How setup works with AllDayDesk

Setup starts by choosing your business from a list or entering its website. AllDayDesk checks the details it finds, such as your services and hours, and you confirm or correct them. You then hear a personalized sample of how your receptionist will sound. The sample is a preview only and creates no real booking.

Next you choose your phone setup. In most cases you keep your public number and forward calls to AllDayDesk. The forwarding instructions depend on your phone service, so identify your exact carrier and product before entering any codes. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *71 for unanswered calls, while Verizon business landline uses *72 and *73 to turn it off. T-Mobile uses **21*1 plus the destination for unconditional forwarding. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal instead of star codes.

Two cautions matter. First, unconditional (all calls) and conditional (busy or no-answer) forwarding are different services, and a code for one does not work for the other. Second, if you use Google Voice, Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so that path is not an option.

Appointments and calendars

New appointments go into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That means the receptionist only books times you have actually made available.

If you prefer to work out of Google Calendar, AllDayDesk supports an optional connection. You enable it in Settings and authorize your Google account yourself; it is never connected automatically. Other calendars and industry scheduling software are not supported connections.

Changes to existing appointments are different from new bookings. When a caller wants to move or cancel an existing appointment, the receptionist records it as a request for you to review and act on. It does not confirm the change on its own.

Transfers, messages, and their limits

Sometimes a caller needs a person. AllDayDesk can transfer a call, but only after you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to be picked up or answered immediately, so treat transfers as one tool among several rather than a promise of instant contact.

When the receptionist does not know an answer, a price, or an available appointment time, it takes a message instead of guessing. Messages, along with the full call transcript and a summary, appear in your dashboard so nothing depends on memory or a sticky note.
