Call Answering and Forwarding Service: A Plain-English Guide

A call answering and forwarding service answers your business phone when you cannot, using call forwarding to send incoming calls from your existing number to that service. You keep your public number; your carrier simply routes calls to the answering service, which answers in your business's name, takes messages, and can book appointments. Here is how the two pieces work together.

What a call answering and forwarding service actually does

There are two parts to this category. The answering part is a service that picks up calls on behalf of a business, greets callers, answers basic questions from saved business information, takes messages, and in some cases books appointments. The forwarding part is a phone feature, provided by your carrier or phone system, that sends calls arriving at your number to a different destination, such as the answering service.

The key idea is that the business keeps its advertised number. Customers dial the same number they always have. Forwarding happens behind the scenes, so the answering service never needs its own public listing. When the owner wants to take calls personally again, forwarding is switched off and calls ring at the original line as before.

Services differ in who does the answering. Some use trained human agents, some use automated voice systems, and some combine both. AllDayDesk, the service on this site, uses an automated receptionist that answers around the clock using the owner's saved business details, shows calls, transcripts, summaries and bookings in a dashboard, and books new appointments on a built-in calendar by default, with an optional Google Calendar connection available in Settings after the owner connects and authorizes their account.

  • Answering: a service greets callers, answers questions from your business info, and takes messages when an answer or price is unknown.
  • Forwarding: a carrier feature that routes calls from your existing number to the service, and back off when you disable it.
  • You keep your public number either way; forwarding is a routing setting, not a new phone line.

How call forwarding is turned on

Forwarding is set up on your phone line, not inside the answering service. Most carriers offer two flavors. Unconditional (all-call) forwarding sends every incoming call to the destination immediately. Conditional forwarding sends calls only in specific situations, such as when you do not answer, the line is busy, or the phone is unreachable. Businesses that want an answering service to handle everything usually use all-call forwarding; businesses that want to answer first and only overflow to the service use conditional forwarding.

Activation is usually a star code dialed from the line itself, or a setting in a web portal or app. The exact code depends on the carrier and the specific product, so always confirm with your own provider before dialing. A few verified examples from carrier documentation:

Verizon mobile uses *72 plus the 10-digit destination for all-call forwarding, *71 for unanswered calls, and *73 to disable; setup must be done from the phone while in Verizon coverage. Verizon business landline uses *72 to activate and *73 to deactivate. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with separate codes for no-reply, unreachable and busy conditions, and ##004# to reset to defaults. AT&T Phone for Business uses *72, destination, # for all calls, *92 for no-answer and *90 for busy, each with its own off code. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager, where you choose all calls or busy/no-answer and set the destination.

  • Unconditional forwarding: every call goes to the service right away.
  • Conditional forwarding: calls reach you first and only route away when unanswered, busy, or unreachable.
  • Codes and portals vary by carrier and product; verify the exact service name on your bill before using any instructions.
  • Forwarding applies to calls, not texts, on many mobile plans.

Carrier and phone-system notes worth checking

Identify your exact product before following any instructions. Large providers sell several phone products with different steps. Comcast Business, for example, offers Voice Mobility and Managed Voice, and the steps differ between them; the Managed Voice Panasonic TPA65 guide uses *72 with a destination for all calls and *92 for no-answer, while Voice Mobility features are managed through My Account and the Comcast Business App. Vonage Business Communications enables forwarding by selecting Call Forwarding and choosing to forward to a phone number, and Vonage recommends verifying the destination with an outside test call. Frontier's Unlimited Digital Voice uses *72 with a second dial tone, and also offers portal-based forwarding under Settings, Call Settings, Call Forwarding.

A few limits matter. Google Voice can forward calls to linked phone numbers, but Google explicitly states that forwarding calls from a Google Voice number to an automated system is unsupported, so a Voice number is not a suitable source line for an automated answering service. Some prepaid and regional carriers support forwarding only in select areas or on select plans, and conditional forwarding may require adding a feature to your account. If your carrier is not listed here, call its support line and ask two questions: does my specific plan support all-call forwarding, and does it support conditional (no-answer) forwarding?

