What an HVAC specialty answering service handles

HVAC calls tend to come in bursts: a heat wave, a cold snap, or the moment a homeowner finally has two free hands to call. An HVAC specialty answering service is built around those calls. AllDayDesk answers using your saved business information, so it can talk about the services you list, the areas you serve, and the prices you have shared. It sounds like part of your company, not a generic call center.

Not every question has an answer on file. If a caller asks something the service does not know, like a repair price you have not listed or a same-day opening you have not defined, it takes a message with the caller's name, number, and request instead of making something up. That protects you from a caller being quoted a number you never approved.

Everything lands in one place. Your dashboard shows each call, a transcript of what was said, a short summary, and any appointment that was booked. You can review a morning's worth of calls in a few minutes instead of returning blind voicemails.

  • Answers calls around the clock using your saved business details
  • Books new appointments in the built-in dashboard calendar once services and availability are configured
  • Takes a message when an answer, price, or opening is unknown
  • Shows calls, transcripts, summaries, and bookings in your dashboard

How setup works for your HVAC company

Setup starts with your business, not a script. You choose your business or enter its website, and AllDayDesk builds a profile from what it finds. You check the details, correct anything wrong, and fill gaps like your service list and service area. Then you hear a personalized sample of how your receptionist sounds with your information. The sample is a preview only; it does not create a real booking.

Next you choose phone setup. You keep your public number and forward calls to AllDayDesk. The exact forwarding steps depend on your phone service, so the instructions you get match your provider. Most owners answer their own phone, so forwarding is usually a setting you control from your own line or business phone account.

Once services and availability are configured, new appointments go on the built-in AllDayDesk dashboard calendar by default. If you prefer Google Calendar, you can optionally connect and authorize your Google account in Settings. Other calendars and industry scheduling software are not part of the service.

  • Choose your business or enter its website to build the profile
  • Check and correct the details it found before going live
  • Hear a personalized sample before you commit
  • Keep your existing number by forwarding calls, with steps matched to your phone service

Forwarding examples for common phone services

Forwarding is the one step that depends on your carrier, and the codes differ between products from the same company. Always confirm which service you actually have before dialing anything. These examples show the pattern; your setup flow gives you instructions matched to your line.

On Verizon mobile, dial *72 plus the 10-digit destination to forward all calls, *71 for unanswered calls, and *73 to turn it off. Setup must be done from the phone itself while in Verizon coverage. On T-Mobile, **21*1 followed by the destination and # enables unconditional forwarding, and ##21# disables it, with separate codes for no-reply, unreachable, and busy conditions. Comcast Business manages forwarding through My Account or the Comcast Business App, and features depend on which voice product you subscribe to. Spectrum Business Voice uses the online portal: sign in, open Voice, choose your number, then Voice Settings or Forwarding Manager to set unconditional or busy/no-answer forwarding.

If your number is a Google Voice number, note that Google says forwarding calls from a Google Voice number to an automated system is unsupported, so a Google Voice line is not a workable path to AllDayDesk.

  • Verizon mobile: *72 plus destination for all calls, *71 for unanswered, *73 to disable
  • T-Mobile: **21*1 plus destination and # for all calls, ##21# to disable
  • Comcast Business: forwarding managed in My Account or the Comcast Business App
  • Spectrum Business Voice: set forwarding in the online portal under Voice Settings or Forwarding Manager

Appointments, changes, and messages

New appointments are the straightforward case. Once you have entered your services and availability, the receptionist books callers into the dashboard calendar. If you connect Google Calendar in Settings and authorize your account, bookings can work with that calendar too.

Changes to existing appointments work differently. When a caller wants to move or cancel an existing booking, the service records it as a request for you rather than confirming the change itself. You stay in control of your schedule and can approve or decline from the dashboard.

Transfers work when you configure them. You set a destination and rules for when calls should be sent to you, such as an emergency line you want to handle personally. A transfer depends on the destination picking up, so there is no guarantee a transferred call connects or gets an immediate response. Configure transfer rules only for situations where reaching you directly matters.

  • New appointments book into the dashboard calendar by default
  • Google Calendar is an optional connection in Settings after you authorize your account
  • Existing appointment changes are requests for you, not confirmed changes
  • Transfers require a configured destination and rules, with no pickup guarantee

Choosing between service options

HVAC owners generally weigh three routes: handling calls themselves, hiring a person, or using an automated service. Handling calls yourself is free but means stopping a job or missing calls during busy stretches. A human receptionist answers with judgment, and outsourced human services exist; for example, Ruby advertises live virtual receptionist plans starting at $245 per month as of October 2026, and Smith.ai uses per-call pricing for its human receptionist service. Those starting prices are not full costs, since included minutes, overage rates, hours, and contracts all vary by quote. An in-house employee also does work beyond the phone, like greeting visitors and office tasks, so compare scope, not just wages.

AllDayDesk is an automated AI receptionist, which is this site's own product. It answers around the clock using your saved business details, books into your dashboard calendar, and takes messages when it does not know an answer. The honest tradeoff is that an automated service sticks to the information you give it rather than improvising like a person might. If your call volume is mostly appointment requests, service questions you can document, and messages, that tradeoff often works in your favor. If your calls need human judgment on every contact, a human service may fit better.

Whichever route you pick, ask any provider the same questions: what happens when the service does not know an answer, how appointment changes are handled, what the dashboard shows you, and exactly what the monthly price includes.

  • Compare included minutes, overage rates, and hours, not just starting prices
  • Ask how unknown questions and appointment changes are handled
  • Automated services follow your saved details; humans improvise but cost more per the published starting prices

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, and setup gives you instructions matched to your provider.

Can it book into Google Calendar?

Yes, optionally. New appointments use the built-in AllDayDesk dashboard calendar by default. If you want Google Calendar, you connect and authorize your Google account in Settings.

What happens if a caller asks a question the service cannot answer?

It takes a message with the caller's details and request. It does not guess at prices, availability, or answers that are not in your saved business information.

Can callers reach me directly for emergencies?

Only if you configure a transfer destination and rules for it. A transfer depends on that destination answering, so pickup is not guaranteed.

Will I see what was said on each call?

Yes. Your dashboard shows each call with a transcript, a summary, and any appointment that was booked.

Does the sample call book a real appointment?

No. The personalized sample is a preview of how your receptionist sounds. It does not create a real booking.
