Telephone Answering Systems Small Business: Types and How to Choose
A telephone answering system is whatever picks up your business phone when you cannot: a voicemail box, an auto attendant with a menu, a live answering service staffed by people, or an AI receptionist that answers and books appointments. This guide explains how each type works, what it handles well, and how to choose. It ends with how forwarding connects any of these systems to your existing number.

The Four Main Types of Answering Systems
Four approaches cover the options available to a small business, and combining two of them is possible. Understanding what each one actually does makes the choice much easier.
Voicemail and answering machines record a message and nothing more. An auto attendant plays a greeting and a menu (press 1 for hours, press 2 for directions) but does not hold a conversation. A live answering service puts trained people on the line who take messages and follow your instructions. An AI receptionist answers conversationally, answers questions from information you provide, and can book appointments directly.
- Voicemail: records messages, callers get no answers to questions
- Auto attendant: routes callers with a menu, no conversation, no booking
- Live answering service: humans take messages and follow scripts, usually billed per call or per minute
- AI receptionist: conversational answers from your saved business details, message taking, and appointment booking in a dashboard calendar

How to Choose: Five Questions to Ask
Work through these questions before comparing prices, because the answers eliminate most options quickly.
First, what do callers actually need? If they only need to leave a number, voicemail works. If they ask about pricing, availability, or services, you need something that can answer. Second, when do calls come in? Missed evening and weekend calls point toward a service that covers hours you cannot. Third, do you want bookings? Only systems connected to a calendar can schedule appointments; a message taker cannot. Fourth, what is your budget shape? Pricing structures differ by provider — Smith.ai uses per-call pricing for its human receptionists, Ruby advertises a monthly starting price, and AllDayDesk uses monthly plans with included minutes — so compare actual quotes. Fifth, how important is a human voice for your callers? Some callers prefer people; others just want their question answered fast.
- Match the system to caller needs, not to features you might never use
- If appointments matter, confirm the system can actually book them, not just take a message
- Compare pricing structures: per-call, per-minute, or flat monthly plans
- Consider whether callers need empathy and judgment (humans) or fast factual answers (AI or a well-built menu)

Live Services vs AI Receptionists: An Honest Comparison
This site sells AllDayDesk, an AI receptionist, so treat this section as a comparison of documented features rather than hands-on testing of any product. Live answering services like Ruby, Smith.ai, and AnswerConnect staff their lines with human receptionists who follow your scripts, take messages, and handle judgment calls. Ruby advertises plans starting at $245 per month as of October 2026; Smith.ai uses per-call pricing. Actual costs depend on included allowance, overage rates, hours, and contract terms, so always compare current quotes.
An AI receptionist like AllDayDesk answers around the clock using business details you save, takes messages when it does not know an answer or a price, and books new appointments into a built-in dashboard calendar, with an optional Google Calendar connection you set up in Settings after authorizing your account. Calls, transcripts, and summaries appear in your dashboard. Setup involves choosing your business or entering its website, checking the details it found, hearing a personalized sample, and forwarding your existing number. Note that a full-time in-house receptionist does far more than answer phones, including greeting visitors and office tasks, so a phone system is not a one-for-one employee replacement.
Neither type guarantees that every call connects or that a transfer always reaches you. Both take messages when they cannot answer something.
- Live services: human judgment and empathy; Smith.ai bills per call and Ruby advertises a monthly starting price
- AllDayDesk (AI receptionist): monthly plans with included minutes, conversational answers, dashboard booking and transcripts
- Neither replaces the full scope of an in-house receptionist job
- Ask any provider what happens when they cannot answer a question; the honest answer is message taking

Connecting a System to Your Existing Number
You do not need a new phone number. Nearly all answering systems work by call forwarding: your carrier sends incoming calls to the answering system's number, and callers keep dialing your public number. The activation steps depend entirely on your carrier and product, so identify the exact service name on your bill first.
Verified examples: Verizon mobile uses *72 plus the 10-digit destination for all calls, *71 for unanswered calls, and *73 to disable. T-Mobile uses **21*1 plus destination and # for unconditional forwarding, with ##21# to disable. AT&T Phone for Business uses *72, destination, # for all calls and *92 for no-answer forwarding. Comcast Business features are managed through My Account or the Comcast Business App and depend on which voice product you subscribe to. Spectrum Business Voice forwarding is set in the online portal under Voice Settings or Forwarding Manager. Vonage Business Communications enables forwarding by selecting Call Forwarding and choosing a destination number.
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible starting point for an AI receptionist. If your carrier is not listed here, call its business support and ask whether conditional (busy or no-answer) forwarding is supported on your exact plan before assuming it is.
- Identify your exact carrier product from your bill before using any code
- All-call forwarding sends every call immediately; conditional forwarding only sends busy or unanswered calls
- Forwarding applies to calls, not texts, on Verizon mobile; check your carrier
- Verify the destination by placing an outside test call after activating

Setting Up Whatever You Choose
Whichever system you pick, the setup pattern is similar. Write down the top five questions callers ask and the answers to each; every system performs better with clear source information. Record or approve a greeting that states your business name and sets expectations. Decide what happens to messages: where they land, who sees them, and how fast you will respond. Then activate forwarding and place a real test call from another phone.
If you choose AllDayDesk, setup starts by choosing your business or entering its website, checking the details it found, and hearing a personalized sample call. The sample does not create a real booking. You keep your existing number by forwarding calls, and the exact instructions depend on your phone service. Once you have configured your services and availability, new appointments go into the built-in dashboard calendar by default, with optional Google Calendar support available in Settings. Changes to existing appointments are passed to you as requests rather than confirmed changes.
- List your top caller questions and answers before configuring anything
- Keep your public number; forwarding does the work
- Test with a real call from a different phone after activating forwarding
- Review transcripts and messages regularly, especially in the first weeks

More questions, answered
Can I keep my current business phone number?
Yes. Answering systems work through call forwarding, so callers keep dialing your existing public number and your carrier sends the calls to the answering system. The activation steps depend on your carrier and product.
Will an answering system book appointments for me?
Only systems connected to a calendar can book. AllDayDesk books new appointments into its built-in dashboard calendar once you have configured services and availability, with an optional Google Calendar connection you authorize in Settings. Changes to existing appointments come to you as requests, not confirmed changes.
What happens if the system does not know an answer?
It takes a message. When an answer, price, or appointment slot is unknown, the caller is offered the chance to leave a message for you instead of getting a guess.
Does forwarding work with Google Voice?
No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number cannot be forwarded to an AI receptionist.
Do I need a second phone line?
Usually not. Forwarding sends calls from your existing line to the answering system, so you can keep one number. Confirm with your carrier whether conditional forwarding is supported on your specific plan.
