What an after hours service does for a property management office

When your office closes, the calls do not stop. Tenants call about maintenance issues, lease questions, and rent. Owners call with updates and requests. An after hours answering service covers exactly that window: the hours your office is closed. AllDayDesk answers around the clock using the business information you save, so callers hear answers about your properties, your hours, and your services instead of a generic beep.

The receptionist answers in your business name, answers questions it can from your saved details, and takes a message whenever an answer, a price, or an appointment is unknown. Nothing is improvised. Every call produces a transcript and a summary in your dashboard, so the next morning you can read what happened overnight and decide what needs a callback.

  • Answers tenant and owner calls during closed hours in your business name
  • Takes clear messages when a question needs your judgment
  • Logs calls, transcripts, summaries, and bookings in the dashboard
  • Books new appointments on the built-in calendar once services and availability are configured

How to forward your phone only after hours

You keep your public phone number. Callers dial it as always, and your phone service forwards calls to AllDayDesk. The exact steps depend on your carrier and on which product you actually have, so check your bill or account before following any instructions. Here are verified examples from common providers:

Verizon mobile: dial *72 plus the 10-digit destination to forward all calls, *71 plus the destination for unanswered calls, and *73 to turn forwarding off. This must be done from the phone while in Verizon coverage, and charges depend on your plan. Verizon business landline uses *72 to activate and *73 to deactivate from the same line. T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, **61*1 for no reply, **62*1 for unreachable, and **67*1 for busy, with matching ## codes to disable each.

AT&T Phone for Business uses *72, destination, # for all calls and *92, destination, # for no answer. Spectrum Business Voice forwarding is managed in the online portal: sign in with an account role that can manage voice, open Voice, choose your phone number, then Voice Settings or Forwarding Manager, and pick all calls or busy/no-answer forwarding. Optimum Business Phone uses *72 then the destination, with *73 to turn it off.

Comcast Business offers call forwarding features that are managed through My Account and the Comcast Business app, but the exact steps depend on which service you subscribe to, such as Voice Mobility, Business Voice, or VoiceEdge. Identify your product first, then follow the instructions for that service in your account or app. Two more cautions matter for after hours use. Unconditional forwarding sends every call to the service, including calls you might want to take yourself during open hours, so pick the forwarding type that matches the coverage you want. And Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that setup will not work with AllDayDesk.

  • Identify your exact phone product before using any code or portal step
  • Conditional forwarding (no answer or busy) keeps daytime calls with you; unconditional sends all calls
  • Test the destination with a real call after activating
  • Google Voice numbers cannot be forwarded to an automated answering system

Getting started with AllDayDesk

Setup starts by choosing your business or entering its website. AllDayDesk checks the details it learned about your business, and you confirm they are right. Then you hear a personalized sample of how your receptionist will sound. The sample is a preview only; it does not create a real booking. After that, you choose your phone setup and forward your number using the steps for your carrier.

Once you have configured your services and availability, new appointments made by callers go on the built-in AllDayDesk dashboard calendar by default. If you prefer, you can connect Google Calendar in Settings after authorizing your account. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.

  • Choose your business or enter its website to start
  • Review and confirm the details the service learned
  • Listen to a personalized sample before going live
  • Pick your phone setup and forward your existing number

What you see the next morning

The value of after hours coverage shows up when you reopen. Instead of dialing into voicemail and writing down numbers, you open the dashboard. Overnight calls come with transcripts and summaries in the dashboard, so you can scan what tenants and owners needed without listening to anything. Booked appointments appear on the calendar, and messages that need your attention are easy to spot.

This also helps with follow-through. A tenant who called at 11 pm about a leak gets a logged message you can act on first thing, rather than a voicemail that sits unheard until someone checks the box. Owners who called with questions get answers during business hours instead of waiting days for a callback.

  • Read transcripts and summaries instead of replaying voicemail
  • See overnight bookings on the dashboard calendar
  • Prioritize callbacks based on what each summary shows

Choosing between after hours options

You have a few realistic choices for closed-hours calls. A plain voicemail box is free but gives callers no answers and no confirmation anyone heard them. A human answering service staffs calls with people; published plans from providers like Ruby start at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service, so costs vary by quote and included allowance. AllDayDesk is an AI receptionist that answers around the clock using your saved business information, with plans shown separately on this page.

A fair way to decide is to compare what each option actually does, not marketing labels. Ask: Does it answer in my business name? Does it take messages when it does not know an answer? Can I read what happened? Can it book appointments on my calendar? What does it cost per month and per extra minute? Human services and AI services differ in scope and price, and the right fit depends on your call volume and budget.

  • Voicemail: no answers, no transcripts, no booking
  • Human services: people answer; pricing varies by provider and plan
  • AllDayDesk: AI receptionist using your saved business info, with dashboard transcripts and bookings
  • Compare included minutes, overage rates, and features on current quotes

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone carrier and product, so identify your exact service before using any code.

Can it book showings or maintenance appointments overnight?

Yes, once you have configured your services and availability. New appointments go on the built-in AllDayDesk dashboard calendar by default, and an optional Google Calendar connection is available in Settings after you connect and authorize your account. Changes to existing appointments come to you as requests, not confirmed changes.

What happens if a tenant asks something the receptionist does not know?

It takes a message. When an answer, a price, or an appointment is unknown, the receptionist collects the caller's information so you can respond the next business day.

Can I transfer an urgent call to myself at night?

Transfers are possible after you configure a destination and rules. Neither pickup nor an immediate response is guaranteed, so consider whether you want the receptionist to take a message for anything you have not set up a transfer rule for.

Does AllDayDesk work with Google Voice?

Google does not support forwarding calls from a Google Voice number to an automated system, so that setup will not work. Use a standard carrier or business phone line for forwarding.

How do I know what was said on overnight calls?

Calls, transcripts, summaries, and bookings are visible in your dashboard, so you can review the night's activity when you reopen.
