AI phone answering for your business

Call Answering Service for Small Business

A call answering service for a small business takes calls when you cannot, using information you provide about your business. With AllDayDesk, you keep your existing number, forward calls to the service, and it answers around the clock using your saved business details — sharing information, taking messages, and booking new appointments on your dashboard calendar. Below, see what it handles, how to keep your number, and how setup works.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What an answering service actually handles

When a caller reaches the service, it answers using your saved business information: what you do, your hours, your services, and your pricing details. It can answer general questions, take a message when it does not know an answer or a price, and book new appointments on the built-in AllDayDesk dashboard calendar once you have configured your services and availability.

If a caller needs you directly, the service can transfer the call to a destination you configure, along with rules for when transfers happen. Neither pickup nor an immediate response is guaranteed. Separately, whenever the service does not know an answer, a price, or an appointment time, it takes a message for you instead of guessing.

Existing appointment changes work differently: the service sends those to you as requests. You confirm or decline them yourself, so nothing on your calendar changes without your approval.

  • Answers calls around the clock using your saved business information
  • Shares details about your services and pricing when known
  • Takes a message when an answer, price, or appointment time is unknown
  • Books new appointments on the dashboard calendar by default
  • Sends existing-appointment changes to you as requests, not confirmed changes
  • Transfers calls to a destination you set up, with your own rules

You keep your existing phone number

You do not need a new number or a new phone system. You keep your public business number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, so the setup flow shows instructions matched to your provider.

For example, Verizon mobile customers activate all-call forwarding by dialing *72 plus the 10-digit destination from the phone itself, and turn it off with *73. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding. Business landline and hosted systems, such as Spectrum Business Voice or Vonage Business Communications, usually manage forwarding through an online portal instead. The exact steps always depend on your specific product, so check your provider's own instructions if anything differs.

One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path for this setup.

  • Keep your public number; forward calls to the service
  • Forwarding instructions depend on your phone carrier or platform
  • Mobile carriers often use star codes; many business phone systems use a web portal
  • Google Voice forwarding to automated systems is unsupported

How setup works

Getting started follows a short, guided path. First, you choose your business from a list or enter its website. The service reads publicly available information and builds a profile of what you do.

Next, you check the details it gathered and correct anything that is off. Then you hear a personalized sample call so you know exactly how your business will be represented. The sample is a demonstration only; it does not create a real booking or contact anyone.

Finally, you choose your phone setup option, which walks you through forwarding your existing number based on your phone service. There is no fixed setup time to promise, but the steps themselves are simple and guided from start to finish.

  • Choose your business or enter its website
  • Review and correct the business details it found
  • Hear a personalized sample (demonstration only, no real booking)
  • Choose your phone setup and forward your number

What you see in the dashboard

Everything the service handles is visible to you. Each call appears in your dashboard along with its transcript and a summary, so you can catch up on what happened without listening to recordings.

Bookings show up on the built-in AllDayDesk dashboard calendar. If you prefer to work in Google Calendar, you can optionally connect it in Settings after connecting and authorizing your Google account. Messages and appointment-change requests also appear here, so you can respond on your own schedule.

  • Call records, transcripts, and summaries in one place
  • New bookings on the built-in dashboard calendar
  • Optional Google Calendar connection in Settings after you authorize your account
  • Messages and appointment-change requests waiting for your review

Is this right for your business?

An answering service fits well when you are on jobs, with clients, or simply unavailable and calls would otherwise go to voicemail. Most small business owners answer their own phones, so there may be no staff covering the line when you are busy. A service keeps callers reaching a helpful voice instead of a generic greeting.

It also works for solo operators who want new appointment booking handled automatically. If you rely on industry-specific scheduling software or a CRM, note that AllDayDesk does not connect to those; it uses its own dashboard calendar, with optional Google Calendar support in Settings.

If you need a human receptionist for in-person tasks, that is a different scope. A phone service covers calls, messages, and bookings, not greeting visitors or office work.

  • Good fit: solo owners, on-the-go trades, appointment-based businesses
  • Consider scope: it handles calls, not in-person reception duties
  • Calendar note: built-in dashboard calendar by default; optional Google Calendar in Settings
  • No connections to CRMs, dispatch tools, or industry scheduling software

More questions, answered

Do I have to change my business phone number?

No. You keep your existing public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, and setup shows instructions for your provider.

Can it book appointments for me?

Yes, new appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your account.

What happens if a caller asks something the service does not know?

It takes a message. When an answer, price, or appointment time is unknown, the caller is offered the chance to leave a message for you instead of getting a wrong answer.

Will calls be transferred to my cell phone?

Transfers are possible once you configure a destination number and the rules for when transfers happen. Neither pickup nor an immediate response is guaranteed, so the service also takes messages as needed.

Does it work with my scheduling software or CRM?

AllDayDesk does not connect to CRMs, dispatch tools, or industry scheduling software. It uses its own dashboard calendar, with optional Google Calendar support available in Settings.

Can I use a Google Voice number?

No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path.
