Landscaping Appointment Booking Software: How Phone Booking Works
Landscaping appointment booking software lets customers book lawn care, mulching, cleanup, or estimate visits without you stopping work to answer the phone. With AllDayDesk, calls are answered around the clock using the business details you save, and the receptionist books open times during the call. New appointments go to the built-in dashboard calendar by default, with an optional Google Calendar connection in Settings.

Why landscapers book by phone
Most landscaping work happens outdoors, away from a desk. When your phone rings while you are mowing, edging, or running a chipper, you have two choices: stop the equipment and answer, or let it ring. Seasonal calls pile up fast in spring, and a caller who reaches voicemail may or may not leave a message, which means you find out late or not at all.
Phone-based booking software covers that gap. AllDayDesk answers calls around the clock using the business information you save, so a caller can ask about services and request a visit even while you are on a job. The receptionist can book the appointment during the call when the details are clear and a time is open, and it takes a message when something is unknown, like a price you have not saved or a special request you need to review yourself.
- Callers can request lawn care, cleanup, mulching, or estimate visits at any hour.
- Booking happens in the same call as the question, so the caller does not have to wait for a callback.
- Unknown answers, prices, or unusual requests become messages for you instead of guesses.
- You review calls, transcripts, summaries, and bookings in the dashboard whenever you have a break.

What happens during a booking call
A typical booking call follows a simple path. The caller states what they need, such as a spring cleanup or a recurring mowing schedule. The receptionist answers general questions from the details you saved, like your service area, hours, and service list. If the caller wants an appointment, the receptionist checks your configured availability and books an open time, confirming the date, time, address, and service with the caller.
Not every call ends in a booking, and that is by design. If a caller asks for a price that is not in your saved details, wants a service you have not listed, or needs a change to an existing appointment, the receptionist takes a message so you can handle it. Changes to existing appointments are requests for you to review, not confirmed changes, because only you know the full picture of your route and crew schedule.
You are not blind to any of this. Calls, transcripts, summaries, and bookings are visible in your dashboard, and bookings show up on your calendar. If a caller is hard to understand or the request is unusual, you can read the transcript and follow up yourself.
- General questions are answered from your saved business details.
- New appointments are booked in-call when services and availability are configured and a time is open.
- Price questions or special requests you have not saved become messages.
- Existing appointment changes are captured as requests for your review, not automatic changes.

Your two calendar options
AllDayDesk gives you two places for booked appointments to land. The default is the built-in dashboard calendar, which works on its own once you have configured your services and availability. If you do not use any outside calendar, this is the simplest path: set up your services, block out your availability, and booked appointments appear in the dashboard alongside your calls and transcripts.
If you already keep your schedule in Google Calendar, you can connect it instead. This is done in Settings after you connect and authorize your Google account. Once connected, bookings work with that calendar. Google Calendar is the only external calendar connection AllDayDesk supports, so if your schedule lives in a different tool, the built-in dashboard calendar is the option to use.
Either way, the setup order matters: configure your services and availability before you expect bookings. The receptionist can only offer times you have made available.
- Default: the built-in AllDayDesk dashboard calendar, after you configure services and availability.
- Optional: connect Google Calendar in Settings after connecting and authorizing your account.
- Google Calendar is the only external calendar connection supported.
- No bookings happen until services and availability are set up.

Choosing a booking approach for your business
Before picking any tool, think about how your bookings actually arrive. If nearly all your jobs come from phone calls and you are hard to reach during work hours, phone-based booking fits well. If most customers book through your website or a form and the phone is quiet, a full phone service may be more than you need.
Also consider where your schedule lives. If you already manage everything in Google Calendar, the optional connection keeps your existing workflow. If you keep your schedule on paper or in your head, the built-in dashboard calendar gives you one place to see calls, messages, and bookings together.
Finally, decide what the receptionist should be allowed to book on its own versus what should always become a message. One option is to let routine visits and estimates book directly while anything unusual, like a large removal or a property access question, becomes a message instead. You control this through the services and details you save.
- Phone-heavy lead flow points toward phone-based booking.
- Google Calendar users can keep their existing calendar via the optional connection.
- Businesses without an outside calendar can use the built-in dashboard calendar.
- Decide which services book directly and which always become messages.

Getting started with AllDayDesk
Setup starts by choosing your business or entering its website, then checking the business details AllDayDesk pulls in. You hear a personalized sample of how your receptionist will sound before anything goes live, and the sample creates no real booking. After that, you choose your phone setup: you keep your public number and forward calls to AllDayDesk, with instructions that depend on your phone service.
Forwarding is the one step that varies most. Carriers use different codes and portals, and some services handle forwarding differently than others. If you use Google Voice, note that forwarding calls from a Google Voice number to an automated system is unsupported by Google, so that setup will not work. Check your carrier's own instructions before activating anything, and test with a real call once forwarding is on.
- Enter your business or website, then check the saved details.
- Hear a personalized sample; it creates no real booking.
- Keep your public number and forward calls; steps depend on your phone service.
- Verify your carrier's forwarding instructions and test before relying on it.

More questions, answered
Can AllDayDesk connect to my scheduling app?
AllDayDesk supports one external calendar connection: Google Calendar, set up in Settings after you connect and authorize your Google account. Other calendar tools and industry scheduling software are not supported connections. If your schedule lives elsewhere, use the built-in dashboard calendar.
What if a caller asks for a price during the call?
If the price is in your saved business details, the receptionist can share it. If it is not saved, the receptionist takes a message so you can quote the job yourself. It does not guess at prices.
Can callers reschedule an existing appointment?
Changes to existing appointments are captured as requests for you to review, not confirmed changes. You see the request in your dashboard and make the actual change on your calendar.
Do I need to change my business phone number?
No. You keep your public number and forward calls to AllDayDesk. The forwarding instructions depend on your phone service, so check your carrier's own guide before activating.
How do I know what was booked while I was working?
Open your dashboard. Calls, transcripts, summaries, and bookings are listed there, and new appointments appear on the calendar you chose during setup.
Does the sample call book a real appointment?
No. The personalized sample you hear during setup is a preview only and creates no real booking.
