AI phone answering for your business

Virtual Reception Software: What It Does and How to Set It Up

Virtual reception software answers your business phone when you cannot, using information you save about your business instead of a person sitting at a front desk. AllDayDesk is this kind of software: it answers calls around the clock, answers questions from your saved business details, takes messages, and can book appointments. You keep your existing phone number by forwarding calls to AllDayDesk, and the exact forwarding steps depend on your phone company. Setup has four parts: choose your business or enter its website, check the details it pulled together, listen to a personalized sample of how your calls would be answered, and then choose how to connect your phone. The sample call is a demonstration only, so it does not create a real booking. After setup, you can see calls, transcripts, summaries, and bookings in your dashboard. New appointments go on the built-in AllDayDesk calendar by default once you have set up your services and availability, and you can optionally connect Google Calendar in Settings after authorizing your account. If a caller asks something the software does not know, like a price you have not listed, it takes a message instead of guessing.

What virtual reception software actually does

Virtual reception software combines two things: a phone service that receives your forwarded calls, and software that talks to callers using information you provide. With AllDayDesk, you save details about your business once, and the software uses those details to answer questions, take messages, and book new appointments on your calendar.

It is different from a plain voicemail system or an auto attendant menu. There are no numbered menus to press through. A caller speaks normally, and the software responds in plain language. Everything the caller says is saved, so you can read transcripts and summaries in your dashboard instead of replaying voicemails.

It is also different from hiring a front-desk employee. An in-house receptionist often handles visitors, mail, and office tasks in addition to the phone, so a phone service is not a full replacement for that role. Virtual reception software covers the phone part, including hours when nobody is at the desk.

  • Answers calls around the clock using your saved business information
  • Answers common questions from those details and takes a message when the answer is unknown
  • Books new appointments once you have configured your services and availability
  • Shows calls, transcripts, summaries, and bookings in your dashboard
  • Lets you keep your current public phone number through call forwarding

How AllDayDesk works, step by step

Setup starts by choosing your business from a list or entering its website. AllDayDesk pulls together details like your services and hours, and you check them for accuracy before anything goes live. You then hear a personalized sample of how your calls would be answered. This sample is a demonstration, so it does not create a real booking.

Next you choose your phone setup. Most owners keep their public number and forward calls to AllDayDesk, and the forwarding instructions depend on which phone company or service you use. For example, Verizon mobile forwarding is activated by dialing *72 plus the destination number and turned off with *73, while T-Mobile uses codes like **21*1 followed by the destination and #. Spectrum Business Voice manages forwarding through its online portal instead of star codes, and Google Voice does not support forwarding calls to an automated system at all. Check your own provider's instructions before you start.

Once calls are flowing, the software answers them, takes messages when it does not know an answer, and books new appointments on the built-in AllDayDesk dashboard calendar by default. If you prefer, you can connect Google Calendar in Settings after connecting and authorizing your Google account. Existing appointment changes are passed to you as requests for you to approve, not confirmed changes on their own.

  • Choose your business or enter its website, then verify the details
  • Listen to a personalized sample before committing
  • Pick your phone setup and follow your provider's forwarding steps
  • Review calls, transcripts, summaries, and bookings in the dashboard
  • Configure services and availability so new bookings land correctly

What the software handles and what it hands to you

The software answers questions using the business details you saved, so the quality of those answers depends on keeping your information current. If you change your hours, add a service, or adjust pricing, update your saved details so callers hear accurate information.

When a caller asks something that is not in your saved details, such as a price you have not listed or a question about a specific job, the software takes a message instead of guessing. You see that message, with the transcript and summary, in your dashboard and can follow up yourself.

Transfers work differently. You can configure a transfer destination and rules so certain calls reach you directly, but a transfer is not guaranteed to be picked up or answered immediately, so plan your rules with that in mind. Changes to existing appointments are collected as requests for you, and you confirm or decline them yourself.

  • Answers from your saved details, so keep them up to date
  • Takes a message whenever an answer, price, or appointment time is unknown
  • Books new appointments once services and availability are configured
  • Passes existing-appointment changes to you as requests
  • Transfers calls only to destinations and rules you have configured

How to choose virtual reception software

Before comparing any product, write down what you need the phone handled for. A plumber who misses calls on job sites needs different coverage than a law office that needs careful intake questions. List the questions callers ask most, the information you are willing to share, and the situations that must reach you directly.

Then compare products on documented features rather than marketing claims. Check how the software learns about your business, whether you can hear a sample before committing, what you can see after each call, and how appointments are booked. Ask what happens when the software does not know an answer; a good product takes a message rather than inventing one.

Cost is the other big factor. Human virtual receptionist services exist alongside software options, and their pricing models differ: some charge per call or per minute, and starting prices do not show the full picture because included allowances, overage rates, and hours vary. Compare the total monthly cost at your realistic call volume, not just the advertised starting number.

  • List your most common caller questions and required details first
  • Compare how each product learns your business information
  • Check whether you can hear a sample before you commit
  • Confirm you can review transcripts and summaries after calls
  • Compare total cost at your real call volume, including overages

Getting started with AllDayDesk

Getting started does not require new phone equipment or a new number. You choose your business or enter its website, check the details AllDayDesk assembled, hear a personalized sample, and choose your phone setup. If you forward your existing number, callers reach the software on the same line they have always dialed.

Before your first live call, take a few minutes to configure your services and availability so new appointments book onto the right slots. Decide which calls should transfer to you and set up that destination and its rules. Then watch the dashboard for the first few days to confirm transcripts, summaries, and bookings look the way you expect.

  • Verify your business details before going live
  • Configure services and availability for accurate booking
  • Set up transfer destinations and rules if you want direct handoffs
  • Review dashboard transcripts and summaries regularly at first

More questions, answered

Do I have to change my phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone company, so check your provider's instructions for your exact service.

Can it book appointments on my Google Calendar?

New appointments go on the built-in AllDayDesk dashboard calendar by default once you have configured services and availability. An optional Google Calendar connection is supported in Settings after you connect and authorize your Google account.

What happens when a caller asks something the software does not know?

It takes a message instead of guessing. You see the message, transcript, and summary in your dashboard and can follow up yourself.

Is the sample call a real booking?

No. The personalized sample is a demonstration of how your calls would be answered. It does not create a real booking or affect your calendar.

Will transferred calls always reach me?

Transfers depend on the destination and rules you configure, and neither pickup nor an immediate response is guaranteed. Plan your transfer rules with that in mind.

Can I use Google Voice with AllDayDesk?

Google does not support forwarding calls from a Google Voice number to an automated system, so that path is not a supported setup. Use a phone line whose provider supports forwarding to AllDayDesk.

Hear how your business would sound

Choose your business or enter its website, check the details, and listen to a personalized sample of how AllDayDesk would answer your calls around the clock. The sample creates no real booking, so you can try it with nothing to undo.
