Automated Call Handling System: How It Works and How to Set One Up

An automated call handling system is software that answers your business phone and handles calls for you, without a person picking up. It can greet callers, answer questions about your business, take messages, and book appointments. You keep your existing phone number and forward calls to the system, so callers dial the same number they always have. Setup usually means entering your business details so the system knows what to say, hearing a sample call, and turning on call forwarding with your phone provider. Once it is running, you can review calls, transcripts, summaries, and bookings in a dashboard instead of listening to voicemail. This guide explains what these systems do, what decisions you should make before choosing one, and how to connect your current number.

What an automated call handling system does

An automated call handling system replaces the pile of missed calls and voicemails with software that answers in your place. Unlike a basic auto attendant that only offers a menu (press 1 for hours, press 2 for directions), a modern system can hold a conversation. It uses the information you save about your business, such as your services, hours, and pricing, to respond to real questions from callers.

What it should not do is guess. When a caller asks something the system does not know, such as an exact price for an unusual job, the right behavior is to take a message so you can respond yourself. Existing appointment changes are passed to you as requests rather than confirmed changes, because only you should decide whether to move a booked job.

  • Answers common questions about your business, like hours, services, and service area
  • Takes a message with the caller's name, number, and reason for calling
  • Books new appointments when you have set up your services and availability
  • Reads back information you have saved, so answers stay consistent
  • Calls, transcripts, summaries, and bookings are visible in your dashboard afterward

Decisions to make before you choose one

Before signing up for any system, work through a short list of decisions. These apply whether you pick AllDayDesk or another option.

What does it cost? Plans usually include a set number of minutes with a per-minute rate beyond that, so estimate your call volume. Human answering services price differently; for example, Ruby advertises virtual receptionist plans starting at $245 per month, while Smith.ai uses per-call pricing for its receptionist service.

  • What should the system say? Save accurate business details: services, hours, and the questions callers ask most. If it does not know an answer, it should take a message instead of guessing.
  • Where do bookings go? New appointments need a calendar. AllDayDesk uses its built-in dashboard calendar by default, once you have configured your services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Other calendar or scheduling software is not supported.
  • What happens on a transfer? Some systems can transfer a call to you, but you must configure a destination number and the rules for when transfers happen. A transfer is not guaranteed to connect, so know your provider's behavior before relying on it.
  • Which calls get forwarded? Forward all calls, or only the ones you cannot answer. Forwarding everything means the system handles every call; forwarding only unanswered calls means you still pick up when you are free.

How to forward your existing number to the system

You keep your public phone number. Callers dial it as always, and your phone service forwards the call to the automated system. The exact steps depend on your carrier, so identify your exact service first, then use its own instructions. Two common patterns:

Star codes from the phone itself. Many services use *72 plus the destination number to forward all calls and *73 to turn it off. Verizon mobile also offers *71 for unanswered calls only, and T-Mobile uses codes like **21*1 followed by the number and # for all calls, with separate codes for no-answer, unreachable, and busy conditions.

Web or app controls. Services such as Comcast Business, Spectrum Business Voice, and Vonage Business Communications manage forwarding through an online account or app, where you enable forwarding and enter the destination.

A few cautions. Conditional forwarding (busy or no-answer only) is not supported on every plan or device, so check with your carrier before counting on it. Google Voice explicitly does not support forwarding calls to an automated system, so a Google Voice number is not a workable path. After you activate forwarding, place a test call from another phone to confirm it reaches the system.

Setting up AllDayDesk, step by step

AllDayDesk is an automated call handling system that answers business calls around the clock using the business information you save. Setup follows a simple path.

First, choose your business or enter its website, so the system can pull in your details. Then check those details and correct anything wrong, since callers hear answers based on this information.

Next, hear a personalized sample call so you know how your business will sound. The sample is a demonstration only and creates no real booking. Finally, choose your phone setup and follow the forwarding instructions for your provider.

  • Calls, transcripts, summaries, and bookings all appear in your dashboard afterward
  • New appointments go to the built-in AllDayDesk calendar by default once you have configured services and availability
  • An optional Google Calendar connection is available in Settings after you connect and authorize your Google account
  • If a caller asks something you have not saved an answer for, the system takes a message so you can follow up yourself

Automated systems compared with other options

An automated system is one of several ways to handle calls, and the right choice depends on your call volume and budget.

Voicemail alone is free, but callers get no answers and can only leave a message. An auto attendant is a menu tree that routes calls but cannot answer open-ended questions or book appointments. An automated call handling system is conversational software that answers questions, takes messages, and books appointments, typically priced as a monthly plan with included minutes.

A human answering service or virtual receptionist means people answer your calls, which can cost more; for example, one live receptionist provider advertises plans starting at $245 per month, and another uses per-call pricing. Costs vary with hours, included allowance, and contract terms, so compare current quotes. An in-house receptionist is an employee who handles phones plus front-desk and office tasks, a broader role than phone answering alone.

AllDayDesk is the automated option sold on this site; this comparison is based on documented features and published pricing pages, not hands-on testing of every service.

More questions, answered

Do I have to change my business phone number?

No. You keep your existing number and forward calls to the system. Callers dial the same number they always have.

Can it book appointments directly into my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Other calendar or scheduling software is not supported.

What happens if a caller asks something the system does not know?

It takes a message with the caller's details so you can answer yourself. It does not guess at unknown answers or prices.

Will a transferred call always reach me?

No. Transfers require you to configure a destination number and rules, and neither pickup nor an immediate response is guaranteed. Check how the system behaves before relying on transfers.

Can I forward a Google Voice number to it?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so use a standard carrier or business phone line instead.

Can I change an existing appointment through the system?

Changes to existing appointments are passed to you as requests. You confirm or decline them yourself; they are not confirmed automatically.
