Inbound Call Handling Services: A Practical Guide for Business Owners

An inbound call handling service receives and processes the calls coming in to your business number. Instead of ringing out, your calls are forwarded to a service that answers in your business name, takes messages, answers common questions from your saved business details, and can book appointments. AllDayDesk, the service on this site, is one example: it answers calls around the clock using your saved business information, and you keep your current number by forwarding it.

What an inbound call handling service does

Calls can arrive while you are on a ladder, under a sink, or with a customer, and there may be no one else available to pick up. An inbound call handling service sits between your caller and you. When a call comes in, it is answered, the caller's reason is understood, and one of a few things happens: the question is answered, an appointment is booked, a message is taken for you, or the call is transferred to you if the rules you set say it should be.

A good way to think about the job is in four parts. First, answering: the call is picked up and greeted in your business name. Second, handling: the service uses information you saved about your business, such as services and hours, to respond to routine questions. Third, action: appointments can be booked, and messages are taken when the answer, price, or availability is not known. Fourth, record keeping: you can review calls, transcripts, summaries, and bookings in a dashboard afterward.

Two limits are worth knowing up front. Transfers to you only work after you configure a destination number and rules for when transfers happen, and a transfer is not guaranteed to connect. And when the service does not know an answer, a price, or an opening, it takes a message rather than guessing. That is the correct behavior, not a flaw.

  • Answers incoming calls in your business name
  • Uses your saved business details for routine questions
  • Books new appointments once you have set up services and availability
  • Takes messages when an answer or price is unknown
  • Transfers calls to you based on rules you configure
  • Logs calls, transcripts, summaries, and bookings in a dashboard

The main types of inbound call handling services

There are three broad categories, and they differ in who or what does the answering and how costs are structured.

Human answering services employ people who answer your calls. Providers such as AnswerConnect advertise 24/7 live answering by people, and Ruby offers human virtual receptionists with plans advertised starting at $245 per month as of October 9, 2026. Smith.ai uses per-call pricing for its human receptionist service. With human services, the starting price is not the whole story: you need to check the included allowance, overage charges, hours, and contract terms on a current quote.

AI receptionists use software to answer. AllDayDesk is an example on this site: it answers around the clock using your saved business information, offers a personalized sample before you commit, and books into a built-in dashboard calendar by default, with an optional Google Calendar connection available in Settings after you connect and authorize your account. Other providers sell AI receptionists too; Smith.ai, for instance, offers a separate AI receptionist product with escalation to its own live agent network.

In-house reception is the third option. A receptionist's job includes greeting visitors and office tasks beyond the phone, according to the US Bureau of Labor Statistics, so compare scope rather than treating a phone service as a full employee replacement. Human coverage and fees vary by service and plan, so it is not accurate to say people always cost more or only work business hours.

  • Human answering services: people answer; for example, Ruby advertises plans starting at $245/month and Smith.ai uses per-call pricing
  • AI receptionists: software answers using your saved business details
  • In-house reception: broader duties, but phone coverage ends when the person is away
  • Compare included minutes or calls, overage rates, hours, and contract terms before choosing

How to connect your existing number

You do not need a new phone number. Inbound services like AllDayDesk work by call forwarding: you keep your public number and forward calls to the service. The exact steps depend on your phone provider, so identify your exact product first, because the same carrier often uses different codes for wireless, landline, and hosted business products.

Some verified examples show the pattern. On Verizon mobile, dial *72 plus the 10-digit destination to forward all calls, *71 for unanswered calls, and *73 to turn forwarding off; setup must be done from the phone while in Verizon coverage. On Verizon business landline, *72 activates all-call forwarding and *73 deactivates it. T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, with ##21# to disable, and separate codes for no-reply, unreachable, and busy conditions. Comcast Business manages forwarding through My Account or the Comcast Business App, and features depend on the services you subscribe to. Vonage Business Communications lets you select Call Forwarding and forward to a phone number, and Vonage recommends verifying the destination with an outside call. Spectrum Business Voice is configured in the web portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer forwarding.

Not every line supports forwarding, and conditional forwarding (busy or no-answer only) is not verified for every carrier. If your provider does not support it, the practical alternative is unconditional all-call forwarding during the hours you want covered, or checking with your carrier's support for your specific product. One important exception: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number cannot be forwarded to an AI answering service.

  • Verizon mobile: *72 + destination (all calls), *71 (unanswered), *73 to disable
  • Verizon business landline: *72 to activate, *73 to deactivate
  • T-Mobile: **21*1 + destination + # (always), ##21# to disable
  • Comcast Business: managed in My Account or the app; features vary by subscription
  • Vonage Business: enable Call Forwarding to a phone number; verify with a test call from another phone
  • Spectrum Business Voice: portal-based, choose all calls or busy/no-answer
  • Google Voice numbers cannot be forwarded to automated systems

How to choose and set up a service

Start with your call patterns, not the sales page. Note when calls actually arrive, what callers usually ask, and what you want to happen: a booked appointment, a message, or a transfer to you. Then match the service type to that pattern and to your budget, checking what each plan includes beyond the headline price.

With AllDayDesk, setup follows a clear sequence. You choose your business or enter its website, check the business details the service will use, and hear a personalized sample of how your calls would be answered. The sample is a demonstration and creates no real booking. Then you choose your phone setup and forward your number using your provider's instructions. New appointments go to the built-in dashboard calendar by default once you have configured your services and availability; if you prefer Google Calendar, you can connect and authorize it in Settings as an optional step.

Before going live, decide your transfer rules and destination number, since transfers only happen after you configure them and are not guaranteed to connect. Also review what the service should do when it does not know something: taking a message is the safe default, and it is what happens automatically when an answer, price, or appointment is unknown.

  • Map when your calls come in and what callers usually need
  • Compare plan inclusions and overage rates, not just the base price
  • Confirm your phone line supports forwarding before signing up
  • Set up services and availability so appointment booking works
  • Configure transfer destination and rules if you want calls handed to you
  • Review calls, transcripts, and bookings in the dashboard regularly

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to the service. The forwarding steps depend on your phone provider, and not every line supports every forwarding type, so confirm with your carrier for your exact product.

Can the service book appointments directly into my Google Calendar?

New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. Google Calendar is supported as an optional connection: you connect and authorize your account in Settings.

What happens when a caller asks something the service does not know?

When an answer, price, or appointment is unknown, the service takes a message for you instead of guessing. You can review messages, along with calls, transcripts, summaries, and bookings, in the dashboard.

Will calls always transfer to me successfully?

Transfers happen only after you configure a destination number and rules for when transfers occur, and a transfer is not guaranteed to connect. Separately, when an answer, price, or appointment is unknown, the service takes a message for you instead of guessing.

Can I forward a Google Voice number to an AI answering service?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported. You would need a number from a carrier or phone service that supports forwarding.

How much do these services cost?

It varies by type and plan. Ruby advertises human virtual receptionist plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service. AllDayDesk pricing is shown separately on this site. Always compare included allowance, overages, hours, and contract terms on a current quote.
