AI phone answering for your business

Answering Service for Massage Therapists

AllDayDesk is an AI answering service for massage therapists. While you are with a client or closed for the day, it answers your business line around the clock using the details you save, answers questions like your hours and services, books new appointments on a calendar, and takes a message when something needs you personally. You keep your existing number by forwarding calls, and it is software, not a human service.

Why massage therapists use an answering service

When you work solo or with a small team, the phone competes directly with the table. A call in the middle of a session cannot be answered, and a caller who reaches voicemail may or may not leave a message. An answering service fills that gap: while your hands are busy, calls are still answered, questions are answered from your saved details, and new-client requests are captured.

AllDayDesk is built for exactly this situation. You save your business details once, and the service uses them to answer callers around the clock. You stay in control of what it says, and calls, transcripts, summaries, and bookings are visible in your dashboard so you can review them whenever you finish with a client.

To be clear about what it is: AllDayDesk is an AI receptionist, not a human answering service and not a staff member. It follows the instructions and information you provide. It does not give medical or health advice, discuss symptoms, or decide whether someone should book a session. Anything clinical, sensitive, or uncertain becomes a message for you.

  • Answers your business line when you are in session, off for the day, or simply unavailable
  • Answers questions from the business details you save, such as services, hours, and policies
  • Takes a message when a caller needs you personally or asks something you have not saved
  • Books new appointments on a calendar once you have set up your services and availability
  • Calls, transcripts, summaries, and bookings are visible in your dashboard

What happens on a massage practice call

A typical caller to a massage practice is a new client asking about services and pricing, an existing client wanting to change a time, or someone with a question about your location or policies. Here is how AllDayDesk handles each kind of call based on the details you save and the settings you choose.

  • New client asking about services: answered from your saved details, and if you have configured services and availability, a new appointment can be booked on your calendar
  • Existing client wanting to reschedule: the request is recorded for you. Changes to existing appointments are requests for you to handle, not confirmed changes, so nothing on your calendar moves without your say-so
  • Price or policy question: answered if it is in your saved details; otherwise the caller is asked to leave a message
  • Anything health-related or personal: no advice, no triage, no symptom discussion. The caller is asked to leave a message so you can respond yourself
  • Caller who wants to talk to you right away: if you configure a transfer destination and rules, the call can be transferred. Neither pickup nor an immediate response is guaranteed

Booking appointments from the phone

New appointments are booked on the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. That means a caller can ask for a time, and if it fits what you saved, the appointment appears in your dashboard alongside the call transcript and summary.

If you already run your schedule in Google Calendar, you can optionally connect it in Settings after you connect and authorize your Google account. That is the only external calendar connection AllDayDesk supports. Other scheduling tools and industry software are not connected, so if you use a different booking system, the service will still capture the request and you can move it into your own system yourself.

  • Built-in dashboard calendar is the default for new bookings
  • Optional Google Calendar connection is set up in Settings after you authorize your account
  • Existing appointment changes are requests for you, never confirmed changes
  • Callers asking for details you have not saved are asked to leave a message
  • If you are comparing how different professions structure a first-call intake, this page shows the new-prospect workflow in detail; the same pattern of capture-then-message applies to new massage clients. answering service for legal intake

After-hours and on-the-table coverage

If your callers tend to reach out in the evening or on weekends, when you are off the table and unavailable, AllDayDesk answers around the clock. An evening caller hears your saved information and can request an appointment or leave a message instead of hitting voicemail.

Around-the-clock availability is not a promise that every single call connects, and it does not mean a human is always reachable. It means the service is available to answer whenever a call comes in. For urgent situations, the service does not dispatch anyone or flag calls as emergencies; it takes a message, and you decide how and when to follow up. If you want callers routed to you directly during certain situations, you can configure a transfer destination and rules, understanding that pickup is not guaranteed.

A useful way to think about coverage: decide which questions the service may answer on its own (hours, services, rates, location), which requests it may book (new appointments only), and what always becomes a message (anything clinical, personal, or uncertain).

