AI phone answering for your business

After Hours Reception Service: Covering Calls When Your Office Is Closed

An after hours reception service answers your business phone during the hours you do not: evenings, overnight, weekends and holidays. You keep your regular business number and forward calls to the service only when your office is closed, so daytime callers still reach you directly. When a call comes in after hours, the receptionist greets the caller using your saved business details, answers general questions, takes messages, and can book new appointments into your calendar. You see every call, transcript, summary and booking in your dashboard. This page explains how after hours coverage works, how to decide which hours to cover, what it takes to set up forwarding, and how it compares with other options like voicemail or a human night receptionist.

What an After Hours Reception Service Does

Most owners answer their own phone during the day, and that works fine. The gap is everything outside your posted hours: the homeowner calling at 8 p.m. about a leaking pipe, the client who can only talk after their own workday ends, the weekend caller deciding which company to hire. An after hours reception service fills that gap without you hiring anyone or carrying a work phone to dinner.

AllDayDesk answers those calls around the clock using business information you save in advance: your services, prices you choose to share, service area and hours. The receptionist answers general questions, takes a message when it does not know an answer, a price or an available time, and books new appointments into your calendar once you have set up your services and availability. Every call shows up in your dashboard with a transcript and a summary, so you start each morning knowing exactly who called and what they need.

  • You keep your existing public phone number; forwarding sends closed-hours calls to the service
  • Callers hear a receptionist that knows your business details, not a generic menu
  • Messages, transcripts, summaries and bookings appear in your dashboard
  • New appointments go to the built-in AllDayDesk calendar by default; an optional Google Calendar connection is available in Settings after you connect and authorize your account
  • Changes to existing appointments are passed to you as requests, not confirmed changes

Deciding Which Hours to Cover

After hours coverage is a supplement to your daytime answering, not a replacement for it. Start by writing down your actual posted hours, then look at when you realistically stop picking up. A plumber who lists 8 a.m. to 5 p.m. may really stop answering at 4:30 when heading into an evening job. Your coverage should start when your real availability ends, not when your sign says it does.

Consider three patterns. Evening-only coverage suits businesses whose callers are mostly other businesses or homeowners with daytime availability. Evening plus weekend coverage fits home services, where weekend calls are common. Around-the-clock coverage, including overnight, fits businesses whose customers genuinely call at any hour. You can start narrow and widen later; the setup is the same either way.

  • Map your real answering habits, not just your posted hours
  • Evening-only is the simplest starting point for most service businesses
  • Weekend coverage matters most where customers book on their days off
  • Overnight coverage makes sense when callers expect a response before morning
  • If Saturdays and Sundays are your main gap, our weekend answering service page covers that pattern in detail. weekend answering service

Setting Up Forwarding for Closed Hours

Setup starts by choosing your business or entering its website, checking the details the service pulled in, hearing a personalized sample call, and then choosing phone setup. The sample lets you hear how your receptionist sounds before anything goes live, and it creates no real booking. You keep your public number throughout; callers dial the same number they always have.

How you forward depends on your phone service, and the instructions differ by carrier and product. On Verizon mobile, for example, you activate all-call forwarding by dialing *72 plus the 10-digit destination and turn it off with *73, done from the phone itself. T-Mobile uses short codes like **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. On Spectrum Business Voice, forwarding is managed by signing in to SpectrumBusiness.net, opening Voice, choosing your number and using Voice Settings or Forwarding Manager to pick unconditional or busy/no-answer forwarding. Identify your exact product first, because codes that work on one service often do nothing on another.

One important limit: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible path. If your carrier is not listed here, check its support pages or ask its support team which forwarding options your specific plan includes.

