Telephone Answering Software: A Buyer's Guide for Small Businesses
Telephone answering software is a program that answers your business phone when you can't. Instead of a caller hearing a busy signal or a plain voicemail box, the software picks up, speaks with the caller, collects their name and reason for calling, and can book appointments or take a message for you to review later. AllDayDesk is one example: it answers calls around the clock using the business details you save, and you keep your existing phone number by forwarding calls to it. This guide explains how the software works, what to compare before you buy, and how to set it up.

What Telephone Answering Software Does
Telephone answering software sits between your caller and you. When a call comes in and you don't pick it up, the software answers in your business's voice, using information you have saved about your services, prices, and hours. It can answer common questions, book new appointments, and take messages when it doesn't know an answer.
With AllDayDesk, everything the software does shows up in a dashboard: you can read call transcripts, see summaries of each call, and review any messages or bookings. New appointments go on the built-in AllDayDesk calendar by default, once you have set up your services and availability. If you prefer Google Calendar, you can connect and authorize your Google account in Settings as an optional step.
It helps to know what this software is not. It is not a full employee: an in-house receptionist also greets visitors and handles office tasks beyond the phone, so compare the scope of each option rather than treating a phone service as a whole replacement.
- Answers calls when you are busy, closed, or simply away from the phone
- Uses your saved business details to respond to caller questions
- Books new appointments or takes a message when an answer or price is unknown
- Shows calls, transcripts, summaries, and bookings in one dashboard
- Changes to existing appointments are passed to you as requests, not confirmed changes

How to Compare Answering Options
There are three broad ways to handle calls you miss: a plain voicemail box, a human answering service, and telephone answering software. Each has trade-offs worth weighing before you spend money.
Human services, such as Ruby, AnswerConnect, and Smith.ai's virtual receptionist service, use people to answer calls. Ruby advertises plans starting at $245 per month as of October 9, 2026, and Smith.ai uses per-call pricing, so the real cost depends on the quote, the included allowance, overage rates, and contract terms. Human coverage and fees vary by service and plan, so get current quotes rather than assuming all human services cost more or only work business hours.
Software options like AllDayDesk answer with a voice system instead of people. AllDayDesk answers around the clock using your saved business information, and you can hear a personalized sample of how it would sound for your business before committing. Note that around-the-clock availability is not a promise that every single call connects, so ask any provider you evaluate how they handle that.
This comparison is based on documented features and published pricing pages, not hands-on testing, and AllDayDesk is this site's own product.
- Voicemail: cheapest, but callers get no answers and no booking
- Human answering service: real people answer, with pricing that varies by plan and usage
- Answering software: automated answers using your saved details, with transcripts and bookings in a dashboard
- Ask each provider: what happens when the system doesn't know an answer, and what does the overage rate look like

Keeping Your Number: How Forwarding Works
You do not need a new phone number to use answering software. You keep your public number and forward calls to the service. The exact steps depend on your phone provider, so identify your exact product first — carrier instructions differ between wireless, business landline, and hosted voice products.
Some verified examples: Verizon mobile uses *72 plus the 10-digit destination for all calls, *71 for unanswered calls, and *73 to turn forwarding off, set up from the phone while in Verizon coverage. T-Mobile uses **21*1, destination, # for unconditional forwarding and ##21# to disable. Comcast Business, Spectrum Business Voice, Vonage Business Communications, and Frontier Digital Voice manage forwarding through their portals or device guides, and features depend on the services you subscribe to.
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a path to AllDayDesk. If you are unsure which product you have, check your bill or provider portal before dialing any codes.
- Forwarding is set up with your phone provider, not inside the answering software
- Codes differ by carrier and even by product line within the same carrier
- Verify your exact service name before using any activation code
- Google Voice numbers cannot be forwarded to automated answering systems

Setting Up AllDayDesk
Setup starts by choosing your business or entering its website, so the system can pull in your details. You then check that the information is correct, hear a personalized sample of how your receptionist will sound, and choose your phone setup. The sample is a preview only — it does not create a real booking.
Next, you forward your calls using your provider's instructions, as described above. Once your services and availability are configured in the dashboard, new appointments made by callers go onto the built-in AllDayDesk calendar by default. If you use Google Calendar, you can connect and authorize your account in Settings.
From then on, you can review calls, transcripts, summaries, and bookings in the dashboard whenever you like. When a caller asks something the system doesn't know — an answer, a price, or an appointment change — it takes a message instead of guessing. Changes to existing appointments come to you as requests you approve, not confirmed changes.

Questions to Ask Before You Buy
Whatever software or service you choose, a few questions will separate a good fit from a frustrating one. Use this checklist during any trial or sales call.
- What happens when the system doesn't know an answer or a price — does it take a message?
- How are changes to existing appointments handled — confirmed automatically or sent to me as requests?
- What does the dashboard show — transcripts, summaries, bookings, messages?
- Which calendar does it book on, and is Google Calendar optional or built in?
- What are the included minutes, overage rates, and contract terms?
- How do I keep my current phone number, and does my provider support forwarding?

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the answering software. The forwarding steps depend on your phone provider, so identify your exact service before using any codes.
Can AllDayDesk book appointments on my Google Calendar?
New appointments go on the built-in AllDayDesk calendar by default once you have configured services and availability. Google Calendar is supported as an optional connection you set up and authorize in Settings.
What happens if a caller asks something the software doesn't know?
When an answer, price, or appointment is unknown, the system takes a message so you can follow up. Changes to existing appointments are sent to you as requests, not confirmed changes.
Does around-the-clock availability mean every call is answered?
No. AllDayDesk is available around the clock, but that is not a guarantee that every call connects. Ask any provider you evaluate how they handle calls that don't go through.
Can I forward a Google Voice number to AllDayDesk?
No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line cannot be used for this.
