AI phone answering for your business

Answering Service for My Business

An answering service for your business answers calls when you cannot, using information about your business so callers get useful answers instead of a blank voicemail. With AllDayDesk, you keep your existing phone number and forward calls to the service. It answers around the clock using your saved business details, takes messages, and can book new appointments once you have set up your services and availability. Setup has four steps: choose your business or enter its website, check the details it learned, listen to a personalized sample call, and pick how to forward your phone. You can hear how it sounds for your own business before anything goes live.

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What an answering service handles for your business

When a call comes in, the service answers in your business's name and uses the details you saved: what you do, your service area, your hours, and your pricing where you have shared it. It can answer common questions, take a message, and book new appointments using the built-in AllDayDesk dashboard calendar, as long as you have configured your services and availability first.

Some things are handled the same way a careful human assistant would handle them. If a caller asks something the service does not know, like a price you have not listed or a question about an existing appointment, it takes a message so you can respond. Changes to existing appointments are passed to you as requests, not confirmed on the spot.

Everything lands in your dashboard. You can review calls, read transcripts, check summaries, and see any bookings that were made. That record makes it easy to return calls in the right order and spot patterns in what callers ask for.

  • Answers calls around the clock using your saved business information
  • Books new appointments on the built-in dashboard calendar once services and availability are set
  • Takes a message when an answer, price, or appointment detail is unknown
  • Shows calls, transcripts, summaries, and bookings in your dashboard

How the service learns your business

You do not write a script from scratch. Setup starts by choosing your business or entering its website, and the service pulls what it can from public information. You then check those details and correct anything wrong, which matters because the service only answers as well as the information it is given.

Next, you hear a personalized sample call based on your business details. This sample is a preview only, so it does not create a real booking or contact any real customer. It exists so you can judge whether the greeting, the answers, and the tone fit how you want your business to sound before you forward a single call.

The last setup step is choosing your phone setup, which means deciding how calls reach the service. Most owners keep their public number and forward calls to AllDayDesk, so customers dial the same number they always have.

  • Choose your business or enter its website to pull your details
  • Check and correct the information before anything goes live
  • Listen to a personalized sample call that creates no real booking
  • Choose your phone setup last

Keeping your number: how call forwarding works

You keep your public phone number. Calls are forwarded to the service, and the exact instructions depend on your phone carrier or phone system, because each one handles forwarding differently.

Some carriers use star codes. For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses codes like **21*1 followed by the destination to forward all calls. Other providers, such as Spectrum Business Voice or Comcast Business, manage forwarding through an online account portal instead of dialing codes. The right steps depend on which product you actually have, so check your bill or provider support pages first.

One important exception: Google Voice does not support forwarding its calls to an automated answering system, so a Google Voice number is not a compatible path for this setup.

Transfers to you are also possible. If you want a caller handed to you directly, you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to connect, since it depends on your phone being reachable at that moment.

  • Keep your existing public number and forward calls to the service
  • Activation steps vary by carrier: some use star codes, others use an online portal
  • Google Voice numbers cannot be forwarded to an automated answering service
  • Configure transfer destinations and rules yourself; transfers are not guaranteed to connect

Appointments and calendars

New appointments made over the phone go on the built-in AllDayDesk dashboard calendar by default. To make that work, you first set up your services and your availability so the service knows what can be booked and when.

If you prefer to work out of Google Calendar, AllDayDesk supports an optional connection. In Settings, you connect and authorize your Google account, and the service can then work with that calendar. This is an opt-in step, not something that happens automatically, and no other calendar or scheduling software is part of the supported setup.

When a caller wants to change an appointment that already exists, the service treats that as a request for you to review rather than a confirmed change. You stay in control of your schedule.

  • New bookings land on the built-in dashboard calendar by default
  • Set up services and availability before booking can work
  • Google Calendar is an optional connection made in Settings after you authorize your account
  • Changes to existing appointments are requests for you, not confirmed changes

Is an answering service right for your business?

A service like this fits best when you are the one answering the phone and calls interrupt work you cannot pause, or when calls come in outside the hours you can pick up. If you already have front-desk staff covering phones during all your business hours, the main value would be coverage outside those hours instead.

Comparing options honestly: human answering services staff calls with people, and their pricing and coverage vary by provider and plan. AllDayDesk is an AI receptionist, this site's own product, which answers using your saved business details and shows you every call, transcript, and summary in a dashboard. The trade-off is between human judgment on every call and a service that is available around the clock at a plan price, with messages taken whenever it does not know an answer.

A simple way to decide: list the questions callers ask most, check whether your current setup handles them when you are busy, and listen to the AllDayDesk sample for your business. If the sample answers those questions the way you would, it is a fit.

  • Best fit when you answer your own phone and cannot always pick up
  • Human services and AI services differ in staffing, coverage, and pricing structure
  • Compare documented features and current quotes rather than assuming any option is best

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone carrier or system, so you follow the instructions for your specific service.

Can I hear what it will sound like before turning it on?

Yes. During setup you hear a personalized sample call built from your business details. The sample is a preview and does not create a real booking.

What happens when a caller asks something the service does not know?

It takes a message so you can follow up. The same applies to prices you have not shared and to requests to change existing appointments, which come to you as requests rather than confirmed changes.

Can it book appointments on my Google Calendar?

New bookings go on the built-in AllDayDesk dashboard calendar by default. If you want to use Google Calendar, you can connect and authorize your Google account in Settings as an optional step.

Can callers be transferred to me directly?

Yes, if you configure a transfer destination and rules for when transfers happen. A transfer is not guaranteed to connect, since it depends on your phone being reachable.

Where do I see what the service did on each call?

In your dashboard. Calls, transcripts, summaries, and any bookings made are all visible there.
