Cloud Answering Service: How It Works and How to Choose One
A cloud answering service answers your business phone through software that runs on the internet, not through a phone line in your office or a room full of people at a call center. Calls are forwarded from your existing number to the service, and the service handles them based on information you provide about your business. This guide explains how cloud answering works, what happens when a call comes in, what features to compare, and how to connect it to the phone number you already have. AllDayDesk, the service on this site, is one example: it answers calls around the clock using your saved business details, and you can hear a personalized sample before choosing a phone setup.

What a Cloud Answering Service Is
A cloud answering service runs on internet-based software rather than equipment at your location. Your phone number stays the same. You set up call forwarding so incoming calls route to the service, and the software answers using details you saved about your business, such as your services, hours, and pricing.
This is different from two older options. A traditional answering service usually means a company with human operators who read from your account notes. A voicemail system just records messages. A cloud service can answer questions, take messages, and book appointments on its own, and everything it does shows up in an online dashboard you can check at any time.
There are also human virtual receptionist services that work remotely, such as Ruby and Smith.ai's live receptionist plans. Those use people instead of software, and their pricing and coverage work differently. If you want a side-by-side look at the two approaches, see our guide comparing an AI receptionist vs a human receptionist.
- Software answers the call using your saved business information
- Your public phone number does not change; calls are forwarded to the service
- Calls, transcripts, summaries, and bookings appear in an online dashboard
- Human receptionist services are a separate model with different pricing and coverage

What Happens When a Call Comes In
With AllDayDesk, the flow works like this. A caller dials your regular business number. Your phone service forwards the call to AllDayDesk. The service answers around the clock and uses the business information you saved to respond to questions.
When the caller wants an appointment, the service can book one. New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.
If a caller asks something the service does not know, such as a price you have not saved or a question outside your business details, it takes a message instead of guessing. If a caller asks to change an existing appointment, that is passed to you as a request; the service does not confirm changes to appointments that already exist.
You can also configure call transfers. When you set a transfer destination and rules, the service can pass certain calls to another number you choose. Pickup is not guaranteed, so transfers work best for situations where you want the chance to grab the call, not for anything that must connect every time.
- Calls forward from your existing number to the service
- Unknown answers, prices, or appointments become messages instead of guesses
- New bookings use the dashboard calendar, with optional Google Calendar in Settings
- Changes to existing appointments are requests for you, not confirmed changes
- Transfers require you to configure a destination and rules in advance

Connecting Your Existing Phone Number
You keep your public number by forwarding calls to the service. The exact steps depend on who provides your phone service, so it helps to know your provider and product name before you start.
Some providers use star codes dialed from your phone. Verizon mobile, for example, uses *72 plus the destination for all-call forwarding and *73 to turn it off, set up from the phone while in Verizon coverage. Verizon business landline also uses *72 and *73 for all-call forwarding. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. AT&T Phone for Business uses *72, the destination, then # for all calls, and separate codes for no-answer and busy forwarding.
Other providers manage forwarding through an online portal instead. With Spectrum Business Voice, you sign in to SpectrumBusiness.net, open Voice, choose your number, and set forwarding in Voice Settings or Forwarding Manager. Comcast Business manages phone features like forwarding through My Account and the Comcast Business App, and the exact steps depend on which Comcast product you subscribe to.
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path. Also note that unconditional (all calls) forwarding and conditional forwarding (busy or no-answer only) are different features, and a provider that supports one does not always support the other. If you are unsure what your line supports, check your provider's own documentation for your exact product.
- Star codes: Verizon mobile and business landline use *72 to activate and *73 to deactivate all-call forwarding
- T-Mobile uses **21*1 plus destination and # for unconditional forwarding; ##21# disables it
- AT&T Phone for Business uses *72, destination, # for all calls, with separate codes for no-answer and busy
- Spectrum Business Voice and Comcast Business manage forwarding through their online portals
- Google Voice numbers cannot be forwarded to an automated system
- All-call forwarding and conditional forwarding are different features; verify which your line supports

What to Compare When Choosing a Cloud Answering Service
Cloud answering services differ in how they price, what their dashboards show, and how they connect to your calendar. Here are the decisions worth thinking through before you pick one.
Pricing model: some services charge per minute, some per call, and some per month with an included allowance. Human services like Ruby advertise plans starting at $245 per month, while Smith.ai's live receptionist plans use per-call pricing, so the real cost depends on your call volume and what is included. Ask what happens when you go over any included amount.
Dashboard and visibility: check whether you can see full call records, transcripts, summaries, and booked appointments in one place. With AllDayDesk, all of these appear in the dashboard, so you can review what was said and what was booked without calling in.
Calendar connection: if you take appointments, find out where new bookings land. AllDayDesk uses its built-in dashboard calendar by default and supports an optional Google Calendar connection in Settings after you authorize your account. Do not assume a service connects to other scheduling or industry software without checking. Setup process matters too: a reasonable setup asks you to enter your business or website, confirm the details it found, hear a personalized sample, and then choose how to connect your phone. Be wary of any service promising an instant setup; checking your business details and configuring your phone takes real steps. Finally, weigh human judgment against software consistency for your typical calls and budget; neither is universally better.
- Compare per-minute, per-call, and monthly pricing against your actual call volume
- Confirm the dashboard shows calls, transcripts, summaries, and bookings
- Check where new appointments are stored and whether Google Calendar is supported
- Look for a setup that verifies your business details and lets you hear a sample first
- Weigh human judgment against software consistency for your typical calls

Getting Started with AllDayDesk
AllDayDesk is the cloud answering service on this site. Setup starts by choosing your business or entering its website, checking the details it pulls up, hearing a personalized sample of how your calls would be answered, and then choosing your phone setup. The sample is a preview only; it does not create a real booking.
Once you are set up, the service answers using your saved business information, and you can review calls, transcripts, summaries, and bookings in the dashboard. Most owners answer their own phone during business hours and use the service for the times they cannot pick up, but how you use it is up to you.
- Enter your business or website and confirm the details it finds
- Hear a personalized sample before committing to a phone setup
- Configure your services and availability so new bookings land on the dashboard calendar
- Optionally connect Google Calendar in Settings after authorizing your account

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the service. The forwarding steps depend on your phone provider and product, so check your provider's documentation for your exact service.
Can I use my Google Voice number?
No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path. A regular carrier or business phone line works instead.
Where do booked appointments go?
New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.
What happens if a caller asks something the service does not know?
It takes a message instead of guessing. Unknown answers, prices, or appointment details are collected as messages for you, and you can read them in the dashboard.
Can the service transfer calls to me?
Yes, if you configure a transfer destination and rules. Pickup is not guaranteed, so treat transfers as a way to get the chance to take a call, not as a guaranteed connection.
Does around-the-clock availability mean every call connects?
No. The service is available around the clock, but availability is not the same as a guarantee that every call connects. Phone networks and forwarding can fail on any service.
