Call Management Solutions: What They Are and How to Choose One
A call management solution is any tool or service that helps a business handle phone calls in an organized way: routing them, taking messages, recording what happened on each call, and letting you review activity. The main categories are routing tools, answering services (human or automated), messaging systems, and reporting dashboards. This guide explains each type and gives practical buying criteria.

What a call management solution does
At its core, call management means deciding what happens to every call that reaches your business line: does it ring your phone, go to a receptionist, route to another number, or collect as a message? A solution is whatever combination of tools and services makes that decision automatic and reviewable.
Most solutions cover four jobs. First, routing: sending calls to the right place, whether that is your cell phone, a colleague, or an answering service. Second, messaging: capturing caller details when nobody can pick up. Third, activity records: logs, transcripts, or summaries so you can see who called and why. Fourth, reporting: patterns over time, like which hours produce the most calls.
- Routing: forward, transfer, or distribute calls based on rules you set
- Messaging: voicemail or message-taking with caller name, number, and reason
- Activity records: call logs, transcripts, and summaries you can review later
- Reporting: visibility into call volume and outcomes

The main types of call management solutions
Routing and forwarding tools live at the carrier or phone-system level. They use star codes or a web portal to send calls to another number. The exact steps depend on your provider and product, so identify your exact service before following any instructions. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 plus the destination for unconditional forwarding. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than codes.
Answering services put a person or an automated receptionist between the caller and you. Human services employ receptionists who answer in your business name; automated services use software trained on your business details. Each has trade-offs in cost, hours, and consistency, which we cover below.
Voicemail and greeting tools handle the messaging layer. A clear greeting with a callback promise sets expectations even when a call is missed.
Reporting and dashboard tools sit on top of the other three, showing call logs and outcomes so you can spot gaps in coverage.
- Carrier forwarding: star codes or portal settings on your existing line
- Human answering services: people answer in your business name
- Automated receptionists: software answers using your saved business information
- Voicemail and greetings: the baseline messaging layer
- Dashboards and reports: logs, transcripts, and summaries of call activity

How to choose: five practical criteria
Before comparing vendors, write down your actual call pattern. How many calls come in per week, at which hours, and what do callers usually want? A solo contractor with mostly appointment requests needs something different from a law office handling detailed intake questions.
Use these criteria to narrow the field:
- Coverage hours: does the solution handle calls only during set hours, or around the clock? Note that around-the-clock availability does not guarantee every call connects.
- Answering style: a person offers judgment and flexibility; an automated receptionist offers consistency. Compare documented features and actual quotes, not marketing claims.
- Compatibility with your phone line: check whether your carrier supports forwarding and which product you have. Google Voice, for instance, does not support forwarding calls to an automated system.
- Message and record handling: can you read transcripts and summaries afterward, and where do new appointments land?
- Total cost: look past the starting price to included minutes or calls, overage rates, and contract terms.

Connecting a solution to your existing number
Most owners keep their public phone number and forward calls to the new service, so setup starts with your carrier. The steps vary by provider and product. Verizon mobile activates all-call forwarding with *72 plus the destination and disables it with *73. Verizon business landline also uses *72 and *73 from the same line. Optimum Business Phone uses *72, then the destination, with *73 to turn it off. Vonage Business Communications enables forwarding through its Call Forwarding setting in the account interface.
Two cautions. First, conditional forwarding (busy or no-answer only) is not verified for every carrier, so confirm support for your exact service rather than borrowing another carrier's codes. Second, if your number is a Google Voice number, Google states that forwarding calls from Voice to an automated system is unsupported, so plan around that limitation before signing up.
- Identify your exact carrier product before using any star code or portal path
- Test forwarding with a real outside call after activating
- Confirm conditional (busy/no-answer) support separately from all-call forwarding
- Google Voice numbers cannot be forwarded to automated answering systems

Handling calls nobody answers
Even with a solution in place, plan for the calls that slip through: callers who hang up before leaving details, or messages with no clear callback time. A good practice is to review your call log daily, return messages within a window you choose, and keep a simple note of which calls turned into work. Some businesses pair their main solution with an overflow service for busy periods.
When a caller asks something the answering service cannot confirm, such as a price or an open appointment slot, the right behavior is to take a message rather than guess. Make sure any solution you evaluate follows that rule.
- Review call logs and messages at a set time each day
- Choose a personal callback window and stick to it
- Prefer services that take a message instead of guessing at unknown answers

Where AllDayDesk fits
AllDayDesk is this site's own call management solution: an automated receptionist that answers calls around the clock using business information you save. Setup involves choosing your business or entering its website, checking the details it pulled in, hearing a personalized sample call, and then choosing how to connect your phone. You keep your public number by forwarding calls to it, using your carrier's instructions.
Once running, you can see calls, transcripts, summaries, and bookings in the dashboard. New appointments go on the built-in AllDayDesk calendar by default once you have configured your services and availability, and an optional Google Calendar connection is available in Settings after you connect and authorize your account. Changes to existing appointments come to you as requests, not confirmed changes. When the receptionist does not know an answer, a price, or an open slot, it takes a message for you. Transfers to you are possible once you configure a destination and rules, though pickup is not guaranteed.
- Answers using your saved business information, with a personalized sample before you commit
- Dashboard shows calls, transcripts, summaries, and bookings
- Built-in calendar by default; optional Google Calendar connection in Settings
- Unknown answers become messages; appointment changes arrive as requests

More questions, answered
Do I need to change my phone number to use a call management solution?
Usually no. Most solutions, including AllDayDesk, work by forwarding your existing number to the service, so callers keep dialing the number they already know. The forwarding steps depend on your carrier and product.
Is an automated receptionist as good as a human one?
They are different tools. A person offers judgment and can handle unusual requests; an automated receptionist offers consistent answers based on your saved information. Neither is universally better: pricing structures, fees, and coverage vary by provider and plan, so compare quotes for the same call volume before deciding.
Can a call management solution book appointments directly into my calendar?
AllDayDesk books new appointments on its built-in dashboard calendar once you have set up your services and availability. An optional Google Calendar connection is supported in Settings after you connect and authorize your Google account. Other calendar or scheduling software connections are not part of the product.
What happens if a caller asks a question the service cannot answer?
The right behavior, and AllDayDesk's approach, is to take a message with the caller's details rather than guess at a price, availability, or policy. You then follow up yourself.
Does around-the-clock answering mean every call is picked up?
No. Around-the-clock availability describes when the service is operating, not a guarantee that every call connects. Ask any provider you evaluate how they handle calls that do not connect.
