Incoming Call Management: What Happens When a Customer Calls

Incoming call management is how your business handles every call that arrives: whether it rings your phone, forwards somewhere else, goes to voicemail, or gets answered and turned into a message or booking. This guide walks through the full path of an incoming call, the choices you control at each step, and how to set up forwarding on common phone services. The goal is simple: fewer missed callers, clearer records, and a setup you do not have to babysit.

What incoming call management covers

When a customer dials your business number, several things happen in order. The call reaches your phone carrier, your carrier applies any forwarding rules you have set, and then either your phone rings, another number rings, or the call goes to voicemail or an answering service. Incoming call management is the practice of deciding, in advance, what should happen at each of those steps.

Good call management is not just about answering. It also covers what information gets captured (who called, why, and whether they need a callback), where appointments get recorded, and how you review calls later. A caller who reaches a clear, helpful answer or a well-taken message is far more likely to become a customer than one who hears a full mailbox.

  • Where the call rings first: your cell, your office line, or a forwarded destination
  • What happens when you are busy, away, or do not pick up
  • Who or what answers: you, voicemail, or an answering service
  • What gets recorded: messages, transcripts, summaries, and bookings
  • How you review and follow up after the call
  • For a broader look at handling inbound calls as an ongoing process, read the inbound call management guide. inbound call management

The path of a typical incoming call

Step one: the call arrives at your carrier. Your carrier checks whether forwarding is active on your line. If unconditional forwarding (all calls) is on, the call goes straight to the destination number and your phone never rings.

Step two: conditional rules apply if you use them. Many carriers let you forward only when the line is busy, when you do not answer, or when the phone is unreachable. This is useful when you want to answer your own phone during the day but let something else handle calls you miss.

Step three: the destination handles the call. That could be your own cell phone, your voicemail, or an answering service like AllDayDesk. If the destination cannot take the call or does not know the answer to a question, the caller should at least get a clear message taken with their name, number, and reason for calling.

  • Unconditional forwarding sends every call to the destination immediately
  • Busy forwarding sends calls elsewhere only while you are on another call
  • No-answer forwarding kicks in after a set number of rings
  • Unreachable forwarding covers phones that are off or out of service

How to set up call forwarding on common carriers

Forwarding setup depends entirely on your phone service, so identify your exact carrier and product before entering any code. The steps below come from each provider's own documentation. If your product is not listed, check your bill or provider support pages for the exact service name, because instructions differ even within one company.

Verizon mobile: dial *72 plus the 10-digit destination to forward all calls, and *73 to turn it off. Use *71 plus the destination for unanswered calls. Activation must be done from the mobile phone while in Verizon coverage, and charges depend on your plan. Verizon business landline uses *72 to activate and *73 to deactivate from the same line. T-Mobile: dial **21*1 followed by the 10-digit destination and # for unconditional forwarding, and ##21# to disable. Use **61*1 for no-reply, **62*1 for unreachable, and **67*1 for busy, each disabled with the matching ## code such as ##61#. ##004# resets forwarding to defaults. Check that your service and device support these codes.

AT&T Phone for Business: dial *72, the destination, then # for all calls; *73# turns it off. No-answer forwarding is *92 plus destination and #, disabled with *93#. Busy forwarding is *90 plus destination and #, disabled with *91#. These codes apply only to AT&T Phone for Business, not AT&T wireless or Collaborate. Comcast Business features are managed through My Account or the Comcast Business App and depend on your subscribed service; for Comcast Managed Voice on a Panasonic TPA65 phone, lift the handset, dial *72 and the destination, then hang up, with *73 to disable. Spectrum Business Voice is controlled in the portal: sign in to SpectrumBusiness.net, open Voice, select your number, then Voice Settings or Forwarding Manager, and choose unconditional or busy/no-answer forwarding.

Vonage Business Communications: select Call Forwarding and enable Forward Calls to a phone number, then verify the destination with an outside call. Frontier Unlimited Digital Voice uses *72 with a second dial tone, then the destination, and *73 to disable; the portal path is Settings, Call Settings, Call Forwarding, and other Frontier products can differ. Optimum Business Phone: dial *72, wait for dial tone, then dial the destination; the destination answering confirms forwarding, and *73 turns it off. Google Voice is a special case: Google explicitly states that forwarding calls from a Google Voice number to an automated system is unsupported, so confirm options with Google support before planning any automated answering setup.

  • Always confirm forwarding with a real test call from another phone
  • Note whether you set unconditional or conditional forwarding; they behave differently
  • Turn forwarding off with the matching disable code when you no longer need it
  • If a code does not work, your product may not support it; ask your carrier rather than trying another carrier's codes

Deciding who or what answers your calls

Most small business owners answer their own phone, and that works well when you are available. The gaps appear when you are on a job, with a customer, or closed. Your options for those gaps are voicemail, a human answering service, or an automated receptionist.

Voicemail is free and familiar, but callers often hang up without leaving details, and you have to listen and write everything down yourself. Human answering services employ people who answer in your business name; pricing and coverage vary by provider and plan, so compare quotes directly. An automated receptionist like AllDayDesk answers using your saved business information: it greets callers, answers common questions, takes messages, and can book appointments.

With AllDayDesk, setup starts by choosing your business or entering its website, checking the details it found, hearing a personalized sample call, and then choosing how to connect your phone. You keep your existing public number by forwarding calls to it; the exact steps depend on your phone service. The sample is a preview only and creates no real booking. After calls come in, you see calls, transcripts, summaries, and bookings in the dashboard.

New appointments go on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer Google Calendar, you can optionally connect and authorize your Google account in Settings. Changes to existing appointments are passed to you as requests, not confirmed changes. When the receptionist does not know an answer, a price, or an opening, it takes a message instead of guessing.

  • Answer yourself when available; forward only the calls you cannot take
  • Voicemail works but captures less detail and requires manual follow-up
  • Human services vary in price, hours, and contract terms; get current quotes
  • Automated receptionists answer with your business details and log everything in a dashboard

A practical checklist for managing incoming calls

Whatever setup you choose, these steps will keep your incoming call management working. Review them whenever your hours, services, or phone provider change.

  • Pick one number as your public business number and keep it consistent everywhere
  • Decide your default: ring you first, or forward everything
  • Set conditional forwarding for busy and no-answer so you still get first chance
  • Test forwarding with a real call from a different phone after any change
  • Make sure missed callers get a clear message taken, not a silent hang-up
  • Check your dashboard or inbox daily for messages and booking requests
  • Update your business details whenever prices, services, or hours change

More questions, answered

Do I have to change my business phone number?

No. With AllDayDesk you keep your existing public number and forward calls to the service. The forwarding steps depend on your phone provider, so follow your carrier's own instructions.

What happens if a caller asks something the receptionist does not know?

It takes a message with the caller's details and question so you can follow up yourself. It does not guess answers, prices, or openings.

Where do booked appointments end up?

New appointments go on the built-in AllDayDesk dashboard calendar once you have set up your services and availability. You can optionally connect Google Calendar in Settings after authorizing your Google account.

Can I transfer a call to someone else mid-conversation?

Transfers require you to configure a destination and rules in advance. Neither pickup nor an immediate response is guaranteed, so treat transfers as one tool among several.

Will forwarding work on any phone service?

Not automatically. Each carrier and product has its own steps, and some services, such as Google Voice forwarding to automated systems, are unsupported by Google. Identify your exact service and confirm with your provider.
