AI phone answering for your business

Professional Call Answering Service

A professional call answering service answers your business phone when you cannot, using a consistent greeting, accurate business details, and clear message taking. The goal is that every caller hears the same polished, helpful experience whether you are on a job, with a customer, or it is after hours. AllDayDesk is an AI receptionist that answers calls around the clock using your saved business information. You keep your existing phone number by forwarding calls to AllDayDesk, hear a personalized sample before going live, and see calls, transcripts, summaries, and bookings in your dashboard. When the service does not know an answer, a price, or an available appointment, it takes a message instead of guessing. This page explains what professional call handling actually looks like, the standards to hold any service to, and how setup works.

What a professional call answering service does

When a caller reaches your business, the service answers with a greeting that names your business, identifies itself as the answering assistant, and asks how it can help. From there it draws on the business information you saved: services offered, hours, location, and other details you provided during setup. Callers should never hear a generic script that could belong to any company.

Professional handling also means honest limits. If a caller asks something the service does not know, such as a specific price or whether a certain appointment slot exists, it takes a message for you instead of making something up. Changes to existing appointments are passed to you as requests, not confirmed on the spot.

The difference between professional and sloppy answering usually comes down to consistency: the same greeting every time, accurate answers drawn from your saved details, and a clear record of every call so nothing depends on memory.

  • Answers with a greeting built from your business name and details
  • Uses your saved services, hours, and location information
  • Takes a message when an answer or price is unknown
  • Passes appointment change requests to you rather than confirming them
  • Logs every call with a transcript and summary in your dashboard

What your callers actually hear

Setup starts by choosing your business or entering its website. AllDayDesk checks the details it finds, and you review them before anything goes live. Then you hear a personalized sample of how your receptionist will sound with your business information. This sample is a demonstration only; it does not create a real booking or commit you to anything.

After you approve the sample, you choose how to connect your phone. Most owners keep their public number and forward calls to AllDayDesk, so callers dial the same number they always have. Forwarding instructions depend on your phone carrier or service, and we provide guidance for the major ones.

Once you are live, you can review exactly how calls went. The dashboard shows each call, its transcript, a summary, and any booking that was made. New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, you can optionally connect and authorize your Google account in Settings.

  • Review your business details before the service goes live
  • Hear a personalized sample before choosing phone setup
  • Keep your existing public number through call forwarding
  • See calls, transcripts, summaries, and bookings in the dashboard
  • Bookings default to the built-in dashboard calendar; Google Calendar is an optional connection in Settings
  • Forwarding is how you keep your number while the service answers; our forwarding guide covers the basics. business phone forwarding

Standards to hold any answering service to

Whether you evaluate AllDayDesk or another option, a few checks separate a professional service from a frustrating one. Ask how the service handles questions it cannot answer, whether it confirms appointment changes on its own, and what happens when a caller needs you directly.

Transfers to you require you to configure a destination number and the rules for when transfers happen. Even then, neither pickup nor an immediate response is guaranteed, so it is worth asking any provider how callers are handled when you are unavailable. Be cautious of any service that promises outcomes it cannot control.

Also compare scope honestly. A phone answering service is not a full front-desk employee: an in-house receptionist may greet visitors and handle office tasks beyond the phone, so match the tool to the job you actually need done.

  • Does it take a message instead of guessing at prices or availability?
  • Are appointment changes confirmed or sent to you as requests?
  • What transfer rules can you configure, and what is not guaranteed?
  • Does the greeting use your real business details every time?
  • Can you review transcripts and summaries after each call?

Keeping your number: how forwarding works

You do not need a new phone number. You forward your existing number to AllDayDesk, and the steps depend on who provides your phone service. Mobile carriers often use short codes: for example, Verizon mobile uses *72 plus the destination for all calls, *71 for unanswered calls, and *73 to turn forwarding off, set from the phone while in coverage. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable.

Business landline and hosted systems usually manage forwarding through a portal or their own codes. Comcast Business features are managed in My Account or the Comcast Business App and depend on your subscribed services. Spectrum Business Voice forwarding is set in the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager. Vonage Business Communications lets you enable forwarding to a phone number from its Call Forwarding setting.

One important exception: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path. If your carrier or product is not listed, check its own support documentation before using any code, and verify forwarding worked by placing a test call from another phone.

  • Forwarding instructions depend on your specific carrier and product
  • Verizon mobile: *72 plus destination (all calls), *71 (unanswered), *73 to disable
  • T-Mobile: **21*1 then destination # (unconditional), ##21# to disable
  • Comcast, Spectrum, and Vonage business systems use portal or app settings
  • Google Voice numbers cannot be forwarded to an automated system

How to choose the right service for your business

Start with your call patterns, not marketing claims. If most of your calls arrive while you are hands-busy or after hours, around-the-clock availability matters. If most calls are simple questions you could answer with a short voicemail, a lighter option may be enough.

Compare pricing structures carefully. Human virtual receptionist services vary widely: Ruby advertises plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service, with costs depending on the needs you select. Always verify the current quote, what the included allowance covers, and overage charges before comparing. AllDayDesk pricing is displayed separately on this page.

Finally, test the caller experience yourself before committing. Listen to the sample greeting, check that the business details are accurate, and make sure you are comfortable with how messages, transfers, and bookings are handled. A service is professional only if the experience it delivers matches what you would want a caller to hear.

  • Match coverage to when your calls actually come in
  • Verify included minutes or calls and overage rates in any quote
  • Confirm the greeting and business details sound right to you
  • Understand transfer rules and message handling before going live

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The exact forwarding steps depend on your phone carrier or service, and setup includes choosing your phone setup option after you approve the sample.

What happens if a caller asks a question the service cannot answer?

When an answer, price, or appointment availability is unknown, the service takes a message for you instead of guessing. You can review the call, transcript, and summary in your dashboard.

Can callers book appointments directly?

New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect and authorize Google Calendar in Settings. Changes to existing appointments are sent to you as requests, not confirmed automatically.

Can the service transfer calls to me?

Yes, but you must configure a transfer destination and the rules for when transfers happen. Neither that you pick up nor an immediate response is guaranteed, so configure your rules with that in mind.

Is the personalized sample a real booking or commitment?

No. The sample is a demonstration of how your receptionist will sound using your business details. It creates no real booking and commits you to nothing.

Does AllDayDesk connect to my industry scheduling software or CRM?

AllDayDesk supports an optional Google Calendar connection in Settings after you connect and authorize your account. Connections to other calendars, CRMs, dispatch systems, or industry software are not part of the product.
