AI phone answering for your business
Virtual telephone answering means your business calls are answered away from your location: you keep your existing number, forward calls to the service, and it answers in your business name using information you provide, takes messages, and can book appointments. This page explains how it works, how to forward your phone, and what to consider when choosing a service.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
A virtual telephone answering service answers your business line without sitting in your office. When you cannot pick up, the call is routed to the service, which greets the caller in your business name, answers basic questions from details you supply, and records what the caller needs.
It is different from voicemail or an auto attendant. Voicemail only records a message; it cannot answer a question. An auto attendant plays a menu and still requires callers to navigate options. A virtual answering service holds a real conversation, which matters when a caller has a question like whether you service their area or when your next opening is.
It is also different from hiring an in-house receptionist. A receptionist handles greeting visitors, mail, and office tasks in addition to the phone. A phone answering service covers only the calls, so it is a partial substitute, not a full employee replacement.

With AllDayDesk, the setup has four parts. First, you choose your business from a list or enter its website so the service can learn what you do. Second, you check the details it pulled, such as services and hours, and fix anything wrong. Third, you hear a personalized sample call so you know exactly how callers will be greeted. Fourth, you choose how to connect your phone.
Connecting your phone means forwarding calls from your existing number. The exact steps depend on your phone provider, and many owners keep their public number and simply forward calls they cannot answer. Once set up, the service answers around the clock using your saved business information.
When a caller asks something the service does not know, such as a price that is not listed or a question about a specific appointment, it takes a message instead of guessing. New appointments are booked on the built-in AllDayDesk dashboard calendar by default, after you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after authorizing your account. Changes to existing appointments are passed to you as requests, not confirmed changes, so you stay in control of your schedule.
Everything the service does on a call, including transcripts, summaries, and bookings, shows up in your dashboard, so you can review calls whenever it suits you.
Forwarding is done with your phone provider, not with AllDayDesk, and the steps vary by carrier and product. Two common types matter. Unconditional forwarding sends all calls straight to the service. Conditional forwarding sends calls only when you do not answer, are busy, or are unreachable, which lets you answer your own phone first.
Examples from provider documentation: on Verizon mobile, *72 plus the 10-digit destination activates all-call forwarding, *71 handles unanswered calls, and *73 disables forwarding. On T-Mobile, **21*1 followed by the destination and # enables unconditional forwarding, **61*1 enables no-reply forwarding, and ##004# resets forwarding to defaults. Comcast Business manages forwarding through its My Account portal or app, and features depend on which Comcast service you subscribe to. Google Voice can forward calls to linked phones, but Google states that forwarding from a Google Voice number to an automated system is unsupported, so a Google Voice number is not a compatible path.
Always confirm the exact product name on your bill before using any code, because the same carrier often uses different codes for wireless, landline, and hosted business products.

Virtual telephone answering comes in two main forms. Human services employ remote receptionists who answer your calls. AI services use software that converses with callers. Both approaches are legitimate; the right choice depends on your call volume, budget, and the kind of judgment your calls need.
Human services generally cost more because you are paying for staffed coverage. For example, Ruby advertises live virtual receptionist plans starting at $245 per month, and Smith.ai prices its human receptionist service per call. Those figures are starting prices only; real cost depends on included minutes or calls, overage rates, hours covered, and contract terms, so compare current quotes.
AI answering is priced differently from staffed coverage, and which costs less depends on your call volume and the plans you compare, so get current quotes before deciding. It handles routine calls, messages, and appointment booking consistently, and it is limited to the information you provide: when a caller asks something unknown, it takes a message rather than improvising. AllDayDesk, the product on this site, is an AI answering service, so weigh that disclosure when comparing options.

Virtual telephone answering fits owners who handle their own phones and cannot always pick up: tradespeople on job sites, solo professionals with clients, and anyone whose day is hands-on. If calls often arrive while you are working, driving, or closed, an answering layer means callers reach a conversation instead of voicemail.
Ask yourself three questions. How often do calls arrive when you cannot answer? What happens today when you miss one? And would a caller booking an appointment or leaving a clear message be better than a beep? If missed calls cost you work, an answering service is worth testing. If your calls are rare and always at convenient times, voicemail may be enough.
Coverage and fees vary by service and plan, so check what any provider includes before committing. AllDayDesk plans are shown with their pricing on the plans section of this site, separate from this page.
