Phone Call Management Software: What It Does and How to Choose
Phone call management software helps a business handle incoming calls by forwarding them, routing them to a destination, recording messages, or answering them automatically. The right choice depends on whether calls mainly need to reach a different phone, or need something to actually answer and act on them. This guide compares the main types, including AllDayDesk, an automated answering service on this site.

What Phone Call Management Software Actually Does
Most call management tools do one or more of three jobs. First, they move calls: forwarding sends a call that rings your business number to another phone, such as your cell or an answering service. Second, they sort calls: routing sends callers to different destinations based on a menu, a schedule, or the caller's choice. Third, they handle calls: an automated system or a person answers, answers questions, takes messages, or books appointments.
These jobs stack. For example, a business can keep its public phone number, forward calls to an answering system when it cannot pick up, and review messages and bookings afterward in a dashboard. The software does not replace your phone service; it works on top of it, which is why forwarding setup matters.
- Forwarding: sends calls from your existing number to another destination
- Routing: directs callers to the right place using menus, schedules, or rules you configure
- Automated answering: an AI system answers in your business's voice and information
- Message taking: when an answer, price, or opening is unknown, the caller leaves a message
- Records: calls, transcripts, summaries, and bookings collected in one dashboard

The Three Main Types, Compared
Forwarding controls are often included with your phone plan, though availability depends on your carrier and product. They are the plumbing that makes everything else possible, but they only move the call; nothing answers it. Routing tools add decision-making, such as sending after-hours calls somewhere different from daytime calls. Automated answering systems actually pick up: AllDayDesk answers around the clock using the business information you save, hears a personalized sample before you commit, and can book new appointments on its built-in dashboard calendar once you have configured your services and availability.
Human answering services are a fourth option. They employ people to answer, and coverage and fees vary by service and plan. For example, Ruby advertises live virtual receptionist plans starting at $245 per month as of October 9, 2026, and Smith.ai uses per-call pricing for its human receptionist service; those starting prices are not complete cost comparisons, so verify included allowance, overages, and hours on a current quote. An in-house receptionist, per US Bureau of Labor Statistics occupation data, also covers greeting visitors and office tasks beyond phones, so compare scope rather than treating any phone service as a full employee replacement.
- Forwarding only: cheapest, but the call still needs somewhere to land
- Routing: useful when calls must reach different people or departments
- Automated answering: AllDayDesk answers using your saved business details, with no real booking created by the sample call
- Human answering services: people answer, with pricing and coverage that vary by provider and plan
- In-house staff: broadest scope, highest fixed commitment

How Forwarding Connects Your Number to the Software
You keep your public number and forward calls to the answering system. The exact steps depend on your phone carrier and product, so identify the exact service on your bill first. A few verified examples: Verizon mobile uses *72 plus the 10-digit destination for all calls and *73 to disable, with *71 for unanswered calls. T-Mobile uses **21*1 plus destination and # for unconditional forwarding, with ##21# to disable. AT&T Phone for Business uses *72, destination, # for all calls and *92 for no-answer forwarding. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager. Comcast Business features depend on whether you have Voice Mobility, Business Voice, or VoiceEdge, and Optimum Business Phone uses *72 then the destination, with *73 to turn it off.
Not every line supports forwarding to an automated system. Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so Google Voice customers need a different approach. Conditional forwarding, which forwards only when busy or unanswered, is not available on every plan or device; if your carrier has not verified it, check with their support before assuming it works.
- Identify your exact carrier product before using any code or portal step
- All-call forwarding sends everything; conditional forwarding sends only busy or unanswered calls
- Verify the destination with a real outside test call after setup
- Google Voice to an automated system is unsupported by Google

How to Choose the Right Tool for Your Business
Start with what happens to a call you cannot take today. If the problem is that calls ring a phone nobody answers, forwarding plus an answering system solves it. If the problem is that calls reach the wrong person, routing is the fix. If the problem is that voicemails sit unheard until you check them, automated or human answering is the fix.
Next, decide what the caller should be able to do. AllDayDesk answers questions from your saved business information, takes a message when an answer, price, or appointment is unknown, and books new appointments on the built-in dashboard calendar by default. If you use Google Calendar, an optional connection is available in Settings after you connect and authorize your account. Changes to existing appointments are requests for you to approve, not confirmed changes, so you stay in control of your schedule.
Finally, check the practical requirements: your carrier must support forwarding to the destination, you must be able to configure transfer destinations and rules yourself, and transfers respond when your rules allow but neither pickup nor an immediate response is guaranteed. Think about which calls you want to reach you directly and which can be handled without you, based on who answers your phone today.
- Map your current failure point: unanswered rings, wrong destination, or hang-ups on voicemail
- List what callers need: answers, messages, or new appointments
- Confirm your carrier supports forwarding to an automated destination
- Plan your transfer rules and destination before turning the service on
- Review calls, transcripts, summaries, and bookings in the dashboard to see what callers actually ask

Setting Up AllDayDesk Step by Step
Setup starts by choosing your business or entering its website, then checking the details the system pulled together. You hear a personalized sample of how your calls would be answered before choosing your phone setup; the sample creates no real booking. From there, you forward your existing number using your carrier's instructions, and calls, transcripts, summaries, and bookings appear in your dashboard.
Before appointments can be booked, configure your services and availability in the dashboard calendar. If you prefer Google Calendar, connect and authorize it in Settings. There is no setup-duration promise to worry about; take the time to get your business details, services, and availability right, since the system answers from what you save.

More questions, answered
Will this work with my phone number?
You keep your public number and forward it, so it depends on whether your carrier supports forwarding to an automated destination. Many business and mobile lines do, but support varies by carrier and plan: Google Voice does not support forwarding to automated systems, and some plans lack conditional forwarding. Check with your carrier using your exact product name.
What happens if a caller asks something the system does not know?
When an answer, price, or appointment is unknown, the system takes a message for you instead of guessing. You see the message in your dashboard along with the call transcript and summary.
Does AllDayDesk connect to my calendar?
New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Other calendars and industry scheduling software are not supported connections.
Can calls be transferred to me?
Yes, once you configure a transfer destination and rules. Transfers happen according to those rules, but neither pickup nor an immediate response is guaranteed, so callers may also leave messages through ordinary message taking.
Is an automated system cheaper than a human answering service?
Fees vary by service and plan on both sides, so there is no universal answer. Human services like Ruby and Smith.ai publish their own starting prices, and you should compare included minutes, overage rates, and hours on a current quote from any provider, including this one.
