AI phone answering for your business

After Hour Answering Service

An after hour answering service handles your business phone during the hours you are closed, such as evenings, overnight, weekends and holidays, while you keep answering your own calls during the day. Calls made after hours are forwarded to the service, which answers using your saved business information, takes messages, answers common questions, and can book new appointments into a calendar you set up. You keep your existing phone number by forwarding calls, and the exact forwarding steps depend on your phone carrier. AllDayDesk is an AI receptionist that provides this kind of after-hours coverage around the clock, and you can hear a personalized sample of how it would answer for your business before choosing a phone setup. It does not guarantee that every single call connects, and when a caller asks something the service does not know, like a price or an appointment change, it takes a message for you instead of guessing.

What an after hour answering service covers

The main idea is simple: you stay the daytime voice of your business, and the service covers the hours you cannot pick up. That usually means nights, weekends, and holidays, but you decide the split. Some owners forward only overnight calls; others forward every call outside posted business hours.

During covered hours, the service answers with your business name, uses the details you saved about your services and policies, and handles routine calls on its own. It can book new appointments once you have configured your services and availability in the built-in AllDayDesk dashboard calendar. If a caller wants to change an existing appointment, that becomes a request passed to you, not a confirmed change.

Everything shows up in your dashboard: calls, transcripts, summaries, and any bookings. You can review overnight activity with your morning coffee instead of digging through voicemail.

  • You keep your public phone number; forwarding sends calls to the service after hours
  • New appointments go to the AllDayDesk dashboard calendar by default
  • An optional Google Calendar connection is available in Settings after you connect and authorize your account
  • When an answer, price, or appointment is unknown, the service takes a message

How forwarding keeps your number

You do not need a new phone number. You forward your existing number to the service during your closed hours, and the forwarding instructions depend on who provides your phone service. Mobile carriers, landline providers, and business VoIP systems each use different codes or portals, so check your provider's own guide before activating anything.

For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *73 to turn it off, while T-Mobile uses codes like **21*1 plus the destination for unconditional forwarding. Business systems such as Spectrum Business Voice or Vonage Business Communications manage forwarding through an online account instead of star codes. If your line runs through Google Voice, note that Google explicitly does not support forwarding a Google Voice number to an automated system, so that path will not work for this setup.

Once forwarding is on, make a test call from another phone during a covered hour to confirm it reaches the service. When you want calls back on your own phone, deactivate forwarding the same way you turned it on.

  • Forwarding steps vary by carrier; use your provider's own instructions
  • Conditional forwarding (busy or no-answer only) is a separate feature from all-call forwarding and is not supported on every line
  • Google Voice numbers cannot be forwarded to an automated answering system

Setting up after-hours coverage with AllDayDesk

Setup starts by choosing your business or entering its website so the service can pull your public details, then checking that the information is correct. Next, you hear a personalized sample of how the receptionist would answer for your business. This sample is a preview only and creates no real booking. After that, you choose your phone setup and follow the forwarding instructions for your carrier.

Before the service can book new appointments, you configure your services and availability in the AllDayDesk dashboard calendar. If you prefer Google Calendar, connect and authorize your account in Settings; that connection is optional and is the calendar integration AllDayDesk supports.

Transfers to you are also possible, but you must configure a transfer destination and rules first, and neither pickup nor an immediate response is guaranteed. Because of that, it is worth deciding in advance which call types you want transferred and which should simply be handled with the information you saved. When the service does not know an answer, a price, or an appointment detail, it takes a message with the caller's details instead of guessing.

  • Step 1: choose your business or enter its website and verify the details
  • Step 2: hear a personalized sample (no real booking is made)
  • Step 3: choose phone setup and forward your number per your carrier's steps
  • Configure services and availability so new appointments can be booked

Deciding which hours to forward

The right coverage window depends on when your callers actually call and when you can realistically answer. A plumber who handles emergency work may forward nights and weekends. A salon that is fully booked through an online calendar may only need evening coverage. A solo accountant may only want Friday afternoon and holiday coverage.

Ask yourself three questions. First, which hours do you reliably miss calls now? Second, which call types after hours need a real answer versus a message? Third, do you want new appointments booked overnight, or only messages collected until morning? Your answers shape both your forwarding schedule and how you configure services and availability.

Remember that around-the-clock availability is not a promise that every call connects, and transfers to you require a configured destination and rules. If you would rather route only the calls you miss, conditional forwarding on supported lines sends busy or unanswered calls elsewhere while normal calls still ring you first.

  • Forward only the hours you actually miss, or all closed hours
  • Decide whether overnight callers can book appointments or should leave messages
  • Check whether your line supports conditional forwarding before relying on it

AI service or human answering service for after hours

After-hours coverage comes in two broad forms. Human answering services staff phones with trained agents, and several companies offer this, including AnswerConnect with 24/7 live answering and Ruby with plans advertised starting at $245 per month as of October 2026. Smith.ai sells human receptionist plans with per-call pricing. Human services can handle judgment-heavy calls, but starting prices alone are not a full cost comparison; you need each quote's included allowance, overage rates, hours, and contract terms.

An AI receptionist like AllDayDesk answers using your saved business information, shows you transcripts and summaries in a dashboard, and books into a calendar you control. It is available around the clock, but it is honest about limits: it takes messages when it does not know an answer, and existing appointment changes come to you as requests. For a deeper side-by-side, our comparison page breaks down both options, though it compares documented features rather than hands-on tests.

Also consider what an in-house hire would mean. The Bureau of Labor Statistics describes receptionist work as including greeting visitors and office tasks beyond phone answering, so a phone service is not a full employee replacement; compare scope, not just cost.

  • Human services: real agents, quote-based pricing, verify included minutes and terms
  • AI receptionist: uses your saved business info, dashboard with transcripts and bookings
  • Neither option guarantees every call connects; ask any provider how failures are handled

More questions, answered

Do I have to give up my current business phone number?

No. You keep your public number and forward calls to the service during your closed hours. The forwarding steps depend on your phone provider, so follow your carrier's own instructions.

Can callers book appointments overnight?

Yes, once you have configured your services and availability. New appointments go to the built-in AllDayDesk dashboard calendar by default, and an optional Google Calendar connection is available in Settings after you connect and authorize your account.

What happens if a caller wants to reschedule an existing appointment?

Changes to existing appointments are passed to you as requests. The service does not confirm them on its own, so you stay in control of your schedule.

Will every after-hours call get answered?

AllDayDesk is available around the clock, but availability is not a guarantee that every call connects. When the service does not know an answer, a price, or an appointment detail, it takes a message with the caller's details instead of guessing.

My phone runs through Google Voice. Can I forward to AllDayDesk?

No. Google explicitly does not support forwarding calls from a Google Voice number to an automated system, so that path will not work for this setup.

Can the service transfer urgent calls to me at night?

Transfers are possible, but you must configure a transfer destination and rules first, and neither pickup nor an immediate response is guaranteed.
