Telephone Answering System: A Buyer's Guide for Small Businesses
A telephone answering system is any setup that answers your business phone when you cannot: a voicemail box, an auto attendant menu, a human answering service, or software that answers and helps callers on its own. This guide explains the main types, what each one does well, how call forwarding connects your existing number to a system, what typical costs look like, and how to choose. The goal is simple: callers reach someone or something useful instead of hearing an unanswered ring.

What a Telephone Answering System Does
At its core, a telephone answering system handles inbound calls on your behalf. Basic versions simply record a message. More advanced systems greet the caller, answer common questions, take detailed messages, or book appointments. The right choice depends on how many calls you get, when they come in, and how much each missed call costs your business.
You can keep your existing phone number and forward calls to the answering system. That means callers dial the same number they always have, and the system picks up according to the rules you set. Depending on your carrier, you can forward all calls, or only the ones that go unanswered or arrive when you are busy on another line.
- Voicemail: records messages for you to return later
- Auto attendant: plays a menu so callers press a number to reach a person or department
- Human answering service: trained people answer in your business name
- Automated answering software: an AI voice answers, answers questions from your business info, takes messages, and can book appointments

Comparing the Main Types
Each type trades cost, coverage, and capability differently. Here is an honest comparison of documented features, not hands-on testing of specific vendors.
- Voicemail is simple, but callers get no answers, only a beep, and have to call back if they want information.
- An auto attendant routes calls but cannot answer questions or take detailed messages; it still depends on someone being available at the other end.
- A human answering service offers judgment and a personal touch. Pricing varies widely by provider and plan: one live receptionist provider we checked advertises plans starting at $245 per month, while another uses per-call pricing, so verify included minutes or calls, overage rates, hours, and contract terms on a current quote.
- Automated answering software answers around the clock, answers questions from your saved business information, takes messages, and can book appointments. AllDayDesk works this way: you enter your business details, hear a personalized sample, and forward your existing number.

Connecting Your Existing Number with Call Forwarding
You do not need a new phone number. Forwarding sends incoming calls from your current line to the answering system. The exact steps depend on your phone carrier and product, so identify your exact service first. A few verified examples: Verizon mobile uses *72 plus the 10-digit destination for all-call forwarding, *71 for unanswered calls, and *73 to turn it off, while Verizon business landline uses *72 and *73 for all-call forwarding. T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, **61*1 for no-reply, **62*1 for unreachable, and **67*1 for busy, with ## codes to disable each.
Comcast Business Voice, Spectrum Business Voice, and Optimum Business Phone manage forwarding through their online account portals, though some Comcast Managed Voice and Optimum lines also support *72 and *73 from the handset. One important limit: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible forwarding source for this kind of service.
Conditional forwarding (busy or no-answer only) is not available on every plan or device. If your carrier does not offer it, the usual alternative is all-call forwarding, where the system handles every incoming call.
- Forward all calls when you want the system to handle everything
- Forward only busy or unanswered calls when you want to answer personally first
- Always place a test call from another phone after activating forwarding
- Forwarding setup must usually be done from your own line or account portal

How to Choose the Right System
Work through these questions before you buy. They matter more than any feature list.
- When do your calls arrive? If you miss calls evenings or weekends, around-the-clock availability matters.
- What do callers usually want? Simple questions suit automation; complex or sensitive matters may need a message taken for you.
- Do you need booking? If so, check that the system can book into a calendar you actually use. AllDayDesk books into its built-in dashboard calendar by default, with an optional Google Calendar connection you authorize in Settings.
- What happens to messages? Look for a dashboard where you can read calls, transcripts, summaries, and bookings.
- What is your budget? Compare included minutes, per-minute overage rates, and contract terms, not just the headline price.
- Can you keep your number? Confirm your carrier supports forwarding before you commit.

How AllDayDesk Fits In
AllDayDesk is an automated telephone answering system. You enter your business name or website, review the details it learned, and hear a personalized sample call so you know exactly how it sounds before anything goes live. The sample does not create a real booking.
Callers dial your existing number, which you forward to AllDayDesk using your carrier's instructions. The system answers using your saved business information, answers what it can, and takes a message whenever an answer, price, or appointment is unknown. Calls, transcripts, summaries, and bookings are visible in your dashboard. New appointments go to the built-in AllDayDesk calendar once you have configured your services and availability, or to Google Calendar if you connect and authorize it in Settings. Changes to existing appointments are passed to you as requests, not confirmed automatically. If you want calls handed to you directly, you can configure a transfer destination and rules, though pickup is not guaranteed.

More questions, answered
Do I have to change my business phone number?
No. You keep your public number and forward calls to the answering system. The forwarding steps depend on your phone carrier, so check your provider's instructions for your exact service.
Can I forward only the calls I miss?
Often, yes. Many carriers offer conditional forwarding for busy or unanswered calls, but it is not available on every plan or device. If yours does not support it, all-call forwarding is the usual alternative.
Will callers know they are talking to a system?
AllDayDesk answers in your business name using your saved information, and you can hear a personalized sample before you turn it on. Transparency is up to you, but the greeting is built from your real business details.
What happens when the system does not know an answer?
It takes a message for you. Unknown answers, prices, or appointment requests are collected and shown in your dashboard with the call transcript and summary.
Can it book appointments on my calendar?
New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have set up your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.
