Automated Attendant Software: A Practical Guide

Automated attendant software answers your business phone without a person picking up. Callers hear a greeting, and the software either routes the call, takes a message, or handles a request like booking an appointment. This guide explains how these systems work, the main ways they are deployed, what features actually matter for a small business, and how to connect one to the phone number you already have. AllDayDesk, the product on this site, is one example: it answers calls around the clock using your saved business information, and you keep your public number by forwarding calls to it.

What automated attendant software does

An automated attendant is software that answers an incoming call instead of a person. Older versions were simple menu trees: press 1 for hours, press 2 for directions. Modern systems use speech recognition, so callers can simply say what they need, and the software responds using information the business has saved, such as services, prices, and availability.

The key difference from a plain voicemail box is that the software can act on the call. It can answer common questions, take a detailed message, or create a booking. Everything the caller said, including a transcript and a summary, shows up in a dashboard so the owner can review calls and follow up.

It is worth knowing the limits. When the software does not know an answer or a price, or a caller asks for something unusual, it takes a message instead of guessing. Changes to existing appointments are passed to the owner as requests, not confirmed changes, so you stay in control of your schedule.

  • Answers calls with a greeting built from your business information
  • Understands spoken requests, not just keypad menus
  • Can book new appointments once you have set up services and availability
  • Takes a message when it does not know an answer or a price
  • Shows calls, transcripts, summaries, and bookings in a dashboard

How these systems connect to your phone

You can usually keep your existing public phone number with an automated attendant. The approach is call forwarding: your carrier sends calls to the software's number, and the software answers on your behalf. You keep advertising the same number you have always used.

The exact forwarding steps depend on your phone service. Some carriers use star codes dialed from the phone, such as *72 for all-call forwarding on Verizon mobile, with *71 for unanswered calls and *73 to turn it off. Others, like Spectrum Business Voice, manage forwarding through an online portal where you choose all calls or busy/no-answer forwarding and set the destination. The right instructions depend on your specific product, so identify your exact service before following any steps.

One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If you are unsure how your line forwards, our business phone forwarding guide covers the general process, and our Verizon conditional call forwarding guide has the verified codes for that provider.

  • Keep your existing public number and forward calls to the software
  • Star-code carriers: activation and deactivation codes vary by product
  • Portal-based carriers: forwarding is set in your online account settings
  • Google Voice numbers cannot be forwarded to an automated system
  • Forwarding charges depend on your plan, so check with your carrier

Capabilities to evaluate before you buy

Not all automated attendant software does the same job. Some only route calls to menus. Others can hold a real conversation and complete tasks. When comparing options, focus on what happens during and after the call.

Ask these questions about any system you consider, including ours:

  • Can it answer questions from your business details, or only play fixed menus?
  • Does it book appointments, and into which calendar? AllDayDesk uses its built-in dashboard calendar by default, with an optional Google Calendar connection you set up and authorize in Settings.
  • Can you hear a personalized sample of how it would answer before committing? With AllDayDesk you enter your business or website, check the details, and hear a sample; the sample does not create a real booking.
  • What do you get after the call? Look for transcripts, summaries, and message records in a dashboard.
  • Can it transfer calls to you? Transfers require you to configure a destination and rules, and neither pickup nor an immediate response is guaranteed.
  • What does it do when it does not know something? A good system takes a message rather than guessing.

Choosing between software, menus, and people

Automated attendant software is one of several ways to handle calls. A basic auto attendant routes callers through menus but does not hold a conversation. Human answering services employ real people and can handle judgment-heavy calls, and their pricing varies widely by provider and plan. Automated attendant software with conversation ability sits in between: it answers in your business's voice, handles routine requests, and passes everything else to you as a message.

A practical way to decide: if most of your calls are routine questions and appointment requests, software handles them well. If callers frequently need complex judgment or you simply prefer a human voice, compare human services too. Note that in-house reception covers more than phones, including greeting visitors and office tasks, so a phone service is not a full replacement for an employee.

Whichever route you take, the setup effort is similar: you supply your business details, decide how calls reach the system, and configure what happens to messages and bookings.

  • Menu-only attendants: route callers through menus, no conversation ability
  • Conversational software: answers questions, books, takes messages
  • Human services: real people, pricing varies by provider and plan
  • In-house staff: full office coverage, a fixed commitment beyond phone answering

Setting up AllDayDesk as your automated attendant

Setup starts by choosing your business or entering its website. AllDayDesk pulls together your business details, you check that they are correct, and then you hear a personalized sample of how it would answer a call for your business. The sample is a preview only and creates no real booking.

Next you choose your phone setup. You keep your public number and forward calls to AllDayDesk; the exact forwarding instructions depend on your phone service, and our carrier guides cover the major providers. Once you have configured your services and availability, new appointments go into the built-in AllDayDesk dashboard calendar by default. If you prefer Google Calendar, you can connect and authorize your account in Settings as an optional step.

After that, calls, transcripts, summaries, and bookings appear in your dashboard. You can forward all calls to AllDayDesk, or forward selectively, for example after hours or while you are on a job. Existing appointment changes come to you as requests, so nothing on your schedule moves without your approval.

  • Enter your business or website and verify the details
  • Hear a personalized sample call before you commit
  • Forward your existing number using your carrier's steps
  • Configure services and availability to enable booking
  • Review calls, transcripts, and summaries in the dashboard

More questions, answered

Do I need to change my business phone number?

No. You keep your public number and forward calls to the software. The forwarding steps depend on your phone service, so check your carrier's instructions for your exact product.

Can I use my Google Voice number with it?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so that path will not work. This is separate from the optional Google Calendar connection, which is a calendar feature, not a phone integration.

Will it book appointments automatically?

New appointments go into the built-in AllDayDesk dashboard calendar once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account. Changes to existing appointments are sent to you as requests, not confirmed changes.

What happens if the software cannot answer a question?

When an answer, price, or appointment is unknown, it takes a message instead of guessing. You see the message, transcript, and summary in your dashboard.

Can calls be transferred to me?

Yes, but you must configure a transfer destination and rules first. Neither pickup nor an immediate response is guaranteed, so treat transfers as one tool among message taking.

Does 24/7 availability mean every call connects?

No. Around-the-clock availability describes when the system can answer, not a guarantee that every call connects. Carrier forwarding and phone network conditions still apply.
