AI phone answering for your business

Call Answering Service Small Business Guide

A call answering service answers your business phone when you cannot, so callers reach a helpful voice instead of voicemail. For a small business, that usually means calls are answered around the clock using information you provide about your services, hours, and pricing. AllDayDesk is an AI receptionist that does this: you enter your business or website, review the details it pulls together, hear a personalized sample, and then forward your existing number to it. You keep your public phone number, and callers, transcripts, summaries, and any booked appointments show up in your dashboard. Setup involves choosing how to forward calls based on your phone provider, and new appointments go to the built-in AllDayDesk calendar by default, with an optional Google Calendar connection available in Settings after you authorize your account. This page explains how these services work, what setup looks like, and how to decide what fits your business.

Review calls, messages, and bookings in your dashboard.

What a call answering service does for a small business

When you are on a job, with a customer, or simply away from the phone, an answering service picks up in your place. It greets the caller, answers questions using the business information you saved, takes messages, and can book appointments. You see everything afterward in your dashboard: each call, a transcript, a summary, and any appointment that was created.

AllDayDesk answers calls around the clock using your saved business details. When a caller asks something you have not provided an answer for, such as a price or a specific appointment question, the service takes a message instead of guessing. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.

  • Answers calls using your saved business information
  • Takes messages when an answer or price is unknown
  • Books new appointments once you have set up services and availability
  • Shows calls, transcripts, summaries, and bookings in your dashboard

How setup works

Setup starts by entering your business name or website. AllDayDesk checks the details it finds, and you review them for accuracy. Next, you hear a personalized sample so you know how your business will sound to callers. The sample is a preview only and does not create a real booking.

After that, you choose your phone setup. In most cases you keep your current public number and forward calls to AllDayDesk. The exact forwarding steps depend on your phone provider, so check which service you have before entering any codes. Note that Google Voice does not support forwarding calls to an automated system, so a Google Voice number is not a compatible forwarding source.

  • Enter your business or website and review the details
  • Hear a personalized sample of your receptionist
  • Choose phone setup and forward your existing number
  • Follow the forwarding instructions for your specific provider

Forwarding your number: examples by provider

Forwarding is done through your phone carrier, not through AllDayDesk, so the steps vary. Always confirm the exact product you have, since the same carrier often uses different instructions for wireless, landline, and business VoIP services. Some verified examples: Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls; T-Mobile uses **21*1 plus destination and # for unconditional forwarding; AT&T Phone for Business uses *72, destination, # for all calls and *92 for no-answer; Spectrum Business Voice manages forwarding in the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager; and Optimum Business Phone uses *72 with the destination and *73 to disable.

If your provider is not listed here, contact their support to confirm whether conditional forwarding (busy or no-answer) is supported on your specific plan before relying on it. Unconditional and conditional forwarding are different services, and not every plan offers both.

  • Verizon mobile: *72 plus destination (all calls), *71 (unanswered), *73 to disable
  • T-Mobile: **21*1 plus destination and # (unconditional), ##004# to reset
  • AT&T Phone for Business: *72, destination, # (all calls); *92 (no-answer); *90 (busy)
  • Spectrum Business Voice: portal-based, under Voice Settings or Forwarding Manager
  • Optimum Business Phone: *72, wait for dial tone, dial destination; *73 turns it off
  • Identify your exact carrier product before using any code

Appointments and your calendar

New appointments are booked into the built-in AllDayDesk dashboard calendar by default. This works once you have configured your services and availability, so the receptionist knows what can be scheduled and when.

If you prefer to work from Google Calendar, AllDayDesk supports an optional connection. You enable it in Settings, connect your Google account, and authorize access. It is not connected automatically, and no other external calendar or industry scheduling software is supported. When a caller wants to change an existing appointment, the receptionist records that as a request for you to handle, rather than editing the booking itself.

  • Built-in dashboard calendar is the default for new bookings
  • Configure services and availability first
  • Optional Google Calendar connection in Settings after authorization
  • Changes to existing appointments arrive as requests, not confirmed edits

Transfers and messages

Sometimes a caller needs to reach you directly. AllDayDesk can transfer calls, but you must first configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to connect or to be picked up immediately, so treat transfers as one tool among several, not a promise of live handoff.

Message taking is the dependable baseline. When the receptionist does not know an answer, a price, or an available appointment time, it takes a message instead of guessing. You review messages, transcripts, and summaries in the dashboard and follow up on your own schedule.

  • Configure a transfer destination and rules before relying on transfers
  • No guaranteed pickup or immediate response on a transfer
  • Unknown answers, prices, and times become messages

Choosing between AI and human answering services

Small businesses generally compare three options: doing it yourself with voicemail, hiring an in-house receptionist, or using an outsourced answering service, which comes in AI and human varieties. Each has trade-offs worth weighing honestly.

An in-house receptionist does more than answer phones; the US Bureau of Labor Statistics describes duties including greeting visitors and general office tasks, so compare scope rather than treating a phone service as a full replacement. Human answering services, such as AnswerConnect's 24/7 live answering or Ruby's plans starting at $245 per month as of October 2026, offer human judgment; Smith.ai uses per-call pricing for its human receptionists, so costs depend on your quote and included calls. Human coverage hours and fees vary by provider and plan, so verify details on a current quote rather than assuming.

AllDayDesk is an AI receptionist, which means consistent around-the-clock availability using your saved business information, with dashboard visibility into every call. The honest way to decide is to list your call types: routine questions and booking requests suit an AI receptionist well, while situations requiring human judgment may point you toward a human service or a hybrid approach.

  • In-house reception covers more than phones, per BLS duty descriptions
  • Human services vary in hours, pricing models, and contracts
  • AI receptionists offer consistent availability using your saved details
  • Compare documented features and current quotes, not marketing claims

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, so identify your exact service before entering any codes.

Can I use my Google Voice number?

Google does not support forwarding calls from a Google Voice number to an automated system, so that path is not compatible. Use a number from a carrier that supports forwarding instead.

Will callers be able to book appointments right away?

New appointments go to the built-in AllDayDesk calendar once you have configured your services and availability. Until that is done, the receptionist will take a message instead of booking.

What happens if a caller asks something the receptionist does not know?

It takes a message rather than guessing. You see the message, transcript, and summary in your dashboard and can follow up yourself.

Does it connect to my scheduling software?

The supported calendar options are the built-in AllDayDesk dashboard calendar and an optional Google Calendar connection that you enable and authorize in Settings. No other external calendar or industry scheduling software is supported.

Can calls be transferred to me?

Yes, once you configure a transfer destination and rules. Keep in mind that neither pickup nor an immediate response is guaranteed on a transfer.