  • Evening and weekend callers hear your saved information instead of voicemail
  • The service takes messages for anything urgent; you decide how to follow up
  • Transfers to you are possible with a configured destination and rules, but pickup is not guaranteed
  • Decide up front what gets answered, what gets booked, and what becomes a message

How setup works

Setup starts by choosing your business or entering its website, so AllDayDesk can pull in your public details. You then check those details, hear a personalized sample of how your calls would be answered, and choose your phone setup. The sample is a demonstration only; it does not create a real booking.

To receive calls, you forward your existing number to AllDayDesk, so you keep the number your clients already know. Forwarding instructions depend on your phone service. For example, Verizon mobile uses *72 plus the destination for all-call forwarding and *73 to turn it off, while T-Mobile uses **21*1 plus the destination and # for unconditional forwarding. Other carriers and services have their own steps, so check the guide for your provider before dialing anything.

Once you are live, your dashboard is where you review everything: calls, transcripts, summaries, and bookings. Most owners answer their own phones, so there is no assumption that you have front-desk staff; the service simply covers the times you cannot pick up.

  • Choose your business or enter its website, then check the details it found
  • Hear a personalized sample of your answering experience before going live
  • Keep your public number by forwarding calls; steps depend on your phone service
  • Review calls, transcripts, summaries, and bookings in the dashboard

Honest limits to know before you sign up

AllDayDesk is software, not a person. It does not provide the judgment of a trained human receptionist, and it is not a medical service. It will not give health information, screen for conditions, or handle anything you have not authorized. Do not rely on it for anything that requires clinical judgment.

It also has practical boundaries worth knowing up front. It does not guarantee that a transferred call will be picked up, it does not promise a message if a transfer goes unanswered, and it does not connect to dispatch systems, CRM tools, health records, or industry scheduling software. The only external calendar it can connect to is Google Calendar, and only after you authorize it in Settings. When it does not know an answer, a price, or an available time, it takes a message rather than guessing.

  • Not a human answering service and not a substitute for staff judgment
  • No health advice, symptom triage, or clinical screening of any kind
  • No guaranteed pickup on transfers and no guaranteed response times
  • No connections to dispatch, CRM, health records, or industry software; Google Calendar is the only supported optional calendar connection

What it costs compared to alternatives

AllDayDesk plans are shown with current pricing on this site's pricing section, rendered separately from this page. Plans include a monthly allowance of answered minutes, with a per-minute rate for time beyond that allowance, so the right plan depends on your call volume.

For context, human virtual receptionist services are priced differently. Ruby advertises live virtual receptionist plans starting at $245 per month, and Smith.ai uses per-call pricing for its human receptionist service, with costs depending on the needs you select. Those starting prices are not complete comparisons; you would need to check each quote for included allowance, overages, hours, and contract terms. An in-house receptionist covers far more than the phone, including greeting visitors and office tasks, so a phone service is not a full replacement for one.

A simple decision rule: if your main problem is missed calls during sessions and after hours, an AI service may fit; if callers regularly need nuanced human judgment on the phone, a human service may justify its price. Compare actual quotes for both before deciding.

  • AllDayDesk pricing is displayed on the pricing section of this site
  • Human services like Ruby and Smith.ai price differently; verify current quotes directly
  • Compare included minutes or calls, overage rates, and hours before choosing

More questions, answered

Do I have to change my phone number?

No. You keep your existing public number and forward calls to AllDayDesk. The forwarding steps depend on your phone service, so use the guide for your specific provider.

Can it book appointments in my existing scheduling software?

New appointments go on the built-in AllDayDesk dashboard calendar by default. An optional Google Calendar connection is available in Settings after you connect and authorize your account. Other scheduling tools are not connected.

Can a client reschedule over the phone?

Changes to existing appointments are recorded as requests for you, not confirmed changes. You review the request and make the change yourself.

Is this a human answering service?

No. AllDayDesk is an AI receptionist. It answers using the business details you save, and it is not a person. It also does not give health advice or discuss symptoms.

What happens if a caller asks something the service does not know?

When an answer, price, or appointment time is unknown, the caller is asked to leave a message for you. You can review messages, along with transcripts and summaries, in your dashboard.

Is my callers' information specially protected as health data?

AllDayDesk is a business phone service, not a medical service, and it makes no compliance certifications. Avoid having callers share sensitive medical, legal, or financial details over the phone; the service is designed to take simple messages instead.
