Remote Call Answering Service: How It Works and How to Set One Up
A remote call answering service answers your business calls from off site. You keep your usual phone number and connect the service through call forwarding with your carrier, so callers dial the same number as always. This guide covers how the connection works, what the service can and cannot do, and how to set it up.

What a Remote Call Answering Service Actually Is
The word remote means the answering happens away from your business. There are two common versions of this model. One is a team of human receptionists working at a call center in another city or state. The other is an automated receptionist, like AllDayDesk, which uses saved information about your business to answer calls around the clock. In both cases, the caller dials your normal business number and the call is routed to the remote service.
The connection between your number and the service is the key part. You do not change your phone number, print new cards, or port anything. You turn on call forwarding with your phone carrier, and your carrier sends incoming calls to the service. When you want to answer your own phone again, you turn forwarding off. This works with many mobile and landline carriers, though the exact steps depend on which carrier and product you have.
- Your public phone number stays the same
- Calls are routed to the service by your carrier through forwarding
- Human services use off-site receptionists; automated services use saved business information
- Turning forwarding off returns calls to your own phone

What a Remote Answering Service Can Do for Your Calls
A remote service handles the routine work of a phone line. With AllDayDesk, the automated receptionist answers using the business information you save, so callers get consistent answers about your hours, services, and location. When a caller wants an appointment, the receptionist can book it into the built-in AllDayDesk dashboard calendar once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.
Calls, transcripts, summaries, and bookings appear in your dashboard, so you can review what happened while you were busy or away. When the receptionist does not know an answer, a price, or whether a time is open, it takes a message instead of guessing. If you configure a transfer destination and rules, the receptionist can transfer certain calls to you, though pickup is not guaranteed because that depends on whether the destination answers.
Some things are outside the scope of any answering service. Changes to existing appointments are passed to you as requests, not confirmed changes. The service does not give medical, legal, or financial advice, and it does not collect sensitive payment or personal details over the phone.
- Answers routine questions from your saved business information
- Books new appointments into the dashboard calendar, or Google Calendar if you connect it
- Shows calls, transcripts, summaries, and bookings in your dashboard
- Takes a message when an answer or price is unknown
- Transfers calls to a destination you configure, with rules you set
- Passes appointment change requests to you rather than confirming them

How to Connect the Service to Your Phone
Setup with AllDayDesk starts by choosing your business or entering its website, checking the details it found, hearing a personalized sample of how your calls would be answered, and then choosing your phone setup. The sample is a preview only and does not create a real booking. The final step is forwarding your number, and the instructions depend on your carrier and product, so identify your exact service first.
For Verizon mobile, dial *72 plus the 10-digit destination to forward all calls, *71 plus the destination for unanswered calls, and *73 to disable; set this up from the phone while in Verizon coverage. For T-Mobile, dial **21*1 followed by the destination and # for all calls, **61*1 for no reply, **62*1 for unreachable, and **67*1 for busy, with ##004# to reset to defaults. For AT&T Phone for Business, dial *72, the destination, then # for all calls, *92 for no answer, and *90 for busy. For Comcast Business, features like forwarding are managed through My Account or the Comcast Business App, and the exact steps depend on whether you have Voice Mobility, Business Voice, or VoiceEdge. For Spectrum Business Voice, sign in to SpectrumBusiness.net, open Voice, choose your number, and use Voice Settings or Forwarding Manager. For Vonage Business Communications, select Call Forwarding and enable forwarding to a phone number. For Frontier, check which service is on your bill; Unlimited Digital Voice uses *72 and *73 from the handset. For Optimum Business Phone, dial *72, wait for dial tone, then dial the destination.
One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path is not a way to connect. If you have a Google Voice number, check with Google or your carrier about alternatives. After forwarding is on, place a test call from another phone to confirm the destination answers the way you expect.
- Verizon mobile: *72 plus destination for all calls, *71 for unanswered, *73 to disable
- T-Mobile: **21*1, **61*1, **62*1, and **67*1 plus destination and #; ##004# resets
- AT&T Phone for Business: *72 all calls, *92 no answer, *90 busy, each followed by destination and #
- Comcast Business: manage forwarding in My Account or the Comcast Business App
- Spectrum Business Voice: SpectrumBusiness.net, Voice, your number, Voice Settings or Forwarding Manager
- Vonage Business Communications: select Call Forwarding and forward to a phone number
- Frontier Unlimited Digital Voice and Optimum Business Phone: *72 to enable, *73 to disable
- Google Voice numbers cannot be forwarded to an automated system

