google Calendar in Settings after authorizing your account. Changes to existing appointments are sent to you as requests, not confirmed changes.
What happens when the agent does not know an answer?
It takes a message with the caller's details so you can follow up. It does not guess at answers, prices, or availability.
Can calls be transferred to me?
Yes, if you configure a transfer destination and rules. A transfer is not guaranteed to be picked up or answered immediately, so review how transfers fit your workflow.
Can I forward a Google Voice number to the agent?
No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so Google Voice is not a compatible forwarding path.
Will the sample call book a real appointment?
No. The personalized sample is a preview of how the agent sounds with your business details. It does not create a real booking.
