Auto Receptionist Software: What It Does and How to Choose One
Auto receptionist software answers your business phone when you cannot, using saved information about your business instead of a person at a desk. It can share answers to common questions, take messages, and book appointments into a calendar you set up. This guide explains how the software works, what setup usually involves, what to compare before buying, and where the limits are. AllDayDesk, the product on this site, is one example of this category: it answers calls around the clock using your saved business details, shows calls, transcripts, summaries and bookings in a dashboard, and lets you keep your existing phone number by forwarding calls to it. When the software does not know an answer or a price, it takes a message instead of guessing.

What auto receptionist software actually does
An auto receptionist is software that picks up calls routed to it and talks with callers using information the owner has saved: services, hours, pricing, and policies. Unlike a simple voicemail box, it can hold a conversation, answer repeat questions the same way every time, and record what was said.
With AllDayDesk specifically, owners start by choosing their business or entering its website so the system can pull in details, then check and correct them. The owner hears a personalized sample call before choosing how to connect the phone. The sample is a demo only and does not create a real booking.
Everything the software handles lands in a dashboard: the calls themselves, written transcripts, short summaries, and any appointments booked. New appointments go to the built-in AllDayDesk calendar by default, once you have configured your services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account.
- Answers calls using your saved business information
- Takes messages when it does not know an answer or a price
- Books new appointments into the built-in calendar, or Google Calendar if you connect it

How setup works: keeping your number with call forwarding
You do not need a new phone number. Auto receptionist software works by having your phone service forward calls to it, and the exact steps depend on your carrier or phone system. AllDayDesk provides instructions matched to your service after you pick your business and hear the sample.
Forwarding comes in two flavors. All-call (unconditional) forwarding sends every incoming call straight to the receptionist software. Conditional forwarding sends calls only when the line is busy or unanswered, which lets you answer your own phone first. Most owners answer their own phone during the day and let the software cover the rest.
Some verified examples: Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to turn forwarding off (verizon-wireless). T-Mobile uses **21*1 plus the number and # for unconditional forwarding, **61*1 for no-reply, and ##004# to reset (tmobile). Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager rather than star codes (spectrum-business). Vonage Business Communications enables forwarding by selecting Call Forwarding and choosing to forward to a phone number (vonage).
One important limit: Google Voice does not support forwarding its calls to an automated system, so a Google Voice number cannot be routed to this kind of software (google-voice-routing).
- All-call forwarding sends every call to the software; conditional forwarding only sends busy or unanswered calls
- Activation is usually a star code dialed from your line, or a setting in your carrier's portal
- Always place a test call from another phone after activating to confirm the destination works
- Google Voice numbers cannot forward to an automated receptionist system

What to compare when choosing software
Auto receptionist products differ in how they learn your business, how they book appointments, and how they handle calls they cannot answer. Use these criteria when evaluating any option, including AllDayDesk:
Start with how the system learns your details. Some build from your website, like AllDayDesk does; others require you to script everything by hand. Then check the calendar story: does it book into its own calendar, and can it optionally connect to Google Calendar? AllDayDesk supports both, with Google Calendar added in Settings after you authorize the connection.
Check what happens on hard calls. A good system takes a message instead of guessing at prices or answers it does not have. Also check how transfers work: AllDayDesk can transfer calls to you, but you must configure the destination and rules first, and neither pickup nor an immediate response is guaranteed. Changes to existing appointments are passed to you as requests, not confirmed changes.
Finally, compare pricing structure honestly. Plans typically combine a monthly fee with included minutes and a per-minute overage rate. AllDayDesk's pricing is displayed separately on this site, so compare included minutes and overage rates against your actual call volume rather than headline prices alone.
- How it learns your business: website import versus manual scripting
- Where bookings land: built-in calendar, optional Google Calendar connection
- Message taking when answers or prices are unknown
- Transfer setup requirements and their limits
- Pricing: monthly fee, included minutes, overage rate

Auto receptionist software versus human answering services
Human answering services use trained people to answer your calls. Companies like Ruby advertise live virtual receptionist plans (ruby), and Smith.ai offers both human receptionist pricing and a separate AI receptionist product (smith, smith-ai). AnswerConnect provides 24/7 live answering by people (answerconnect). Human services can handle judgment calls and unusual requests well, and their coverage and fees vary by service and plan.
Software differs in a few practical ways. It is available around the clock without shift scheduling, it answers consistently from your saved information, and it shows you transcripts and summaries so you can review exactly what was said. It is not a person: it will not greet walk-in visitors or handle office tasks, and when something is outside its saved knowledge it takes a message rather than improvising.
For an in-house employee, the BLS notes that receptionist work includes greeting visitors and office tasks beyond phone answering, so a phone service of any kind covers only part of that role (bls). The right choice depends on whether your calls are mostly routine questions and booking requests, or whether they need human judgment every time.
- Human services handle judgment calls; software handles routine questions and booking consistently
- Software gives you transcripts and summaries of every call
- Neither option guarantees every call connects or every transfer is picked up
- An in-house receptionist covers visitors and office work, not just phones

Honest limits to know before you buy
Around-the-clock availability describes when the software can take calls, not a promise that every call connects or that every transfer reaches you. Transfers require you to configure a destination and rules in advance, and pickup is not guaranteed. If the software cannot answer a question, does not know a price, or cannot book a time, it takes a message for you instead.
Existing appointments are another boundary: callers can ask to change an appointment, but that change reaches you as a request to approve, not a confirmed edit. And setup time depends on your phone service, so there is no fixed setup duration to promise.
AllDayDesk does not connect to dispatch systems, CRMs, health records, or industry scheduling software. The only external calendar connection is the optional Google Calendar link in Settings.
- Transfers need a configured destination and rules; pickup is not guaranteed
- Appointment changes from callers are requests, not confirmed changes
- Unknown answers and prices become messages
- Only Google Calendar is supported as an external calendar connection

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the software. The forwarding steps depend on your phone service, and AllDayDesk gives you instructions matched to your carrier after setup begins.
Can I still answer my own phone?
Yes. With conditional forwarding, calls only reach the software when your line is busy or unanswered. Most owners answer their own phone when available and let the software cover the rest.
Where do booked appointments go?
New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.
What happens if a caller asks something the software does not know?
It takes a message instead of guessing. Unknown answers, prices, and appointment changes are passed to you through the dashboard.
Can I use my Google Voice number?
No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number cannot be routed to this kind of software.
Does the software connect to my scheduling or industry software?
No. The only external calendar connection is the optional Google Calendar link. There are no connections to dispatch systems, CRMs, health records, or industry scheduling tools.
