Answering Telephone Service: What It Is and How It Works

An answering telephone service answers calls forwarded from your business phone when you cannot pick up yourself. You keep your existing number and forward calls to the service, which greets callers using your business details and takes messages or books appointments. This guide explains how the call flow works, the main types of services, and how setup happens, including the forwarding step that connects your line.

What an answering telephone service does

If you answer your own phone, a ringing call competes with the actual work: a job site, a client meeting, or the dinner table. An answering telephone service fills that gap. Instead of a forwarded call going to voicemail or ringing out, it goes to a service that answers in your business's name.

The service works from information you provide: your business name, the services you offer, your pricing where you want it shared, and your availability. When a caller asks a question the service can answer, it answers. When the answer, a price, or an appointment is unknown, it takes a message so you can follow up yourself.

It helps to be clear about scope. A phone answering service handles calls. An in-house receptionist, according to the Bureau of Labor Statistics, also greets visitors and handles office tasks beyond the phone, so a service complements rather than fully replaces that role.

  • Answers calls forwarded from your existing business number
  • Greets callers using your saved business details
  • Takes a message when a question, price, or booking is unknown
  • Delivers call records, summaries, and booking details back to you

How a typical call flows

The mechanics are straightforward. You keep your public phone number. You configure your phone line or phone system to forward calls to the service — either all calls, or only when you are busy or do not answer. The forwarding step happens at your carrier, not inside the service.

Once forwarded, the service answers using your business information. With an automated service like AllDayDesk, the owner enters their business or website, the details are checked, and the owner hears a personalized sample before choosing phone setup. The sample is a demonstration only and creates no real booking.

After the call, the owner sees the results in a dashboard: the call record, a transcript, a summary, and any booking that was made. New appointments go to the built-in AllDayDesk calendar by default once services and availability are configured. An optional Google Calendar connection is available in Settings after the owner connects and authorizes their Google account.

Transfers to the owner are also possible, but they depend on configuration: the owner sets a transfer destination and rules. Neither pickup nor an immediate response is guaranteed, so the service also takes ordinary messages as part of normal operation.

  • Forward your existing number to the service at your carrier
  • The service answers forwarded calls using your saved business details
  • Unknown answers, prices, or appointments become messages for you
  • Calls, transcripts, summaries, and bookings appear in your dashboard

Main types of answering telephone services

There are three broad categories, and they differ in who or what does the answering and how costs are structured.

Human answering services staff calls with trained people. Companies like AnswerConnect offer around-the-clock live answering by people, and Ruby advertises live virtual receptionist plans starting at $245 per month as of October 2026. Smith.ai uses per-call pricing for its human receptionist service. With human services, coverage hours and fees vary by provider and plan, so compare the included allowance, overage rates, and contract terms on a current quote rather than the starting price alone.

AI receptionists answer with automated voices. Smith.ai offers a separate AI receptionist product with escalation to its live agent network — that is Smith.ai's feature, not AllDayDesk's. AllDayDesk is an AI receptionist that answers around the clock using your saved business information, makes calls, transcripts, summaries, and bookings visible in a dashboard, and books into a calendar you control.

Simple voicemail and auto-attendant systems sit at the low end. They play menus or greetings but do not converse, answer questions, or book appointments. The caller does the work of navigating menus or leaving a recording.

  • Human services: trained people answer; pricing varies by provider and plan
  • AI receptionists: automated answering around the clock with dashboard records
  • Voicemail and auto-attendants: menus and greetings without conversation
  • Compare included minutes or calls, overage rates, and hours on current quotes

Connecting your line: call forwarding

The one technical step in setup is forwarding your number to the service. How you do it depends entirely on your phone carrier and product, so identify the exact service name on your bill before following any instructions.

Some verified examples show the range. Verizon mobile uses *72 plus the 10-digit destination for all-call forwarding and *73 to disable, with *71 for unanswered calls on wireless lines. Verizon business landline uses *72 and *73 from the same line. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with **61*1 for no-reply and ##21# to disable. AT&T Phone for Business uses *72, destination, # for all calls and *92, destination, # for no-answer forwarding, while AT&T Collaborate uses *72 for always-forward, *62 plus destination for busy forwarding (disabled with *63), and *92 plus destination for no-answer (disabled with *93) — different codes for a different product from the same company.

