Business Phone Answering System: What It Is and How It Works
A business phone answering system is any setup that answers your business line when you cannot, takes a message, or books an appointment. The main types are a plain voicemail box, an auto attendant with menu options, a human answering service, and an AI receptionist. Services like AllDayDesk work by forwarding your existing number to the system, so callers keep dialing the number they already know. This guide explains each type, how forwarding works, and what happens on a call.

What a business phone answering system does
At its core, an answering system handles calls you do not pick up yourself. A basic voicemail box records a message and nothing more. An auto attendant plays a menu, such as press one for hours, press two for directions. An answering service or AI receptionist goes further: it answers in a natural voice, gathers the caller's name and reason for calling, and can take a message or book an appointment based on the information you give it.
The key idea is that the system works from information you provide up front: your business name, services, hours, and pricing you want shared. When a caller asks something the system does not know, like a price you have not listed or an unusual request, it takes a message so you can respond yourself.
- Voicemail: records messages only, no conversation
- Auto attendant: plays menus and routes calls, no real dialogue
- Human answering service: people answer on your behalf; pricing depends on the provider and plan
- AI receptionist: an automated voice that answers, takes messages, and can book appointments from your saved business details

How calls reach the system: forwarding your number
You do not need a new phone number. You can keep your public number and forward calls to the answering system. The exact steps depend on your phone carrier, and they differ between mobile lines, landlines, and hosted business phone products, so check your own service's instructions before dialing anything.
Forwarding usually comes in two flavors. Unconditional forwarding sends every call straight to the system. Conditional forwarding sends calls only when you are busy or do not answer, which lets you keep picking up your own phone during the day. Many carriers use star codes: for example, Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, and T-Mobile uses codes like **21*1 followed by the destination for unconditional forwarding. Other providers, such as Spectrum Business Voice or Comcast Business, manage forwarding through an online account portal instead of codes.
If your business line runs through Google Voice, note that Google says forwarding calls from a Google Voice number to an automated system is unsupported, so that path may not work for this kind of setup.
- Unconditional forwarding: every call goes to the system
- Conditional forwarding: calls go to the system only when busy or unanswered
- Activation is by star code on many mobile and landline services, or by portal on hosted business phone products
- Steps vary by exact product, so identify your service before using any code

What happens on a typical call
Once forwarding is active, a caller dials your usual number and the system answers in your business's voice. It greets the caller, answers questions it can from your saved business information, and asks what the caller needs. For a new appointment, it checks your services and availability and books a time. For anything it cannot answer, it takes a detailed message.
You see the results in a dashboard: calls, transcripts, summaries, and bookings are visible there. If a caller needs you directly, the system can transfer the call to a destination you have configured, following rules you set. Transfers depend on that configuration, and a transfer is not guaranteed to connect.
One important note: the sample call you hear during setup is a demonstration only. It does not create a real booking or contact a real caller.
- Caller dials your existing number
- System answers using your saved business details
- Known questions get answered; unknown ones become messages
- New appointments book into your calendar once services and availability are set
- Transfers go to a destination you configure in advance

Where booked appointments go
By default, new appointments land on the built-in AllDayDesk dashboard calendar, which you use after setting up your services and availability. If you prefer Google Calendar, you can connect it as an optional step in Settings after authorizing your Google account. Other calendar programs and industry scheduling software are not part of the connection options described here.
Changes to existing appointments are treated as requests for you to review, not confirmed edits, so you stay in control of your schedule.

- Optional: connect Google Calendar in Settings after authorizing your account

Choosing between the main types
The right choice depends on what your callers actually need. If they only leave names and numbers, voicemail may be enough. If they ask about hours, services, or pricing, or want to book a time, an answering service or AI receptionist saves you from calling everyone back. Human services answer with people; for example, one live receptionist provider advertises plans starting at $245 per month as of October 2026, though real cost depends on the plan's included allowance and overage rates. AI receptionists answer automatically around the clock, but they are software, not people. Costs vary by provider and plan, so compare actual quotes.
Compare what each option includes: monthly fee, included minutes or calls, overage charges, whether booking is supported, and whether you can keep your existing number. Pricing for AllDayDesk plans is shown separately on this site and is not listed in this guide.

How AllDayDesk fits in
AllDayDesk is an AI receptionist that answers your business calls around the clock using the business information you save. Setup starts by choosing your business or entering its website, checking the details it pulled in, and hearing a personalized sample of how your calls would sound. Then you choose your phone setup and forward your existing number using your carrier's instructions. Calls, transcripts, summaries, and bookings are visible in your dashboard.
Because it answers from your saved details, it stays honest about what it knows: when a caller asks something you have not provided, it takes a message instead of guessing.

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the answering system. The forwarding steps depend on your phone carrier, so follow the instructions for your specific service.
Will callers know they are talking to an automated system?
The system answers in a natural voice using your business details. During setup you hear a personalized sample so you know exactly how your calls will sound before you turn forwarding on.
Can it book appointments directly into my calendar?
Yes. New appointments go to the built-in dashboard calendar by default once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.
What happens when a caller asks something the system does not know?
It takes a message with the caller's name, contact information, and request so you can follow up yourself. It does not guess at prices or answers you have not provided.
Does call forwarding work with Google Voice?
Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so that path is not a reliable option for this kind of setup.
Can the system transfer urgent calls to me?
Transfers are possible to a destination you configure in advance, following rules you set. A transfer is not guaranteed to connect, and the system does not promise a message when a transfer does not go through. When a caller's question is unknown, the system takes an ordinary message as usual.
