Virtual Receptionist System: What It Is and How to Set One Up
A virtual receptionist system is a phone setup where software, instead of a person at your front desk, answers your business line, takes messages, and can book appointments. Your business keeps its own number; calls are forwarded to the service. Setting one up has two parts: configuring the service with your business details, and turning on call forwarding with your carrier.

What a virtual receptionist system actually does
Think of the system in two layers. The service layer is the receptionist itself: software that answers using your saved business information, answers common questions, takes messages, and can book appointments. The phone layer is how calls reach it: your carrier forwards calls from your existing business number to the service. You do not need to change your number, print new cards, or buy new desk phones.
With AllDayDesk, the receptionist answers around the clock using the business details you save. When a caller asks something the system does not know, like a price that is not on file, it takes a message instead of guessing. Calls, transcripts, summaries, and bookings show up in your dashboard, so you can review what happened on a call even if you were on a ladder or asleep.
It helps to know what this kind of system is not. It is not a person at a desk, and it does not replace everything an in-house receptionist does, such as greeting walk-in visitors or handling office paperwork. It covers the phone.
- Answers your existing business number around the clock
- Uses your saved business details to respond to callers
- Takes a message when it does not know an answer or price
- Shows calls, transcripts, summaries, and bookings in your dashboard
- Books new appointments once you have set up services and availability

The phone layer: forwarding your existing number
Forwarding is the step that connects your carrier to the receptionist service, and it depends entirely on who provides your phone service. Many phone services offer two kinds of forwarding. Unconditional forwarding sends every call straight to the destination. Conditional forwarding only sends calls that go unanswered, get a busy signal, or reach voicemail, which lets you answer your own phone during the day and let the system catch the rest.
The activation method varies by provider. Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to turn it off, and it must be set from the phone itself. T-Mobile uses star-star codes such as **21*1 followed by the number for unconditional forwarding. AT&T Phone for Business uses *72 for all calls, *92 for no-answer, and *90 for busy, each followed by the destination and the # key. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than codes. The exact product name on your bill matters, because codes differ even within the same carrier's lineup.
Before you commit, confirm your line supports the type of forwarding you want. If conditional forwarding is not available on your plan, all-call forwarding is the usual alternative, or you can let calls ring through and forward only when you are unavailable if your carrier supports that. One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible starting point.
- Unconditional forwarding sends every call; conditional forwarding sends only missed, busy, or unanswered calls
- Activation is by star codes on many mobile and landline services, or through a web portal on hosted business systems
- Check the exact product name on your bill before using any code list
- Google Voice numbers cannot be forwarded to an automated receptionist service

Setting up AllDayDesk as your system
Setup starts with the service, not the carrier. You choose your business or enter its website, and AllDayDesk pulls together the details it will use on calls. You check those details, then hear a personalized sample of how your receptionist would sound. The sample is a preview only; it does not create a real booking. Once you like what you hear, you choose your phone setup option and follow the forwarding instructions that match your carrier.
After calls start arriving, calls, transcripts, summaries, and bookings are visible in your dashboard. New appointments go on the built-in AllDayDesk calendar by default, which works once you have configured your services and availability. If you prefer Google Calendar, you can connect and authorize your Google account in Settings as an optional step; the built-in calendar is the default either way.
Two behaviors are worth knowing before your first call. If a caller wants to change an existing appointment, the system records that as a request for you to handle rather than confirming the change itself. And if you want calls handed off to you while a caller is on the line, you configure a transfer destination and the rules for when transfers happen; a pickup is not guaranteed, so treat transfers as one tool among several.
- Choose your business or enter its website, then check the pulled details
- Listen to a personalized sample before going live; the sample makes no real booking
- Pick your phone setup option and follow your carrier's forwarding steps
- Review calls, transcripts, summaries, and bookings in the dashboard
- Connect Google Calendar in Settings if you want it; the built-in calendar is the default

Choosing between system types
There are three broad choices, and the right one depends on how your calls actually flow. An automated system like AllDayDesk answers around the clock and handles routine questions, messages, and booking from your saved details. A human virtual receptionist service, such as Ruby or Smith.ai's live receptionist plans, puts trained people on your line; Ruby advertises plans starting at $245 per month as of October 2026, and Smith.ai prices per call, so compare included minutes or calls and overage rates on a current quote. A simple voicemail or auto attendant only records or routes; it cannot hold a conversation or book anything.
Compare on scope, not just price. An in-house receptionist also covers walk-ins and office tasks, so a phone service is not a one-for-one replacement. Check what happens when the system does not know an answer: with AllDayDesk, the caller is asked to leave a message rather than being given a guess. And check the phone layer: if your current line cannot forward, or is a Google Voice number, that shapes which option works at all.
- Automated: around-the-clock coverage, dashboard records, message taking, booking from your saved details
- Human services: real people on calls; compare included allowance, overages, hours, and contract terms on a current quote
- Voicemail or auto attendant: records or routes only, no conversation or booking
- In-house staff: covers visitors and office work beyond the phone, at a different scope and cost

More questions, answered
Do I have to change my business phone number?
No. The system works by forwarding calls from your existing number, so callers keep dialing the number they already have. The forwarding steps depend on your carrier and the exact product on your bill.
Can I keep answering my own phone during the day?
Often, yes, if your carrier supports conditional forwarding, which only sends calls you do not answer. If your line only supports all-call forwarding, every call goes to the service while forwarding is on.
What happens when a caller asks something the system does not know?
It takes a message instead of guessing. You see the message, along with the call transcript and summary, in your dashboard.
Does it work with Google Calendar?
Yes, as an optional connection. After setup, you can connect and authorize your Google account in Settings. By default, new appointments go on the built-in AllDayDesk calendar.
Can a Google Voice number be forwarded to AllDayDesk?
No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so you would need a different phone line to use the service.
Are changes to existing appointments handled automatically?
No. When a caller wants to change an existing appointment, the system records it as a request for you to review and act on, rather than confirming the change itself.