Comcast products differ by service too. Comcast Voice Mobility features are managed through My Account and the Comcast Business App, and features depend on the services you subscribe to. For Comcast Managed Voice on a Panasonic TPA65 handset, the guide describes lifting the handset, dialing *72 and the destination to enable all-call forwarding, *73 to disable, with *92/*93 for no-answer and *90/*91 for busy. Identify whether you have Voice Mobility, Business Voice, or VoiceEdge before choosing instructions.

One important limit: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number cannot be forwarded to an AI receptionist. If your line is with a carrier not listed here, check your carrier's own support pages for the exact product you have, and confirm forwarding is active before relying on it.

  • Identify your exact carrier product before using any forwarding code
  • Wireless and landline products from the same carrier can use different codes
  • Confirm forwarding is active before relying on it
  • Google Voice numbers cannot be forwarded to automated answering systems

How to choose the right service for your business

Start with your call pattern. If you miss calls mainly during work hours because you are hands-busy, an answering service that takes messages and books appointments can cover those calls. If you miss calls evenings and weekends, around-the-clock availability matters more — though note that 24/7 availability is not a guarantee that every single call connects.

Next, decide what the service should do on a call. Make a short list: answer basic questions from your business info, take messages, book appointments into your calendar, and transfer calls to you under rules you configure. Keep in mind that a configured transfer does not guarantee pickup or an immediate response, so message taking remains part of normal operation. Anything not on your list — like handling payments or sensitive personal details — should stay with you.

Then compare on the details that show up in real use: how the service sounds to your callers, what records you get after each call, how appointments land in your calendar, and what happens when the service does not know an answer. Ask for a sample of the actual greeting for your business before committing.

Finally, check the calendar fit. AllDayDesk books into its built-in dashboard calendar by default, with an optional Google Calendar connection you authorize in Settings. If you rely on other scheduling software, confirm directly with any provider how appointments reach you, since integrations beyond Google Calendar are not part of AllDayDesk.

  • Map when your missed calls happen: during work, after hours, or both
  • List exactly what the service should do on each call
  • Listen to a personalized sample greeting before you commit
  • Confirm where booked appointments appear and how you review calls

Why industry matters

The same service behaves differently depending on your trade. A plumber's callers often need a message taken with an address and a description of the problem, while a dental office's callers ask about services and openings. A law firm's callers may need careful intake questions, and a restaurant's callers mostly want hours and reservations.

Whatever your field, the service can only work from the information you save. Owners should configure their services, availability, and the details they are willing to share before going live, and remember that changes to existing appointments are requests for the owner to approve, not confirmed changes made on the spot.

  • Configure your services and availability before the service goes live
  • Appointment changes come to you as requests, not automatic edits
  • The service takes a message whenever an answer or price is unknown

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to the service. The forwarding instructions depend on your phone carrier and the exact product you have, so check your carrier's support pages for your service name.

Can I use my Google Voice number with an answering service?

Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number cannot be forwarded to an AI receptionist. A traditional carrier line is needed for that forwarding step.

What happens when the service does not know an answer?

When an answer, a price, or an appointment is unknown, the service takes a message so you can follow up. It does not guess on your behalf.

Will calls transfer to my cell phone?

Transfers are possible, but only after you configure a transfer destination and rules. Neither pickup nor an immediate response is guaranteed, which is why message taking remains part of normal operation.

Where do booked appointments go?

New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. An optional Google Calendar connection can be enabled in Settings after you connect and authorize your Google account.

How much does an answering telephone service cost?

Costs vary widely. Ruby advertises human receptionist plans from $245 per month as of October 2026, and Smith.ai prices human receptionists per call. AllDayDesk, an AI receptionist, is priced by included minutes, with pricing displayed separately on this site. Always compare included allowance and overage rates on a current quote.
