AI phone answering for your business

After Hours Telephone Answering Service

An after hours telephone answering service picks up your business line during the hours you are not available, such as evenings, overnight, weekends, and holidays, while you keep answering your own phone during the day. Calls are forwarded using a code or setting from your phone provider, and the service answers with your saved business information, takes messages, and can book new appointments. This page explains how after hours coverage works, how to turn forwarding on and off, and what to compare.

How After Hours Answering Works

The idea is simple: during business hours your phone rings at your desk or cell as usual. Outside those hours, your phone provider forwards incoming calls to the answering service instead. The service answers in your business name, uses information you have saved about your services and policies, and handles each call by answering questions it can, taking a message when it cannot, and booking new appointments when your services and availability are configured.

With AllDayDesk, setup starts by choosing your business or entering its website, checking the details it found, and hearing a personalized sample of how your calls would be answered. The sample is a demonstration only and does not create a real booking. After that, you choose how to connect your phone. You keep your public number; forwarding instructions depend on your phone service, so check with your provider for the exact steps.

Everything the service handles shows up in your dashboard: each call, its transcript, a summary, and any appointment booked. New appointments go on the built-in AllDayDesk calendar by default. If you prefer Google Calendar, you can connect and authorize your Google account in Settings as an optional step.

  • You keep your existing business number; forwarding sends after hours calls to the service
  • The service answers using your saved business information, not a generic script
  • When an answer, price, or appointment slot is unknown, the caller is asked to leave a message
  • Calls, transcripts, summaries, and bookings are visible in your dashboard
  • Existing appointment changes are passed to you as requests, not confirmed changes

Turning Forwarding On and Off for Evenings and Weekends

Forwarding is controlled by your phone provider, not by the answering service. Most providers offer two kinds. All-call forwarding sends every incoming call to the destination, which works if you plan to flip it on when you close and off when you reopen. Conditional forwarding, sometimes called no-answer or busy forwarding, only sends calls that you do not pick up, which fits owners who still answer some calls after hours themselves.

The exact steps depend on your service, so identify your product first. As examples from provider documentation: Verizon mobile uses *72 plus the destination for all calls and *71 for unanswered calls, with *73 to disable. T-Mobile uses codes like **21*1 plus the destination for unconditional forwarding and **61*1 for no-reply forwarding. AT&T Phone for Business uses *92 for no-answer forwarding and *90 for busy forwarding, while AT&T Collaborate uses *92 and *62 for the same conditions with different disable codes. Spectrum Business Voice manages forwarding through the SpectrumBusiness.net portal rather than star codes. These examples show why checking your own provider's guide matters: similar products from the same company can use different codes.

One important limit: Google Voice explicitly does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice line is not a compatible path to an AI answering service. If your number is with a provider not listed here, ask their support whether forwarding to an outside number is supported on your plan, and whether conditional forwarding is available if you want calls to ring you first.

  • All-call forwarding: every call goes to the service until you turn it off
  • No-answer or busy forwarding: calls ring you first and only forward if unanswered
  • Verify forwarding by placing a test call from another phone
  • Turn forwarding off the same way you turned it on, using your provider's disable code or portal
  • Forwarding applies to calls only, not texts, on many mobile plans

What an After Hours Service Can and Cannot Do

A good after hours service handles the routine calls that come in when you are closed: questions about your hours, services, location, and pricing that you have saved, plus new appointment requests. When a caller asks something the service does not have an answer for, such as a custom quote or a situation outside your saved information, it takes a message so you can follow up the next day.

Transfers to you are possible, but you have to configure a destination number and rules for when transfers happen, and neither that the call is picked up nor that you respond immediately is guaranteed. Changes to existing appointments are collected as requests for you to review, not confirmed changes, so you stay in control of your schedule.

It is also worth being clear about scope. An answering service is not a connection to dispatch software, CRM systems, health records, or industry scheduling tools. The supported calendar options are the built-in AllDayDesk dashboard calendar and, optionally, Google Calendar after you connect and authorize your account in Settings.

  • Answers routine questions using your saved business information
  • Books new appointments once services and availability are configured
  • Takes messages when an answer or price is unknown
  • Passes existing-appointment changes to you as requests
  • Transfers require a configured destination and rules, with no guaranteed pickup

What After Hours Coverage Costs

Pricing for answering services generally follows one of two models: a monthly plan with included minutes or calls, or per-call pricing. Human receptionist services often start higher; for example, Ruby advertises plans starting at $245 per month as of October 2026, and Smith.ai uses per-call pricing for its human receptionist service. Starting prices alone are not a full comparison, since included allowances, overage rates, hours, and contract terms all affect the real cost.

AllDayDesk plans are shown with pricing displayed separately on this site. Each plan includes a set number of minutes per month with a per-minute rate for overages, so the right plan depends on how many after hours minutes your business actually uses. A shop that gets a handful of evening calls fits a smaller plan than a busy clinic taking overnight calls all week.

When comparing quotes from any provider, ask what happens when you exceed the included allowance, whether the service covers only the hours you forward or the whole week, and whether there are setup or cancellation fees.

  • Compare included minutes or calls, not just the starting price
  • Check the overage rate for minutes beyond your plan
  • Human services like Ruby and Smith.ai publish their own pricing; verify current quotes directly
  • Match your plan size to your actual after hours call volume

How to Decide If After Hours Coverage Fits Your Business

After hours answering makes the most sense when callers expect a response outside your working hours but the calls themselves can wait until morning, or when you want new customers to be able to book without waiting for you to open. A plumber whose evening callers have a burst pipe has different needs than an accountant whose after hours callers are leaving routine questions, so think about what your after hours callers actually want.

Use these criteria when deciding between options, including AllDayDesk, which is the product on this site. Note that this comparison is based on documented features, not hands-on testing of every service.

Questions to ask any provider, including us:

  • Does the service answer using my specific business information, or a generic script?
  • Can I hear a sample of how my calls would be answered before committing?
  • How do I see what happened on each call, and are transcripts and summaries included?
  • What happens when the service cannot answer a question or find an appointment slot?
  • How does booking work, and which calendars are supported?
  • What are the included minutes, overage rates, and any contract terms?

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to the service using your phone provider's forwarding feature. The steps depend on your provider and product, so confirm the exact instructions with them.

Will callers know they reached an answering service instead of me?

The service answers in your business name using the information you saved. You can check the details it found during setup and hear a personalized sample before calls are forwarded, so you know how callers will be greeted.

Can it book appointments into my existing calendar?

New appointments go on the built-in AllDayDesk dashboard calendar by default once you have configured your services and availability. You can optionally connect Google Calendar in Settings after authorizing your Google account. Other calendars and industry scheduling software are not supported connections.

What if someone calls about changing an appointment they already have?

Changes to existing appointments are passed to you as requests. They are not confirmed automatically, so you review and handle them yourself.

Can the service transfer urgent calls to my cell phone?

Transfers are possible after you configure a destination number and rules for when transfers happen. Pickup and immediate response are not guaranteed, and when a question, price, or appointment is unknown, the service takes a message instead.

Does after hours coverage include holidays?

The service is available around the clock, so it covers whatever hours your calls are forwarded, including holidays. Availability around the clock is not a guarantee that every call connects, and forwarding still depends on your phone provider working correctly.
