AI phone answering for your business

Restaurant Phone Answering Service

A restaurant phone answering service takes calls when your dining room is too busy to pick up, during closed hours, or any time you forward your number. Instead of a ringing phone or a plain voicemail box, a service answers, takes down the caller's name and request, and in some cases books a reservation or takes an order-related message. AllDayDesk is an AI receptionist in this category: it answers around the clock using your saved business details, and you can hear a personalized sample before choosing how to forward your calls.

Why restaurants use an answering service

Restaurant phones ring at the worst times. A server is mid-order, the host stand is backed up, and the caller on line two may be trying to book a table for eight or ask whether you take walk-ins. When nobody picks up, the caller may hang up and try another restaurant instead of leaving a message. An answering service exists so those calls still get a real response instead of a dead ring.

Typical jobs a service handles for a restaurant include taking reservation requests, answering questions from the information you provide (hours, location, menu basics, parking), taking messages for the owner or manager, and logging what each caller needed. It is not a substitute for your front-of-house staff during service; it covers the calls your team cannot reach.

  • Covers calls during rush periods when staff cannot get to the phone
  • Handles after-hours calls instead of a ringing line or bare voicemail
  • Records each caller's name, number, and request so nothing is lost
  • Lets you keep your existing public phone number by forwarding calls to the service

Answering service vs. voicemail vs. auto attendant vs. human receptionist

These four options solve the same problem at different levels. Voicemail records a message but gives the caller no answers and no interaction. An auto attendant presents a menu (press 1 for hours, press 2 for reservations) but cannot hold a conversation or handle anything outside its menu. An answering service actually talks with the caller and captures what they need.

Within answering services there is a second choice: human agents or an AI receptionist. Human services employ people to answer your line; Ruby advertises plans starting at $245 per month, and Smith.ai prices its human receptionist service per call, so real cost depends on the quote, included allowance, and hours. An AI receptionist like AllDayDesk answers with software using your saved business information. Neither option guarantees every call connects or that a transfer is picked up, so ask any provider how unanswered situations are handled rather than assuming.

Also note scope: a phone service is not a full front-of-house hire. The Bureau of Labor Statistics describes in-house receptionists as also greeting visitors and handling office tasks, so compare what you actually need covered before treating a service as an employee replacement.

  • Voicemail: cheapest, but the caller gets no answers and no confirmation
  • Auto attendant: routes calls with menus, but cannot answer open questions
  • Human answering service: real people; Ruby advertises plans from $245/month, and Smith.ai bills per call, so verify quotes directly
  • AI receptionist: software answers from your saved business details; compare quotes, as pricing models differ

What to check before buying

Providers vary a lot, and marketing pages rarely spell out the limits. Before signing up, get concrete answers to the questions below. A good provider will tell you plainly what happens when it does not know an answer (it should take a message for you) and what happens when a call transfer is not picked up.

  • Can you keep your current restaurant phone number, or must callers dial a new one?
  • Can you hear a sample of exactly how your calls will be answered before you commit?
  • Where do reservations and messages land — a dashboard, email, or a calendar you already use?
  • Does the service book into a calendar you control, and can you set your own services and availability first?
  • What happens when the caller asks something the service does not know?
  • How are transfers configured, and is pickup guaranteed or not?
  • What is included in the monthly price — minutes, overage rates, and any setup fees?

How AllDayDesk works for restaurants

AllDayDesk is an AI receptionist that answers calls around the clock using the business information you save. Setup starts by choosing your restaurant or entering its website so the system can pull in your details, then you check those details, hear a personalized sample of how your calls will sound, and choose your phone setup. The sample is a preview only — it does not create a real booking.

You keep your public number by forwarding calls to AllDayDesk; the exact steps depend on your phone service. Once calls flow in, you can see calls, transcripts, summaries, and bookings in your dashboard. New reservations go on the built-in AllDayDesk calendar by default, after you have configured your services and availability. If you prefer Google Calendar, an optional connection is available in Settings once you connect and authorize your Google account. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in charge of your book. When the caller asks something AllDayDesk cannot answer — a price, a policy, a table availability question — it takes a message for you. Transfers to you or a manager require you to configure a destination and rules, and pickup is not guaranteed.

  • Answers around the clock using your saved restaurant details
  • Personalized sample lets you hear the receptionist before you commit
  • Calls, transcripts, summaries, and bookings visible in the dashboard
  • Built-in calendar by default; optional Google Calendar connection in Settings
  • Unknown answers become messages; existing-appointment changes come to you as requests

Forwarding your restaurant's phone number

You do not need new phone hardware. Forwarding from your existing number is a common approach, and it is how AllDayDesk works. The activation steps depend entirely on who provides your phone service, so identify your exact product first — a carrier's wireless codes, for example, do not apply to its business landline products.

Common examples from official carrier guides: Verizon mobile uses *72 plus the 10-digit destination to forward all calls and *73 to turn it off, with *71 for unanswered calls (verizon-wireless). Verizon business landline also uses *72 and *73 for all-call forwarding (verizon-business). T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, with **61*1 for no-reply and ##004# to reset (tmobile). Optimum Business Phone uses *72, then the destination, with *73 to disable (optimum). Spectrum Business Voice manages forwarding in the online portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer (spectrum-business). AT&T's codes differ by product: Phone for Business uses *72 for all calls and *92 for no-answer, while Collaborate uses *72 and *92 with different disable codes (att-business, att-collaborate).

One important exception: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible starting point (google-voice-routing). If your carrier is not listed here, call its support line and ask for call forwarding on your exact plan — do not borrow another carrier's codes.

  • Identify your exact phone product before using any star code
  • All-call forwarding sends every call to the service; conditional forwarding only sends busy or unanswered calls
  • Test by placing an outside call to your restaurant number after activating
  • Google Voice numbers cannot be forwarded to an automated answering system

More questions, answered

Do I have to change my restaurant's phone number?

No. You keep your public number and forward calls to the service. The forwarding steps depend on your phone provider, and AllDayDesk walks you through choosing a phone setup during onboarding.

Will the service book reservations into my calendar?

New bookings go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your Google account. Changes to existing appointments reach you as requests for you to approve.

What happens if a caller asks something the service does not know?

It takes a message with the caller's name, number, and question so you can follow up. It does not guess at prices, policies, or availability it has not been given.

Can calls be transferred to me during service?

Yes, if you configure a transfer destination and rules. Pickup is not guaranteed, so treat transfers as one tool among message taking, not a promise that you will always be reached.

Is an AI answering service cheaper than a human one?

It can be, but compare quotes rather than headlines. Ruby advertises human receptionist plans starting at $245 per month, and Smith.ai bills per call, while AI plans are monthly subscriptions. Check included minutes, overage rates, and hours in every quote.

Does around-the-clock availability mean every call is answered?

No. Around the clock describes when the service is available to take calls, not a guarantee that every call connects. Ask any provider how failed connections are handled.