  • Verizon mobile: *72 plus destination to activate all-call forwarding, *73 to disable (verizon-wireless)
  • T-Mobile: **21*1 then destination and # for unconditional forwarding, ##21# to disable (tmobile)
  • Spectrum Business Voice: manage forwarding in the SpectrumBusiness.net portal under Voice Settings or Forwarding Manager (spectrum-business)
  • AT&T Phone for Business: *72, destination, # for all calls; *92 for no answer; *90 for busy (att-business)
  • Google Voice numbers cannot be forwarded to an automated system (google-voice-routing)
  • Test by placing a real call to your business number after activating forwarding

What Happens on an After Hours Call

When a caller reaches the service after hours, the receptionist greets them and uses your saved business information to answer what it can: what you do, your service area, the prices you have chosen to share, and your hours. For new appointments, it checks the availability you configured and books the slot into your calendar. If it does not know an answer, a price, or an open time, it takes a message instead of guessing.

Transfers work differently from messages. If you configure a transfer destination and rules, the receptionist can attempt to pass a caller to you, but neither pickup nor an immediate response is guaranteed, so it is best treated as one tool among several rather than a promise. Changes to appointments that already exist are collected as requests for you to review and act on; the service does not confirm those changes on its own. In the morning, your dashboard shows every call with its transcript and summary, plus any bookings and requests waiting on you.

  • General questions are answered from your saved business details
  • New bookings go into your configured calendar; existing-appointment changes are requests for you
  • Unknown answers, prices or times become messages rather than guesses
  • Transfers require a configured destination and rules, and pickup is not guaranteed

Comparing Your After Hours Options

You have a few realistic ways to handle closed-hours calls, and each trades cost, effort and coverage differently. Voicemail is free but puts all the work on the caller, who may simply hang up and call a competitor. A human night receptionist or a live answering service gives you a person on the line; human services vary in price and hours, and published starting prices can be high, so verify what any quote includes. AllDayDesk is this site's own product: an AI receptionist that answers around the clock using your saved business details, with plans priced per month and per minute.

This comparison is based on documented features and published prices, not hands-on testing of every service. Human virtual receptionist services we checked advertise starting prices such as $245 per month (Ruby) and per-call pricing (Smith.ai), but starting prices alone are not a full cost comparison; included allowances, overages, hours and contract terms all matter. AllDayDesk pricing is displayed separately on this page and is not written into this comparison.

  • Voicemail: no monthly cost, but callers get no answers and no booking
  • Human night receptionist or live service: a person answers; cost and coverage vary by provider and plan
  • AllDayDesk: AI receptionist answering around the clock from your saved details, with dashboard transcripts and booking

Getting Started

Getting started takes a few decisions rather than a long project. Pick the hours you want covered, gather the business details you want shared after hours, and decide where new bookings should land. Then set up the service by choosing your business or entering its website, reviewing the pulled details, listening to the personalized sample, and choosing your phone setup. Forward your number for the hours you chose, place a test call to confirm forwarding works, and check the dashboard to see how the call was handled.

A practical tip: start with evening coverage only for the first week or two. Review the transcripts, adjust any business details that led to wrong answers, and widen your coverage once you trust the setup. Because daytime calls still come to you directly, you can change or remove forwarding at any time without touching your public number.

  • Choose coverage hours and the business details you want shared
  • Set up services and availability so new bookings have somewhere to land
  • Activate forwarding for your chosen hours and test with a real call
  • Review dashboard transcripts and summaries, then widen coverage if it fits

More questions, answered

Do I have to change my business phone number?

No. You keep your existing public number and forward calls to the service during the hours you choose. Daytime callers reach you exactly as they do now.

Can callers book appointments overnight?

Yes, once you have configured your services and availability. New appointments go into the built-in AllDayDesk dashboard calendar by default, and an optional Google Calendar connection is available in Settings after you connect and authorize your Google account.

What if the receptionist does not know the answer or the price?

It takes a message instead of guessing. You see the message, along with the full transcript and summary, in your dashboard.

Can after-hours callers reach me directly in an emergency?

Only if you configure a transfer destination and rules. Even then, pickup and an immediate response are not guaranteed, so treat transfers as one option rather than a promise.

Does this work with my carrier?

Forwarding instructions depend on your specific phone service and product, and they differ between carriers and even between products from the same carrier. Check our carrier guides or your provider's support pages for your exact service. Note that Google Voice does not support forwarding to automated systems.

Will I know what was said on each call?

Yes. Every call appears in your dashboard with a transcript and a summary, plus any bookings or appointment-change requests waiting on you.
