What AI phone answering actually does

An AI phone answering service is software that answers calls in place of you. It is not a person in a call center — it is an automated receptionist trained on the information you save about your business, such as your services, hours, and service area.

When a caller reaches it, the AI greets them, answers questions it can answer from your saved details, and handles routine requests. If a caller asks something the AI doesn't know — an unusual price, a special request, or a question outside your saved information — it takes a message so you can follow up yourself.

Everything the AI does shows up in your dashboard: each call, its transcript, a short summary, and any appointment booked. You can review calls at any time instead of relying on memory or sticky notes.

You keep your existing phone number

You do not need a new number or a new phone system. You keep your public business number and forward calls to AllDayDesk. The forwarding instructions depend on your phone provider, so setup includes choosing how your phone service forwards calls.

For example, Verizon mobile customers activate all-call forwarding by dialing *72 plus the 10-digit destination, and turn it off with *73. T-Mobile uses **21*1 followed by the destination and # for unconditional forwarding, with ##21# to disable. Comcast Business manages forwarding through its My Account portal or app, and features depend on which Comcast service you subscribe to. Always confirm the exact steps for your specific service — codes differ between a carrier's wireless, landline, and business products.

One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so a Google Voice number is not a compatible forwarding source.

How setup works

Setup starts by choosing your business or entering its website. AllDayDesk checks the details it finds — services, hours, and contact information — and you review them to make sure they're accurate.

Next, you hear a personalized sample call so you know exactly how your receptionist will sound before any real caller reaches it. The sample is a demonstration only; it does not create a real booking.

Finally, you choose your phone setup option and follow the forwarding instructions for your provider. Once calls are forwarding, the AI answers using the details you confirmed.

Appointments and calendars

New appointments booked by the AI go on the built-in AllDayDesk dashboard calendar by default. This works once you have configured your services and availability in the dashboard.

If you prefer, you can optionally connect Google Calendar in Settings. After you connect and authorize your Google account, bookings can use that calendar. Other calendar programs and industry scheduling software are not supported connections.

Changes to existing appointments are different from new bookings: the AI passes those requests to you as a message rather than confirming the change itself. You stay in control of your schedule.

Transfers and messages

Sometimes a caller needs a person. The AI can transfer calls to you, but only after you configure a transfer destination and the rules for when transfers happen. A transfer is not guaranteed to connect — if you're unavailable, the call may not reach you, so configure destinations you can actually answer.

For everything else, the AI takes ordinary messages. When it doesn't know an answer, a price, or an available time, it collects the caller's information so you can respond. This applies to any question outside your saved business details — the AI would rather take a message than guess.

AI answering compared with other options

AI phone answering is one of several ways to handle calls.