Choosing Between Human and Automated Remote Answering
Both human and automated remote services answer calls from off site, so the choice comes down to how you want calls handled and what you want to pay. Human services, such as Ruby, AnswerConnect, and Smith.ai's virtual receptionist service, use trained people who follow your instructions. Ruby advertises plans starting at $245 per month as of October 9, 2026, and Smith.ai uses per-call pricing, so real costs depend on the quote, included allowance, overages, and hours. Human receptionists handle judgment calls well, but their coverage hours and fees vary by service and plan.
Automated services like AllDayDesk answer around the clock using your saved business information, which keeps the greeting and answers consistent no matter when someone calls. Around-the-clock availability describes when the service is available, not a promise that every single call connects. Pricing for AllDayDesk is displayed separately on this site, so check the plans page for current numbers.
A practical way to decide: if your calls often need nuanced judgment or long conversations, a human service may fit better. If your calls are mostly routine questions, messages, and appointment requests, an automated service may fit better. In either case, compare each vendor's actual pricing model — per-call fees versus included minutes or allowances — along with overage rates, hours of coverage, and contract terms, since both vary by service and plan. Also compare what happens after hours in each option, and whether you would personally be reachable then.
- Human services: trained off-site receptionists, judgment on nuanced calls, quote-based pricing
- Automated services: consistent answers from your saved info, available around the clock
- Compare included minutes or calls, overage rates, hours of coverage, and contract terms
- Ask what happens to messages and bookings in each option

Is a Remote Answering Service Right for Your Business?
A remote service makes sense when you cannot reliably reach your own phone: you are on job sites, with clients, or simply closed part of the day. It is also useful if you are the only person answering and calls interrupt work you cannot pause. Note that most owners answer their own phone at least part of the time, and a service does not replace you; it covers the calls you would otherwise miss.
It is a poor fit if every call needs your personal voice, if your call volume is tiny and voicemail works fine for you, or if your phone system cannot forward calls. Before committing, check that your carrier supports forwarding on your exact product, decide whether you want bookings in the dashboard calendar or Google Calendar, and think through which calls, if any, you want transferred to you and under what rules.
- Good fit: solo owners, on-site work, after-hours callers, appointment-heavy businesses
- Poor fit: very low call volume, phone systems without forwarding, calls needing your personal touch
- Check your carrier product supports forwarding before signing up
- Plan your services and availability so booking works from day one

More questions, answered
Do callers still dial my regular business number?
Yes. You keep your public number, and your carrier forwards calls to the answering service. Callers see no difference in the number they dial.
Can the service book appointments while I am out?
Yes, once you have configured your services and availability. New appointments go into the built-in AllDayDesk dashboard calendar by default, or into Google Calendar if you connect and authorize it in Settings. Changes to existing appointments come to you as requests, not confirmed changes.
Will my calls be transferred to me?
Only if you configure a transfer destination and rules. Even then, pickup is not guaranteed, because it depends on whether the destination answers.
What happens when the receptionist does not know an answer?
It takes a message instead of guessing. You see the call, transcript, and summary in your dashboard so you can follow up.
Can I forward a Google Voice number to the service?
No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so that is not a connection path.
How do I stop using the service?
Turn off call forwarding with your carrier using the same controls or codes you used to enable it, such as *73 on many carriers. Calls then ring your own phone again.
