Automated Appointment Booking: A Practical Guide for Small Businesses
Automated appointment booking lets customers reserve a time without you picking up the phone or typing anything in. It comes in two main forms: online booking pages customers fill out themselves, and phone-based booking where a system answers calls and schedules appointments for you. This guide covers how both work, what to check before choosing, and how to set one up while keeping your current phone number.

How automated appointment booking works
Online booking tools give you a link or website widget. A customer picks a service, sees your open times, and confirms. The system writes the appointment to a calendar and usually sends a confirmation. You never touch the process unless something needs changing.
Phone-based booking works differently. Calls to your business number are answered by an automated receptionist that has been trained on your business details. It can answer common questions, book new appointments into your calendar, and take a message when it does not know an answer, such as an unfamiliar price or a request it cannot confirm. In AllDayDesk, calls, transcripts, and summaries are visible in the dashboard, so you can review what was said and follow up.
One important limit to understand up front: changes to existing appointments are treated as requests for you, not confirmed changes. The system records what the caller wants, and you approve or adjust it. That protects your schedule from accidental cancellations.
- Online booking: customer self-serves from a link or widget
- Phone booking: an automated receptionist answers, answers questions, and books new appointments
- Unknown answers become messages for you instead of guesses
- Existing appointment changes are requests you review, not automatic edits

How to choose the right booking setup
Start with how your customers actually book. If they mostly find you online, a website booking widget may be enough. If they mostly call, an online-only tool leaves your phone uncovered, and that is where an automated phone receptionist earns its keep.
Next, check calendar support. AllDayDesk uses a built-in dashboard calendar by default; you configure your services and availability there first. If you already run your schedule in Google Calendar, AllDayDesk supports an optional connection in Settings after you connect and authorize your Google account. Do not assume a system syncs with other industry scheduling software you may use, and verify any calendar connection before relying on it.
Finally, compare scope and cost honestly. Human answering services and in-house receptionists do work that automated systems do not, and their pricing structures differ. Human virtual receptionist plans from providers like Ruby and Smith.ai are quoted per month or per call, while automated plans are typically built around included minutes with overage rates. The real cost depends on included minutes, overage rates, and hours covered, so request actual quotes and decide which tasks matter most before comparing prices.
- Match the tool to where bookings actually come from: web or phone
- Confirm calendar support, including whether Google Calendar is optional and requires your authorization
- Compare included minutes and overage rates, not just the headline price
- Decide whether you need judgment calls a human handles better, or volume coverage an automated system handles well

Setting up phone-based booking without losing your number
You do not need a new phone number. You keep your public number and forward calls to the booking system. The exact forwarding steps depend on your phone carrier, so check your provider's instructions. For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses codes like **21*1 followed by the destination for unconditional forwarding. Business landline and hosted products, such as Comcast Business Voice or Spectrum Business Voice, are usually managed through an online portal instead of star codes.
One known limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If you use Google Voice, you will need a different number or carrier for forwarding.
With AllDayDesk, setup starts by choosing your business or entering its website so the system can learn your details. You review those details, hear a personalized sample of how your receptionist will sound, and then choose your phone setup. The sample is a demonstration only and creates no real booking. After that, new appointments flow into your dashboard calendar once your services and availability are configured.
- Keep your existing number by forwarding calls; steps vary by carrier
- Verify your exact product with your carrier before using any code
- Google Voice numbers cannot be forwarded to an automated system
- Configure services and availability before relying on automated bookings

What automated booking can and cannot do
Automated booking is strong at routine work: answering common questions from your saved business information, booking new appointments into configured slots, and taking messages when something is outside what it knows. Around-the-clock availability means the system can take calls at any hour, though no system can guarantee that every single call connects.
It is not a full replacement for judgment. It will not confirm changes to existing appointments on its own, it will not guess at prices or answers it does not have, and it will not handle tasks that require specialized software connections it does not have. Transfers to you are possible once you configure a destination and rules, but pickup is not guaranteed, so treat transfers as one tool among several rather than a promise.
Plan for a short review habit: check the dashboard's calls, transcripts, summaries, and bookings regularly, especially in the first weeks, and adjust your services, availability, and forwarding as you learn what callers ask.
- Great at: routine questions, new bookings, message taking
- Requests, not confirmations: existing appointment changes come to you
- Transfers need configuration and are not guaranteed to connect
- Review transcripts and bookings in the dashboard to tune your setup

More questions, answered
Do I need a new phone number for automated booking?
No. You keep your public number and forward calls to the booking system. Forwarding instructions depend on your phone service, so confirm the steps for your exact carrier and product before activating.
Can it book into my Google Calendar?
AllDayDesk books new appointments into its built-in dashboard calendar by default. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Other calendar software is not a supported connection.
What happens if a caller asks something the system does not know?
It takes a message instead of guessing. You can review calls, transcripts, and summaries in the dashboard and follow up yourself.
Can callers reschedule or cancel through the automated system?
Changes to existing appointments are recorded as requests for you to review and approve. The system does not confirm those changes on its own.
Will the system answer every call?
The service is available around the clock, but no provider can guarantee that every call connects. Review your setup and dashboard activity to make sure it is working the way you expect.
