AI phone answering for your business

Automated Answering System: A Plain-English Guide for Business Owners

An automated answering system is software that picks up your business phone and handles the call without a human on the line. Instead of ringing until you can grab the phone, calls go to a system that greets the caller, answers common questions using information you provide, takes messages, and can book appointments. AllDayDesk is one example: it answers calls around the clock using your saved business details, and you keep your existing phone number by forwarding calls to it. Setup involves choosing your business or entering its website, checking the details it pulled together, hearing a personalized sample, and then turning on call forwarding with your phone provider. You can see calls, transcripts, summaries, and bookings in the dashboard afterward. This page explains how these systems work, what they can and cannot do, and how to connect one to your phone line.

What an Automated Answering System Does

An automated answering system replaces the ringing phone with software that answers for you. When a call comes in, the system greets the caller by your business name, answers questions from the information you saved, collects the caller's details for a message, and can book new appointments on a calendar. Everything it does shows up in a dashboard, so you can read what happened on each call after the fact.

This is different from a voicemail box. A voicemail just records audio and waits for you to check it. An automated system interacts with the caller in real time, so the caller gets an answer to simple questions right away and you get a written summary instead of a pile of unheard messages.

It is also different from a human answering service, where trained people answer your calls. Human services and automated systems each have trade-offs, and the right choice depends on your call volume, budget, and how complex your calls tend to be.

  • Greets callers with your business name and saved details
  • Answers common questions like hours, services, and pricing you have listed
  • Takes a message when it does not know an answer, price, or open appointment
  • Books new appointments once you have configured your services and availability
  • Shows calls, transcripts, summaries, and bookings in a dashboard

What an Automated System Can and Cannot Handle

Automated systems are good at repeatable, information-based calls. Questions about your hours, your service list, your location, or your pricing as listed are handled from your saved business details. Appointment requests for new bookings can be placed directly on the calendar once your services and availability are set up.

There are clear limits to know up front. When the system does not know an answer, a price, or whether an appointment slot is open, it takes a message instead of guessing. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule. Transfers to you require you to configure a destination and rules, and neither pickup nor an immediate response is guaranteed on a transferred call.

These limits are by design. A system that guesses at prices or confirms schedule changes without you would create problems you would have to clean up later. Taking a message is the honest move when information is missing.

  • Known information from your saved business details: answered directly
  • New appointments: booked on the built-in dashboard calendar by default
  • Unknown answers, prices, or availability: a message is taken
  • Existing appointment changes: sent to you as requests for approval
  • Transfers to you: only when you have configured a destination and rules

How Setup Works with AllDayDesk

Setting up AllDayDesk starts with your business information, not your phone. You choose your business or enter its website, and the system pulls together details about what you do. You check those details for accuracy, then hear a personalized sample of how your calls would be answered. The sample is a preview only; it does not create a real booking. Once the sample sounds right, you choose your phone setup option.

Keeping your existing number works through call forwarding, which you turn on with your phone provider. The exact steps depend on who provides your phone service, so check their instructions for your specific product. For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses codes like **21*1 followed by the destination. Some providers use an online portal instead of star codes, such as Spectrum Business Voice, where you manage forwarding in the voice settings after signing in.

One important note: Google Voice does not support forwarding calls to an automated system, so a Google Voice number cannot be pointed at AllDayDesk. If you use Google Voice, you would need a different phone line to forward from.

  • Choose your business or enter its website to pull in your details
  • Check the details and listen to a personalized sample call
  • Pick your phone setup option, then forward your number per your provider's steps
  • Forwarding codes and portals vary by provider and product, so verify yours
  • Google Voice numbers cannot be forwarded to an automated system

Where Booked Appointments Land

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That means the calendar works out of the box without connecting anything else, and you manage your schedule from the same dashboard where you read call summaries.

If you prefer to see bookings alongside your existing schedule, AllDayDesk supports an optional Google Calendar connection. You turn it on in Settings after connecting and authorizing your Google account. It is an optional add-on, not something that happens automatically, and it is the only external calendar connection supported.

Remember the boundary from earlier: new bookings are placed directly, but changes to existing appointments come to you as requests. That applies whether you use the dashboard calendar or the Google Calendar connection.

  • Built-in dashboard calendar is the default for new bookings
  • Services and availability must be configured before booking works
  • Optional Google Calendar connection is enabled in Settings after authorization
  • Existing appointment changes always come to you as requests

Choosing Between Automated and Human Answering

The main decision is automated software versus a human service. Human services, like Ruby's live virtual receptionists or Smith.ai's receptionist plans, put trained people on your calls. Pricing structures vary: Ruby advertises plans starting at $245 per month, while Smith.ai uses per-call pricing for its human receptionists. Check current quotes for included minutes or calls, overage rates, hours, and contract terms before comparing dollar figures.

Automated systems like AllDayDesk answer with software instead of people. The practical differences come down to cost structure, consistency, and how well the system handles your kinds of calls. A human can improvise through an unusual situation; an automated system follows your saved information and takes a message when something is outside it.

A simple way to decide: list the calls you actually get in a week. If most are repeatable questions and appointment requests, an automated system fits well. If many calls involve judgment calls, sensitive topics, or situations your saved details cannot cover, weigh a human service or a mix. Also consider that an in-house receptionist does far more than answer phones, including greeting visitors and office tasks, so a phone service is not a full replacement for that role.

  • Human services: people answer, pricing often per call or monthly tiers
  • Automated systems: software answers from your saved details, takes messages on unknowns
  • Compare included minutes, overage rates, and hours on any current quote
  • In-house reception covers more than phones, so scope matters in any comparison

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, so follow the instructions for your specific service and product.

Can I hear what the system sounds like before turning it on?

Yes. During setup you hear a personalized sample based on your business details. The sample is a preview and does not create a real booking.

What happens when the system does not know an answer?

It takes a message instead of guessing. You see the message, transcript, and summary in your dashboard and follow up yourself.

Can callers reach me directly?

Transfers are possible, but only after you configure a destination and rules. Neither pickup nor an immediate response is guaranteed on a transferred call.

Does it work with my calendar?

New appointments go to the built-in dashboard calendar by default. An optional Google Calendar connection is available in Settings after you connect and authorize your account. Other calendar connections are not supported.

Will it answer every single call?

AllDayDesk is available around the clock, but availability is not the same as a guarantee that every call connects. Network and forwarding issues on the phone side can still affect whether a call goes through.
