AI phone answering for your business
A receptionist service for small business answers your phone when you cannot, using a receptionist who is not sitting in your office. Instead of hiring someone or letting calls go to voicemail, you forward your existing business number to the service. Callers hear a receptionist who knows your business details, and you see calls, transcripts, summaries and bookings in a dashboard. This page explains how these services work, what to compare, and how to connect your phone.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
The idea is simple: your phone still rings for customers the same way, but when you are busy, closed, or on a ladder, the call is answered somewhere else. You keep the number customers already know. You turn on call forwarding with your phone provider, and forwarded calls are handled by the receptionist service instead of ringing out or dropping to voicemail.
With AllDayDesk, setup starts by choosing your business or entering its website, checking the details the service will use, and hearing a personalized sample of how your calls would be answered. The sample does not create a real booking. Then you choose your phone setup, which depends on who provides your phone service. After that, calls, transcripts, summaries and bookings are visible in your dashboard so you can see what happened while you were away from the phone.
New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can connect Google Calendar in Settings after connecting and authorizing your Google account.
The forwarding step depends on your phone company, not on the receptionist service. Some providers use short star codes dialed from the phone itself; others use a web portal or app. The exact steps also depend on which product you have, not just which company you pay.
A few verified examples show the range. Verizon mobile uses *72 plus the 10-digit destination for all-call forwarding and *71 for unanswered calls, with *73 to turn it off. T-Mobile uses codes like **21*1 followed by the destination and # for unconditional forwarding. Spectrum Business Voice is managed by signing in to SpectrumBusiness.net, opening Voice, choosing the number, and setting forwarding in Voice Settings or Forwarding Manager. Optimum Business Phone uses *72, waiting for dial tone, then the destination, confirmed by the destination answering. One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path.
If you are not sure which product or code applies to your line, check your bill or provider support for the exact service name first. Our forwarding guides walk through the major carriers step by step.

Receptionist services for small businesses come in two broad shapes: human receptionist services and automated receptionist services. Human services, such as Ruby or Smith.ai's live receptionist plans, staff your calls with people. Ruby advertises plans starting at $245 per month as of October 2026, and Smith.ai prices its human receptionist service per call. Automated services like AllDayDesk use an AI receptionist that answers around the clock using your saved business information. Smith.ai also sells a separate AI receptionist product with its own escalation feature.
When you compare, look past the headline price. Ask what the monthly fee includes, what extra minutes or calls cost, whether the service works after hours, and how appointments get booked. Also compare scope: an in-house receptionist per the US Bureau of Labor Statistics greets visitors and handles office tasks beyond the phone, so a phone service replaces the answering part of the job, not a whole employee.
AllDayDesk's documented approach: answers around the clock using your saved business details, keeps your number through forwarding, books new appointments on a built-in calendar with optional Google Calendar connection in Settings, and shows calls, transcripts, summaries and bookings in your dashboard. When it cannot answer a question or confirm a price or appointment, it takes a message. Transfers to you are possible once you configure a destination and rules, though pickup is not guaranteed. This comparison is based on documented features, not hands-on testing of every provider.

A receptionist service fits best when the phone is how customers reach you and you cannot always pick up. If you work solo or with a small crew, calls can arrive while your hands are full, and a missed call can mean a job you never quoted. A service also helps if you serve customers outside your own hours and want calls handled whenever they come in, not just when you are open.
It may be less of a fit if your calls are almost all complex conversations that need your judgment in the moment, or if your phone provider cannot forward calls in the way the service requires. In that case, start by confirming your forwarding options with your provider, then decide. Either way, the decision is yours to make from real information: hear how your own business would be answered before committing.

No. You keep your public number and forward calls to the service. The forwarding instructions depend on your phone provider, so check which product you have before activating.
New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. You can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. Changes to existing appointments are sent to you as requests, not confirmed changes.
AllDayDesk answers calls around the clock, but around-the-clock availability is not a guarantee that every call connects. When the service cannot answer a question or confirm a price or appointment, it takes a message for you. Transfers to you work only after you configure a destination and rules, and pickup is not guaranteed.
Transfers are possible after you configure a destination and rules. Neither pickup nor an immediate response is guaranteed, so treat transfers as one tool among messages and dashboard summaries, not a promise.
During setup you enter your business or its website, check the details, and hear a personalized sample of how your calls would be answered. The sample does not create a real booking.
No. In-house reception includes greeting visitors and other office tasks beyond phone answering. A receptionist service covers the phone part of the role.
