Business Answering Service App: Managing Your Calls From Your Dashboard

A business answering service app is the dashboard you use to manage an answering service for your company: you review transcripts and summaries of real calls and see any appointments that were booked. With AllDayDesk, the service answers business calls around the clock using the business information you save, and you keep your existing number by forwarding calls. This guide explains what you can do in the app day to day, how forwarding works, and what the service can and cannot do.

What a Business Answering Service App Does

An answering service app is the control panel for a service that answers your business phone when you cannot. The app itself does not talk to callers; the service does. The app is where you set things up and keep track of what happened on each call.

With AllDayDesk, the service answers calls 24 hours a day using the business information you save: your services, prices you want shared, and how you describe your company. Most owners answer their own phones, so the service is built for a single owner-operator as much as for a team. When a caller asks something the service does not know, like a price you have not saved or an appointment question it cannot confirm, it takes a message instead of guessing.

The practical value is that you do not have to stop a job to pick up. You check the app when it is convenient and see who called, what they wanted, and whether anything needs a callback.

  • Answers business calls around the clock using your saved business information
  • Lets you keep your public phone number by forwarding calls to the service
  • Shows calls, transcripts, summaries and bookings in one dashboard
  • Takes a message when an answer, price or appointment is unknown
  • If you are still comparing service types, this explains how virtual receptionists differ from voicemail and in-house staff. what a virtual receptionist is

Setting Up the Service in the App

Setup starts in the app, not on the phone with a sales rep. You choose your business from a list or enter your website, and the service pulls in details like your business name, services and location. You check those details and fix anything that is wrong, because callers will hear that information back.

Next, you hear a personalized sample of how the receptionist will sound with your business details. This sample is a preview only; it does not create a real booking or take a real message. If something sounds off, you edit your business information and listen again.

The last step is choosing your phone setup. AllDayDesk does not replace your number: you keep the number customers already dial and forward calls to the service. The forwarding instructions depend on who provides your phone service, which is the next section.

  • Choose your business or enter its website to pull in details
  • Review and correct the business information before going live
  • Hear a personalized sample; it creates no real booking
  • Finish by choosing how to forward your existing number

Keeping Your Number: How Call Forwarding Works

You keep your public number. Calls are sent to the answering service by forwarding, and the exact steps depend on your phone provider. Some providers use star codes dialed from your phone; others use a web portal or app.

A few verified examples show how much this varies. Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to turn it off, and setup must be done from the phone while in Verizon coverage. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding. Comcast Business manages forwarding through My Account or the Comcast Business App, and features depend on which services you subscribe to. Vonage Business Communications lets you select Call Forwarding and forward to a phone number. Spectrum Business Voice handles it in the portal under Voice Settings or Forwarding Manager.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If you are unsure which product you have or which codes apply, check your provider's own instructions for your exact service. Our carrier guides cover the common ones.

  • Forwarding steps vary by provider and product, so use your provider's own instructions
  • Some providers use star codes; others use a portal or app
  • Google Voice numbers cannot be forwarded to an automated system
  • Verify forwarding with a real test call from another phone

Using the App Day to Day

Once you are live, the dashboard is where everything lands. Every call shows up with a transcript and a summary, so you can scan what happened without listening to audio. Bookings appear there too.

New appointments go on the built-in AllDayDesk dashboard calendar by default. To make that work, you first configure your services and availability in the app. If you prefer Google Calendar, there is an optional connection in Settings: you connect and authorize your Google account yourself, and it is not connected automatically. Other calendar systems and industry scheduling software are not supported connections.

Changes to existing appointments are different from new bookings. When a caller wants to move or cancel an appointment, the service records that as a request for you to handle. It does not confirm the change on its own.

You can also set up call transfers. You choose a destination number and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so treat transfers as one tool among several, not a promise that someone will always take the call.

  • Review calls, transcripts, summaries and bookings in the dashboard
  • New bookings use the built-in calendar once services and availability are configured
  • Google Calendar is an optional connection you authorize yourself in Settings
  • Appointment changes are requests for you, not confirmed changes
  • Transfers need a destination and rules you configure, with no pickup guarantee

How to Decide if an Answering Service App Fits Your Business

A good fit is a business where the owner does the work and the phone rings during it: trades, clinics, salons, agencies and similar owner-operated companies. If calls mostly arrive while you are free to answer, you may not need a service yet.

Compare options on what you can verify, not on marketing. Ask these questions of any provider, including this one:

First, what happens when the service does not know an answer? A trustworthy service takes a message rather than inventing a price or confirming an appointment it cannot see. Second, what do you get after each call? AllDayDesk shows transcripts and summaries in the dashboard; some human services provide different reporting. Third, how does booking work, and which calendars connect? AllDayDesk uses its built-in calendar by default with an optional Google Calendar connection you authorize. Fourth, what does the plan cost, including included minutes and overage rates? AllDayDesk pricing is shown separately on this site, and human receptionist services price differently: Ruby advertises plans starting at $245 per month and Smith.ai uses per-call pricing for its human receptionist service, so always compare a current quote including allowances and overages.

Also weigh automated versus human answering. A human service offers judgment a script cannot, while an automated service is available around the clock. On price, the cited examples differ: Ruby advertises human receptionist plans starting at $245 per month and Smith.ai uses per-call pricing, while AllDayDesk pricing is shown separately on this site, so compare current quotes including allowances and overages. Our comparison guide walks through that tradeoff.

  • Check what happens when an answer is unknown: a message should be taken, not a guess
  • Confirm what records you get per call and where you see them
  • Ask which calendar the service books into and what connections are supported
  • Compare total cost: included minutes, overage rates and any human-service quotes
  • Decide whether automated or human answering matches your call types

What the App Does Not Do

Being clear about limits helps you plan. Around-the-clock availability means the service is set up to answer at any hour; it is not a guarantee that every single call connects, and network or forwarding issues on your carrier's side can still affect delivery.

The service does not connect to dispatch software, CRM systems, health records, or industry scheduling tools. The only external calendar connection is the optional, owner-authorized Google Calendar connection in Settings. It also does not handle payment details, and it does not give medical, legal or financial advice; for those situations it takes a message so you can respond yourself.

Finally, the app does not promise a fixed setup time. Setup involves checking your business details, hearing a sample, and completing forwarding with your provider, and the forwarding step depends on your carrier.

  • No connection to dispatch, CRM, health records or industry software
  • Only optional external calendar support is Google Calendar, authorized by you
  • No payment collection, medical, legal or financial advice; messages are taken instead
  • No fixed setup duration; forwarding depends on your provider