  • Match instructions to your exact product name, not just the brand.
  • Test forwarding with a real outside call after activating.
  • Google Voice numbers cannot be forwarded to an automated answering system.
  • Some plans require adding a forwarding feature or may not support it at all.

How to choose between answering options

Once forwarding works, the choice is who answers. Human answering services staff phones with trained agents; AnswerConnect, for example, advertises 24/7 live answering by people, and Ruby offers human virtual receptionist plans. Smith.ai sells per-call human receptionist pricing and also a separate AI receptionist product. Pricing structures vary widely, so compare the included allowance, overage rates, hours covered, and contract terms on a current quote rather than relying on a starting price alone.

Automated services answer with voice software instead of people. AllDayDesk answers around the clock using your saved business information, and you can hear a personalized sample of how it would sound for your business before choosing phone setup. When the receptionist does not know an answer, a price, or an available appointment, it takes a message instead of guessing. New appointments are booked on the built-in dashboard calendar once you have configured services and availability, and changes to existing appointments are passed to you as requests rather than confirmed changes.

A practical way to decide: if your calls involve judgment, sensitive topics, or complex conversations, weight human services more heavily. If your main need is capturing calls outside working hours, answering routine questions, and booking appointments, an automated service can offer around-the-clock coverage — compare current quotes to see the difference for your call volume. Also consider an in-house receptionist; the BLS notes the role covers greeting visitors and office tasks beyond phone work, so compare scope, not just phone coverage.

  • Human services: judgment and rapport; pricing structures vary, so check the included allowance and contract terms on a current quote.
  • Automated services: consistent around-the-clock coverage using your saved business details.
  • Compare included minutes or calls, overage rates, and contract terms on current quotes.
  • An in-house receptionist does more than phones; weigh the full role before substituting a phone service.

Setting up a service on your existing number

With AllDayDesk, setup starts by choosing your business or entering its website, checking the business details it pulls in, and hearing a personalized sample of the receptionist. The sample is a demonstration only and creates no real booking. Next you choose phone setup, which means configuring forwarding on your line using your carrier's instructions so calls route to the service. Your public number never changes.

After calls start arriving, you can review calls, transcripts, summaries and bookings in the dashboard. Before appointment booking will work, configure your services and availability in the dashboard calendar; if you prefer, connect Google Calendar in Settings and authorize your account. Transfers to you are possible once you configure a destination and rules, though neither pickup nor an immediate response is guaranteed, so message taking remains the reliable baseline for anything the receptionist cannot resolve.

  • Choose your business or enter its website, then verify the details.
  • Listen to the personalized sample; it does not create real bookings.
  • Activate forwarding on your line with your carrier's verified instructions.
  • Configure services and availability so new appointments can be booked.
  • Review calls, transcripts, summaries and bookings in the dashboard.

More questions, answered

Do I have to change my business phone number?

No. Forwarding routes calls from your existing number to the answering service, so customers keep dialing the same number. Turning forwarding off returns calls to your original line.

What is the difference between all-call and conditional forwarding?

All-call forwarding sends every incoming call to the service immediately. Conditional forwarding rings your line first and only routes the call away when it is unanswered, busy, or unreachable. Use all-call when you want the service handling everything and conditional when you want to answer first.

Is there one universal forwarding code?

No. Codes differ by carrier and even by product within the same carrier. For example, AT&T Phone for Business and AT&T Collaborate use different codes, and Spectrum Business Voice manages forwarding through a web portal instead. Confirm your exact service before dialing anything.

Can I forward a Google Voice number to an answering service?

Google documents that forwarding calls from a Google Voice number to an automated system is unsupported. Use a standard carrier or business phone line as the source number instead.

What happens if the receptionist cannot answer a caller's question?

When an answer, price, or appointment is unknown, the receptionist takes a message instead of guessing. You can review messages, transcripts, and summaries in the dashboard.

Does the service book appointments on my calendar?

New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured services and availability. An optional Google Calendar connection is available in Settings after you connect and authorize your account. Changes to existing appointments come to you as requests, not confirmed changes.
