AI phone answering for your business

Call Answering for Small Business

Call answering for small business means someone or something picks up your business line when you cannot — after hours, on a job, or mid-call. AllDayDesk answers calls around the clock using the business information you save, so callers hear answers about your services, hours, and pricing, can leave a message, and can book new appointments into your calendar. You keep your existing phone number and forward calls to AllDayDesk using your phone provider's forwarding settings. Every call, transcript, summary, and booking shows up in your dashboard, so you can review what happened and call people back on your own schedule.

What call answering does for a small business

When you run a small business, the phone rings while you are on a ladder, driving between jobs, or asleep. Call answering covers those moments. Instead of a caller hearing voicemail, an answering service picks up, speaks with the caller, and records what was discussed so you can act on it later.

AllDayDesk is an automated receptionist that answers calls around the clock. It uses the details you save about your business — services, hours, pricing, and policies — to answer common questions. When a caller wants a new appointment, it can book one directly. When it does not know an answer, a price, or an available time, it takes a message instead of guessing.

  • Answers your business line when you are unavailable or after hours
  • Uses your saved business details to respond to caller questions
  • Books new appointments into your calendar
  • Takes a message whenever an answer or price is unknown
  • Shows every call, transcript, summary, and booking in your dashboard

You keep your existing phone number

You do not need a new number or a new phone system. You keep the public number your customers already know and forward calls to AllDayDesk. The forwarding step happens at your phone provider, and the exact instructions depend on which carrier or phone service you use.

For example, Verizon mobile customers activate all-call forwarding by dialing *72 plus the 10-digit destination, and turn it off with *73. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding. Comcast Business, Spectrum Business, AT&T Phone for Business, Frontier, Optimum, and Vonage each have their own portal or code-based steps. If you are not sure which product you have, check your bill or provider support page first — instructions differ even within the same carrier's product lineup.

One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so Google Voice lines cannot be forwarded to AllDayDesk.

  • Forwarding is set up at your phone provider, not with AllDayDesk
  • Activation codes and portal steps vary by carrier and product
  • Google Voice numbers cannot be forwarded to AllDayDesk

How setup works

Setting up AllDayDesk starts with your business, not your phone. You choose your business or enter its website, and AllDayDesk pulls together the details it will use on calls. You then check those details, correct anything that is wrong, and fill gaps in services, hours, and pricing.

Next, you hear a personalized sample of how your receptionist will sound with your business information. This sample is a demonstration only — it does not create a real booking or contact anyone. Once you are happy with it, you choose your phone setup option and follow the forwarding instructions for your provider. From then on, forwarded calls are handled by your receptionist.

  • Choose your business or enter its website to start
  • Review and correct the details AllDayDesk will use
  • Listen to a personalized sample call — no real booking is made
  • Choose phone setup and forward your number per your provider's instructions

Appointments, messages, and your calendar

New appointments are booked into the built-in AllDayDesk dashboard calendar by default. Before that works fully, you configure your services and availability so the receptionist knows what can be scheduled and when. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account — this connection is optional, not automatic.

Changes to existing appointments work differently: the receptionist records them as requests for you to review, rather than confirming the change on the spot. That keeps you in control of your schedule.

When a caller asks something the receptionist cannot answer — an unknown price, a policy question, or an unavailable time — it takes a message. You see the message, the call transcript, and a summary in your dashboard and can return the call yourself.

  • New bookings go to the built-in dashboard calendar once services and availability are configured
  • Optional Google Calendar connection is available in Settings after you authorize your account
  • Changes to existing appointments are requests for you, not confirmed changes
  • Unknown answers and prices become messages you review in the dashboard

Transferring calls to you

Some callers need to reach you directly. AllDayDesk can transfer calls to a destination you choose, but you must configure both the destination number and the rules for when transfers happen. A transfer is an attempt to connect the call — pickup and an immediate response are not guaranteed, since that depends on whether you answer at the destination.

Because of that, the receptionist handles routine questions, bookings, and messages on its own, and uses transfers for the situations you define. You decide what qualifies.

  • Transfers require you to configure a destination number and rules
  • Pickup and immediate response are not guaranteed on a transfer

Choosing between answering options

Small businesses generally weigh three routes: doing it yourself with voicemail, hiring an in-house receptionist, or using an answering service. Voicemail costs nothing but gives callers no answers and no booking. An in-house receptionist handles phones plus front-desk work like greeting visitors and office tasks — a broader scope than phone answering alone. Human answering services staff phones with real people, and their pricing and hours vary by provider and plan; published starting prices, such as Ruby's plans starting at $245 per month as of October 2026, are only a starting point since included minutes, overages, and contracts differ.

AllDayDesk is this site's own product, an automated option that answers around the clock using your saved business details. This comparison is based on documented features and published pricing pages, not hands-on testing, so verify current details with each provider before deciding.

  • Voicemail: no cost, but no answers, no booking, no summary
  • In-house receptionist: broad office scope, salary and overhead costs
  • Human answering service: real people, pricing and coverage vary by provider and plan
  • AllDayDesk: automated answering around the clock, per-plan pricing shown separately

More questions, answered

Do I have to change my business phone number?

No. You keep your existing public number and forward calls to AllDayDesk through your phone provider's forwarding settings.

Can I hear what my receptionist will sound like before turning it on?

Yes. During setup you hear a personalized sample based on your business details. The sample is a demonstration only and does not create a real booking.

Where do booked appointments go?

New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your Google account.

What happens when a caller asks something the receptionist does not know?

It takes a message instead of guessing. You see the message, transcript, and summary in your dashboard and can follow up yourself.

Can I forward my Google Voice number to AllDayDesk?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so Google Voice lines cannot be used with AllDayDesk.

Will every forwarded call connect successfully?

Around-the-clock availability describes when the service can answer, not a guarantee that every call connects. Transfers also depend on you answering at the configured destination.
