Phone Call Routing Software: A Practical Guide for Small Businesses
Phone call routing software sends incoming calls to the right place automatically, based on rules you set. Instead of every call ringing one phone and going to voicemail when nobody picks up, routing software can forward calls to another number, split them by time of day, or hand them to an automated receptionist that answers, takes messages, and books appointments. This guide explains the main routing types, how forwarding actually gets turned on with your phone carrier, what to check before you buy, and how tools like AllDayDesk fit in. AllDayDesk is an AI receptionist that answers calls around the clock using your saved business information; you keep your existing number by forwarding calls to it.

What phone call routing software actually does
At its core, call routing software applies rules to incoming calls. A rule might say: ring the main line three times, then send the call to a cell phone. Or: after hours, send calls to an answering system. The software does not replace your phone number. Calls still arrive at your published number; the routing layer decides where they go next.
Routing is different from call management in general. Call management covers the whole picture: logs, transcripts, notes, and follow-up. Routing is the traffic-control piece that moves a live call from point A to point B. Many businesses use both together.
- Unconditional forwarding: every call goes to one destination, such as an answering service or cell phone.
- Conditional forwarding: calls only route when the line is busy, unanswered, or unreachable.
- Time-based rules: different destinations during business hours versus after hours, where the service supports them.
- Automated answering: an AI receptionist picks up the routed call, answers questions from your saved business info, and takes messages or books appointments.

How forwarding gets turned on: carrier codes and portals
Most small businesses keep their existing number and forward calls to the routing service. How you switch forwarding on depends entirely on your phone carrier and product, so identify the exact service name on your bill before following any instructions.
Some carriers use star codes dialed from the phone itself. Verizon mobile uses *72 plus the 10-digit destination for all-call forwarding, *71 for unanswered calls, and *73 to disable; setup must be done from the phone while in Verizon coverage. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable, plus separate codes for no-reply, unreachable, and busy conditions. AT&T Phone for Business uses *72, destination, # for all calls, *92 for no-answer, and *90 for busy, each with its own disable code.
Other carriers route forwarding through a web portal instead. Spectrum Business Voice manages forwarding in the Voice Settings or Forwarding Manager area after signing in at SpectrumBusiness.net, where you choose all calls or busy/no-answer and set the destination. Vonage Business Communications has a Call Forwarding setting where you enable forwarding to a phone number. Comcast Business features depend on whether you have Voice Mobility, Business Voice, or VoiceEdge, and are managed through My Account or the Comcast Business App.
One important limit: Google Voice can forward calls to linked phone numbers, but Google explicitly states that forwarding calls from a Google Voice number to an automated system is unsupported. If your business runs on Google Voice, check with Google support about options before choosing any automated answering service.
- Find your exact product name first; codes for one product often do not work on another from the same carrier.
- Star codes are dialed from the line itself; portal-based forwarding is changed in your account online.
- Conditional forwarding (busy, no answer, unreachable) is a separate feature from all-call forwarding and is not supported on every plan.
- After activating, place a test call from an outside phone to confirm calls reach the destination.

How to choose a routing setup for your business
The right choice depends on who is available to answer and what happens to a call nobody picks up. Most owners answer their own phone, so the main question is usually coverage for the times you cannot pick up: on another job, driving, or after hours.
A simple decision path: if you can answer nearly all calls yourself, conditional forwarding to a cell phone may be enough. If you miss calls regularly and want them handled, route unanswered or after-hours calls to an answering service or AI receptionist. If you want every call handled the same way regardless of timing, unconditional forwarding to a service that answers around the clock is the straightforward option.
Compare options on what actually happens to the call. A human answering service employs people to pick up; AnswerConnect, for example, offers 24/7 live answering by people, and human virtual receptionist plans from providers like Ruby and Smith.ai start at published prices you should verify on a current quote, since included minutes, overage rates, and hours vary. An AI receptionist like AllDayDesk answers automatically using your saved business details, takes messages, and can book appointments. These are documented features, not results of hands-on testing, so ask each provider how unanswered or failed transfers are handled before committing.
- Match the routing trigger to your real gap: all calls, unanswered calls, busy calls, or after-hours calls.
- Check whether the service takes messages when it cannot answer a question or book an appointment; taking a message is the standard fallback.
- Confirm how appointment booking works: AllDayDesk uses its built-in dashboard calendar by default once you set up services and availability, with an optional Google Calendar connection in Settings after you authorize your account.
- Ask about changes to existing appointments; with AllDayDesk these arrive as requests for you to approve, not confirmed changes.
- Verify pricing structure: included minutes, per-minute overages, and any per-call fees.

How routing works with AllDayDesk
AllDayDesk answers business calls around the clock using the business information you save. Setup starts by choosing your business or entering its website, checking the details it pulled together, and hearing a personalized sample call so you know exactly how your business will sound. The sample is a demonstration only and creates no real booking.
You keep your public phone number. You forward calls to AllDayDesk using the instructions for your own phone service, which is why identifying your carrier and product matters. Once calls arrive, the receptionist answers questions from your saved info, takes messages when it does not know an answer or a price, and books new appointments into the built-in AllDayDesk dashboard calendar once you have configured services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account.
Everything is visible in the dashboard: calls, transcripts, summaries, and bookings. Transfers to you are possible, but you configure the destination and rules yourself, and neither pickup nor an immediate response is guaranteed, so the receptionist takes a message when it cannot answer something.
- Keep your existing number; forwarding instructions depend on your phone service.
- Hear a personalized sample before committing; it creates no real booking.
- New appointments go to the dashboard calendar by default; Google Calendar is an optional connection in Settings.
- Changes to existing appointments come to you as requests to approve.

More questions, answered
Will forwarding my number change what callers dial?
No. Callers keep dialing your published business number. Forwarding happens behind the scenes after the call arrives at your carrier.
Does conditional forwarding work on every phone plan?
No. Conditional forwarding for busy, unanswered, or unreachable calls is a separate feature and is not supported on every plan or device. Check with your carrier for your exact service before relying on it.
Can I forward a Google Voice number to an automated receptionist?
Google explicitly states that forwarding calls from a Google Voice number to an automated system is unsupported, so this path is not a reliable option. Confirm current options with Google support.
What happens if a routed call cannot be answered or a question is unknown?
With AllDayDesk, the receptionist takes a message when it does not know an answer, price, or available appointment. Transfers to you follow the destination and rules you configure, and neither pickup nor an immediate response is guaranteed.
Do I need special software on my phone to use call routing?
Usually not. Star-code forwarding is dialed from your phone, and portal-based forwarding is changed in your carrier account online. The routing service itself runs on the provider's side.
