Why dental offices set up after hours coverage

Patients often think about the dentist in the evening: after dinner, while reviewing insurance paperwork, or when a tooth starts bothering them late in the day. If the office phone simply rings out to voicemail, the caller has to decide whether the situation is worth leaving a message about.

After hours coverage means the phone is answered by an AI receptionist, which is software rather than a person. Turning on forwarding outside office hours

You keep your existing phone number. Forwarding is done with your phone provider, and the exact steps depend on which service your practice uses. There are two main kinds. Unconditional (all-call) forwarding sends every call to the destination, which suits a practice that wants the service to handle everything. Conditional forwarding sends calls only when the line is busy or unanswered, which suits a practice where the front desk usually answers and the service is a backup.

Examples from provider guides: on Verizon mobile, *72 plus the 10-digit destination activates all-call forwarding and *73 turns it off, while *71 plus the destination forwards unanswered calls (verizon-wireless). On Verizon business landline, dial *72 to activate and *73 to deactivate (verizon-business). AT&T Phone for Business uses *72 for all calls, *92 for no-answer, and *90 for busy, each followed by the destination and # (att-business). Spectrum Business Voice is configured in the online portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer (spectrum-business). Optimum Business Phone uses *72 then the destination, with *73 to turn it off (optimum).

Identify your exact service before using any code, because instructions differ between a carrier's wireless, landline, and hosted products. Note that Google Voice does not support forwarding its calls to an automated system, so a Google Voice number is not a workable path (google-voice-routing). After activating, place a test call from an outside phone to confirm calls reach the receptionist, and remember to deactivate or reschedule forwarding if you ever want calls ringing in the office again.

New appointment requests are booked into the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can connect Google Calendar in Settings after connecting and authorizing your Google account; that optional connection is the supported external calendar. Other calendar or dental scheduling software is not part of the service.

Overnight, a caller asking for a cleaning or a consultation can be offered times based on the availability you set, and the booking appears on your calendar before you arrive. If a caller wants to change an existing appointment, that is recorded as a request for you or your front desk to confirm, not a change made automatically.

Each morning, open the dashboard to see the night's calls with transcripts and summaries, any messages that need a callback, and new bookings. If a caller described pain, the message will be waiting for your judgment on how to respond. Nothing is decided for you clinically.

Transfers and what becomes a message

Some owners want the option of having certain calls transferred to them, for example an on-call dentist line. Transfers require you to configure a destination number and the rules for when transfers happen. Even then, neither that the caller is picked up nor that you respond immediately is guaranteed, so treat transfers as one option and ordinary message taking as the baseline.

A good rule of thumb for what becomes a message: anything clinical, anything involving money such as pricing, and anything the saved details do not cover. Everything else, like hours, address, directions, insurance questions you saved answers for, and new appointment requests, can be handled on the call.
