AI phone answering for your business

Small Business Receptionist: Your Options and How to Choose

A small business receptionist is whoever answers your business phone: an employee at a front desk, a human answering service, or an automated receptionist that answers using your saved business information. The right choice depends on your call volume, budget, and whether callers need to reach a person, book appointments, or just leave a message. This page explains each option, what it costs, and how to set one up, including how AllDayDesk answers calls around the clock using your business details.

What a small business receptionist actually does

In a small business, the receptionist role usually centers on the phone: answering calls, answering basic questions, booking appointments, and taking messages when the owner is unavailable. In an office setting, an in-house receptionist may also greet visitors and handle other front-desk tasks, so a phone-only service is not a full replacement for that broader role.

When you cannot answer yourself, the alternatives are a voicemail box, a human answering service, or an automated receptionist. Each handles the same core job differently, and the differences matter most for appointment booking and after-hours calls.

  • Answer incoming calls in your business name
  • Answer common questions using saved business information
  • Book new appointments and pass along change requests for existing ones
  • Take a message when the caller's question needs you
  • Transfer urgent calls to a number you configure

Your three main options

There are three common ways small businesses cover their phones. Each has trade-offs in cost, coverage, and how calls are handled.

  • In-house employee: a person you hire who can also greet visitors and do office tasks, but whose coverage is limited to their working hours and whose cost includes wages and overhead beyond phone answering.
  • Human answering service: a company whose staff answers calls for many businesses. Human coverage and fees vary by service and plan; for example, Ruby advertises live virtual receptionist plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service, so always compare the current quote and what each plan includes.
  • Automated receptionist: software that answers using your saved business information. AllDayDesk is this site's own product: it answers calls around the clock using the business details you save, and you keep your existing public number by forwarding calls to it.

How AllDayDesk works as your receptionist

Setup starts by choosing your business or entering its website. AllDayDesk pulls together your business details, you check that they are correct, and then you hear a personalized sample of how your receptionist would sound. The sample is a preview only and creates no real booking. After that, you choose how to connect your phone.

You keep your existing public phone number. You forward calls to AllDayDesk, and the forwarding instructions depend on your phone service, so you follow the steps for your carrier or phone system. Once connected, calls, transcripts, summaries, and bookings all appear in your dashboard, so you can see exactly what happened on every call.

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.

When a caller asks something AllDayDesk does not know, such as a price you have not saved or a question outside your business information, it takes a message instead of guessing. You can also configure call transfers to a destination number with your own rules; transfers depend on that configuration, and neither pickup nor an immediate response is guaranteed.

  • Answers around the clock using your saved business information
  • Keeps your existing public number through call forwarding
  • Shows calls, transcripts, summaries, and bookings in the dashboard
  • Books new appointments on the dashboard calendar or optional Google Calendar
  • Takes a message when an answer, price, or opening is unknown

Connecting your number: forwarding examples

Forwarding is the step that sends your existing business calls to your receptionist. The exact steps depend on your phone service, so identify your carrier and product first. These examples come from official carrier documentation; your plan or device may differ, so confirm with your provider if anything does not match.

  • Verizon mobile: dial *72 plus the 10-digit destination to forward all calls; *71 plus the destination covers unanswered calls; *73 disables forwarding. Set this up from the phone itself while in Verizon coverage.
  • T-Mobile: dial **21*1, the 10-digit destination, then # for unconditional forwarding; **61*1 covers no-reply calls; ##004# resets forwarding to defaults.
  • AT&T Phone for Business: dial *72, the destination, then # for all calls; *92 for no-answer forwarding; *90 for busy; each has a matching disable code.
  • Comcast Business: forwarding is managed through Voice Mobility features in My Account or the Comcast Business App, and the steps depend on which voice product you subscribe to.
  • Spectrum Business Voice: sign in to SpectrumBusiness.net, open Voice, choose your number, and use Voice Settings or Forwarding Manager to set unconditional or busy/no-answer forwarding.
  • Vonage Business Communications: select Call Forwarding and enable forwarding to a phone number, then verify with an outside call.
  • Google Voice: Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a suitable line to forward to AllDayDesk.

How to decide which receptionist fits your business

Work through these questions before committing to any option. They apply whether you are comparing an employee, a human service, or AllDayDesk.

  • When do your calls come in? If callers reach out outside your working hours, an option with around-the-clock availability matters more than daytime-only coverage.
  • Do callers need to book appointments? If yes, check whether the option can book directly into a calendar and how it handles changes to existing bookings.
  • What happens when the receptionist does not know an answer? A good setup takes a message rather than guessing at prices or policies.
  • What does the plan actually include? Compare included minutes or calls, overage rates, hours of human coverage, and contract terms on the current quote, not just the starting price.
  • Who answers today? Most owners answer their own phone, so think about what happens on the calls you currently miss or let ring out.
  • Do you need front-desk tasks beyond the phone? If you need someone to greet visitors or handle paperwork, a phone service covers only part of a receptionist's role.

More questions, answered

Will callers know they are talking to an automated receptionist?

Your receptionist answers in your business name using the information you save. You hear a personalized sample during setup, so you know exactly how your calls will sound before you turn forwarding on.

Do I have to change my business phone number?

No. You keep your existing public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, so you follow the instructions for your carrier or phone system.

Can AllDayDesk book appointments on my Google Calendar?

New appointments go on the built-in AllDayDesk dashboard calendar by default once you have set up your services and availability. Google Calendar is an optional connection you can enable in Settings after connecting and authorizing your Google account.

What happens if a caller asks something the receptionist does not know?

When an answer, price, or appointment time is unknown, AllDayDesk takes a message instead of guessing. You see the message, along with the call transcript and summary, in your dashboard.

Does AllDayDesk work with my industry scheduling software?

AllDayDesk supports the built-in dashboard calendar and an optional Google Calendar connection. It does not connect to other third-party calendars or industry scheduling software.

Can calls be transferred to me when needed?

Yes, if you configure a transfer destination and rules. Transfers depend on that configuration, and neither pickup nor an immediate response is guaranteed, so messages are taken when a question needs you.
