AI phone answering for your business
An answering service for HVAC company owners answers your business line when you are on a ladder, under a sink cabinet, or with a customer, so callers reach a helpful voice instead of voicemail. AllDayDesk answers calls around the clock using the business information you save, such as your services, service area, and pricing you choose to share. Callers can ask questions, leave a message, or request an appointment. You keep your existing phone number by forwarding calls to AllDayDesk, and the exact forwarding steps depend on your phone carrier. Setup starts by choosing your business or entering its website, checking the details it pulled in, hearing a personalized sample, and then choosing how to connect your phone. Everything the service handles, including call transcripts, summaries, and booked appointments, shows up in your dashboard. New appointments go on the built-in AllDayDesk calendar by default once you have set your services and availability, and an optional Google Calendar connection is available in Settings after you connect and authorize your account. If a caller asks something the service does not know, like a price you have not saved or a special situation, it takes a message so you can follow up.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
HVAC work pulls you away from the phone constantly. You might be in an attic, on a rooftop unit, or mid-repair with a customer standing next to you. An answering service covers those moments. AllDayDesk answers calls around the clock using the business details you save, so callers hear answers about your services, service area, and hours instead of ringing into silence.
The service can answer common questions, take messages, and book new appointments. When a caller asks something you have not saved, such as a price for an unusual job or a question about a specific unit, the service takes a message so you can respond yourself. It does not guess at answers it does not have.
If you want a caller to reach you directly on an urgent call, you can configure call transfers. You set the destination number and the rules for when transfers happen. A transfer is an attempt to connect the caller to you, not a guaranteed pickup, so it works best for situations where you know you can answer.
Setup starts with your business, not paperwork. You choose your business from a lookup or enter its website, and AllDayDesk pulls in details like your name, services, and hours. You check those details and fix anything that is wrong or missing, because the service answers from exactly what you save.
Next, you hear a personalized sample so you know how your callers will be greeted before anything goes live. The sample is a demonstration only and creates no real booking. After that, you choose your phone setup, which means forwarding your existing number to AllDayDesk.
You keep your public phone number. Forwarding instructions depend on your phone service, so check which product you actually have before dialing anything. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Business landline products like Spectrum Business Voice or Comcast Business Voice manage forwarding through their online portals instead. If your provider does not support the forwarding type you want, your alternatives are using the provider's portal settings or a different phone line.

Every call the service handles leaves a record. Your dashboard shows the calls, their transcripts, short summaries of what the caller needed, and any appointments that were booked. This means you can scan the day's activity between jobs instead of calling back to find out what happened.
New appointments go on the built-in AllDayDesk dashboard calendar by default. That calendar works once you have configured your services and availability, so the service knows what you offer and when you can take jobs. If you use Google Calendar, you can optionally connect it in Settings after connecting and authorizing your Google account. That connection is optional and set up by you; it does not happen automatically.
Changes to existing appointments work differently from new bookings. When a caller wants to move or cancel an existing appointment, the service records that as a request for you to review, not a confirmed change. You stay in control of your schedule.
A little preparation makes the service noticeably better on day one. The answers it gives come from what you save, so think through what callers usually ask an HVAC company and write down your real answers.
You should also decide how you want calls handled in each situation. Most owners answer their own phone, so think about when you want calls forwarded, when you want transfers attempted, and when a message is fine.
Around-the-clock availability describes when the service can answer, not a promise that every single call connects. Phone networks and forwarding can fail like any technology. Similarly, a configured transfer is an attempt to reach you; neither pickup nor an immediate response is guaranteed.
The service does not connect to dispatch software, CRMs, health records, or industry scheduling tools. The supported external calendar connection is Google Calendar, and only after you connect and authorize it. If you use Google Voice as your business line, note that Google states forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a compatible forwarding source.
Finally, the service never invents answers. When an answer, price, or appointment slot is unknown, it takes a message. That is by design, so you never have a wrong price or a double-booked day traced back to the phone.
