Virtual Auto Attendant Phone System: A Plain-English Guide
A virtual auto attendant phone system answers your business calls in the cloud instead of on a phone box in your office. Callers dial your regular business number, the call is forwarded to a service that answers with your business name and information, and you keep your existing phone number by turning on call forwarding with your phone provider. There is no new hardware to buy, and setup usually involves choosing your business, checking the details the service found, hearing a sample greeting, and connecting your phone line. This guide explains how virtual attendants work, what they can and cannot do, and how to decide whether one fits your business.

What a Virtual Auto Attendant Phone System Is
A traditional auto attendant is a menu system built into an office phone system: press 1 for sales, press 2 for billing. A virtual auto attendant does the same job remotely. The intelligence lives on a provider's servers, not on equipment you own, so a one-person shop can have the same kind of call handling as a company with a front desk.
The word virtual refers to where the system runs. Because it is cloud-based, you do not install anything on site. Your phone provider simply sends calls to the service, and the service handles them according to the information you saved: your business name, hours, services, prices, and booking rules.
It helps to know how this differs from a plain recording. A basic voicemail or greeting only takes messages. A virtual attendant can answer common questions, take messages, and book appointments, depending on the service you choose.
- Runs in the cloud, so there is no on-premise hardware
- Answers calls on your existing business number through forwarding
- Can share saved business details like hours, services, and prices
- Can take messages and, when configured, book appointments

How Calls Flow Through a Virtual Attendant
The core mechanic is call forwarding. You keep the phone number customers already know. When someone calls it, your phone provider forwards the call to the virtual attendant service, which answers using your saved business information.
With AllDayDesk, setup starts by choosing your business or entering its website. The system checks the details it found, you hear a personalized sample of how your calls would be answered, and then you choose how to connect your phone. The sample is a preview only and does not create a real booking.
Once connected, calls are answered around the clock using your saved information. Around-the-clock availability describes when the service is available to answer; it is not a promise that every single call connects, since forwarding depends on your phone provider too.
After each call, you can review what happened in the dashboard: the call record, the transcript, a summary, and any booking that was made. When the attendant does not know an answer, a price, or whether a time is open, it takes a message instead of guessing.
- Callers dial your normal business number
- Your provider forwards the call to the service
- The attendant answers using your saved business details
- Unknown answers, prices, or times become messages for you
- Transcripts, summaries, and bookings appear in your dashboard

Connecting Your Number: What Forwarding Looks Like
Forwarding instructions depend entirely on your phone service, so there is no single code that works everywhere. Most providers offer an all-call forwarding option, which sends every incoming call to the destination, and some offer conditional options that forward only when a line is busy or unanswered. For a virtual attendant that answers everything, all-call forwarding is the usual choice.
A few verified examples show how much the steps vary. Verizon mobile uses *72 plus the destination to forward all calls and *73 to turn it off, with setup done from the phone itself. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Spectrum Business Voice manages forwarding through its online portal rather than star codes. Vonage Business Communications has a Call Forwarding setting where you enable forwarding to a phone number. The lesson: identify your exact product and follow its own instructions.
One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to this kind of service.
After you activate forwarding, place a test call from a different phone to confirm calls reach the attendant the way you expect.
- All-call forwarding sends every call to the attendant
- Conditional forwarding sends calls only when busy or unanswered
- Codes and portal steps differ by carrier and even by product within a carrier
- Google Voice numbers cannot be forwarded to an automated system
- Test with a real call from another phone after activating

Calendars, Transfers, and Honest Limits
New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, an optional connection is available in Settings after you connect and authorize your Google account. Other calendars and industry scheduling software are not part of the product.
Transfers to you are possible, but you have to configure a destination number and rules first, and neither that the call is picked up nor an immediate response is guaranteed. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.
It is also worth being clear about what a virtual attendant is not. It is not a connection to dispatch software, a CRM, health records, or other business tools. It does not handle payment details or sensitive medical, legal, or financial information, and it does not give medical, legal, or financial advice. When something is outside its saved information, it takes a message.
- Bookings land on the dashboard calendar once services and availability are set
- Google Calendar is an optional connection in Settings, authorized by you
- Transfers need a configured destination and rules, with no pickup guarantee
- Appointment changes arrive as requests for you to approve
- Unknown answers become messages rather than guesses

Is a Virtual Auto Attendant Right for Your Business?
A virtual attendant fits best when calls come in while you are busy, closed, or on another line, and when most questions repeat: hours, location, services, pricing, and booking. If you already answer your own phone comfortably and rarely miss calls, the value is smaller.
Compare your options on scope, not just price. Human virtual receptionist services exist alongside AI ones; for example, Ruby advertises human virtual receptionist plans starting at $245 per month, and Smith.ai sells both human and AI receptionist services with pricing that depends on the plan you choose. Those are their published starting points, not a full comparison, since included minutes, overage rates, and hours all differ. AllDayDesk's own plans and pricing are shown separately on this site.
Also compare against what you already pay for. An in-house receptionist does far more than answer phones, including greeting visitors and office tasks, so a phone service is not a one-for-one employee replacement. Decide what you actually need covered: after-hours calls, overflow during busy periods, or full-time answering.
- Best fit: repeated questions and calls you cannot always reach
- Weaker fit: low call volume you already handle yourself
- Compare included minutes, overage rates, and hours across services
- A phone service covers calls, not the full job of an office receptionist

More questions, answered
Do I need to buy new phones or equipment?
No. A virtual auto attendant runs in the cloud. Your existing number is forwarded to the service, so there is nothing to install in your office.
Will callers notice a difference when they dial my number?
They will hear the attendant answer with your business name and saved details instead of a ringing phone or voicemail. The number they dialed stays the same.
Can I use my Google Voice number with it?
No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice line is not a workable path.
What happens when the attendant does not know something?
It takes a message for you instead of guessing. You can review calls, transcripts, summaries, and messages in the dashboard.
Does it work with my scheduling software?
New bookings use the built-in dashboard calendar by default, and Google Calendar can be connected optionally in Settings after you authorize your account. Other scheduling tools are not supported.
How long does setup take?
Setup involves choosing your business, checking its details, hearing a sample, and turning on forwarding with your provider. The forwarding step depends on your phone company's own process, so the total time varies.
