All-call versus conditional forwarding

There are two ways to send calls to the service, and the choice shapes the whole caller experience. All-call (unconditional) forwarding sends every incoming call to the receptionist immediately. Conditional forwarding only sends calls that you do not answer, so your phone rings first and the receptionist is the backup.

All-call forwarding is the simplest setup: you activate it when you leave for the day and deactivate it in the morning, or leave it on permanently if you never want to answer the business line yourself. Conditional forwarding suits owners who answer most calls but want coverage when they are on another call, away from the phone, or in a spot with no signal.

How you activate forwarding depends entirely on your phone provider. Some carriers use star codes dialed from your phone; others use an online account portal. For example, Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, while T-Mobile uses different short codes for each forwarding type. One important limit: Google Voice does not support forwarding its calls to an automated system, so a Google Voice number cannot be pointed at AllDayDesk. If your business runs on Google Voice, you will need a different number to forward.

Which business facts are safe to share

Keep private or sensitive items out of the saved details. Do not include personal cell numbers you do not want callers to have, internal notes about customers, or anything you would not say publicly. The receptionist should never collect sensitive information from callers either, such as payment card numbers, detailed medical or legal descriptions, or financial account details.
