Inbound Call Management Solution: What Happens When Your Phone Rings
An inbound call management solution handles calls coming in to your business number: it answers, greets callers, answers questions from your saved business details, takes messages, and can book appointments. With AllDayDesk, you keep your existing number and forward calls to the service, then review calls, transcripts, and bookings in your dashboard. This guide explains the inbound flow and how to decide if it fits your business.

What an inbound call management solution actually does
Think of the inbound flow as everything that happens from the moment a caller dials your number to the moment the call ends. A solution manages that flow for you. AllDayDesk answers business calls around the clock using the information you save about your business, such as your services, hours, and location.
When a call comes in, the receptionist greets the caller, answers questions it can answer from your saved details, takes a message when it does not know something, and can book new appointments using your configured services and availability. You see calls, transcripts, summaries, and bookings in your dashboard, so you always know what happened while you were busy or away from the phone.
- Answers incoming calls at any hour using your saved business information
- Answers questions from your details and takes a message when an answer, price, or appointment time is unknown
- Books new appointments on the built-in dashboard calendar once you have set up services and availability
- Shows calls, transcripts, summaries, and bookings in your dashboard
- Keeps your existing public phone number through call forwarding

How calls reach the solution: forwarding your number
You do not change your public phone number. You keep it and forward calls to AllDayDesk. The exact steps depend on your phone service, because each carrier handles forwarding differently. Setup starts by choosing your business or entering its website, checking the details, hearing a personalized sample, and then choosing phone setup, where you get instructions matched to your provider.
Some carriers use star codes dialed from the phone itself. For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses codes like **21*1 followed by the destination and #. Other providers, such as Spectrum Business Voice, manage forwarding through an online portal instead of codes. Features and charges depend on your plan, so check with your provider before turning forwarding on.
One important limit: Google Voice does not support forwarding calls to an automated system, so a Google Voice number cannot be forwarded to AllDayDesk. If your business runs on Google Voice, you would need a different phone line to forward.
- Keep your existing number; forwarding sends calls to the service
- Carrier instructions differ: some use star codes, others use an online portal
- Forwarding charges depend on your phone plan
- Google Voice does not support forwarding to automated systems

What happens during a handled call
During a call, the receptionist works from the business details you saved. If a caller asks about your services, hours, or location, it answers from that information. If a caller wants an appointment, it can book one on your calendar, as long as you have configured your services and availability first. By default, new appointments go on the built-in AllDayDesk dashboard calendar. If you prefer, you can connect Google Calendar in Settings after connecting and authorizing your Google account.
When the receptionist does not know an answer, a price, or an available appointment time, it takes a message instead of guessing. You can review the message, the transcript, and the call summary in your dashboard and follow up yourself.
If a caller needs you directly, the receptionist can transfer the call, but only after you have configured a transfer destination and rules for when transfers happen. A transfer is not guaranteed to connect, so it helps to review your dashboard regularly so nothing waits on you.
- Answers come from your saved business details, not guesses
- New bookings use the dashboard calendar by default; Google Calendar is optional in Settings
- Unknown answers, prices, or times become messages for you
- Transfers need a configured destination and rules, and pickup is not guaranteed
- See how appointment booking works once your services and availability are configured. AI appointment booking
How to choose the right solution for your business
Not every solution handles inbound calls the same way. Human answering services staff phones with people, which can suit owners who want a human voice on their calls. AI receptionists answer using saved business details, so there is no per-call human staffing cost to factor in. For example, Ruby advertises live virtual receptionist plans starting at $245 per month as of October 2026, while Smith.ai uses per-call pricing for its human receptionist service. Starting prices alone are not a full comparison; you need to check included minutes, overage charges, hours, and contract terms on a current quote.
When comparing options, look at what happens on the inbound path: how calls are answered, what the service does with questions it cannot answer, how bookings are made, and how you review what happened. Also consider scope. An in-house receptionist handles visitors and office tasks beyond the phone, so a phone service is not a full replacement for one.
AllDayDesk is this site's own product, and this comparison is based on documented features rather than hands-on testing of competitors. Its plans include a set amount of minutes per month with per-minute overage rates, and pricing is displayed separately on the pricing page.
- Human services offer people on the line; AI receptionists answer from saved details
- Compare included minutes, overage rates, hours, and contracts, not just starting prices
- Check how each option handles unknown questions, bookings, and message taking
- A phone service covers calls, not the other duties of an in-house receptionist

Can the receptionist book appointments on my Google Calendar?
New appointments use the built-in AllDayDesk dashboard calendar by default. If you want to use Google Calendar instead, you can connect and authorize your Google account in Settings.
