AI phone answering for your business

AI Phone Answering Service

An AI phone answering service uses software instead of a person to answer your business calls around the clock. AllDayDesk answers calls using the business information you save, takes messages when it does not know an answer, and books new appointments on a built-in calendar. You keep your existing phone number by forwarding calls, and setup starts by entering your business and hearing a personalized sample.

How it works

Set up your business receptionist

01

Add your business

Choose your business or enter its website. Check the services, hours, and details callers need.

02

Hear your receptionist

Listen to a sample for your business and check its answers. The sample does not create a real booking.

03

Connect your phone

Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.

Review calls, messages, and bookings in your dashboard.

What an AI phone answering service does

An AI phone answering service is software that picks up calls made to your business line and talks with the caller. Instead of a person at a desk, a computer voice greets the caller, answers questions using information you have saved about your business, and records what was said.

With AllDayDesk, the assistant works from your saved business details. When a caller asks something the assistant does not know — like a price you have not listed or a question about a specific appointment — it takes a message for you instead of guessing. Calls, transcripts, summaries, and bookings appear in your dashboard, so you can review what happened even if you were on a job site or asleep.

One important limit: booking new appointments works through the built-in AllDayDesk calendar, and only after you have set up your services and availability. If you want appointments on Google Calendar instead, you can connect and authorize your Google account in Settings. Changes to existing appointments are passed to you as requests — the assistant does not confirm them on its own.

  • Answers calls at any hour using your saved business information
  • Answers what it can and takes a message when it cannot
  • Books new appointments on the AllDayDesk calendar, or Google Calendar if you connect it in Settings
  • Shows calls, transcripts, summaries, and bookings in your dashboard
  • Forwards calls to you when you configure a transfer destination and rules

How AI answering compares with a human answering service

Both kinds of service answer calls when you cannot. The difference is who — or what — is on the line. Human services like Ruby, AnswerConnect, and Smith.ai's receptionist plans staff real people who handle calls, often around the clock. Pricing for those services varies: Ruby advertises plans starting at $245 per month as of October 2026, and Smith.ai prices its human receptionist plans per call, so you need a current quote to compare real costs.

An AI service answers with software. AllDayDesk pricing is shown on the plans page — compare it against a current quote from any human service, since human plans vary with call volume and included allowances. Cost is one difference, but so is scope: an AI assistant follows your saved instructions exactly, takes messages when unsure, and never calls in sick. A human service can handle judgment calls and open-ended conversations differently. Neither approach guarantees that every single call connects, and transfer behavior depends on how you configure destinations and rules.

If you want a deeper side-by-side, including how an AI receptionist compares with hiring an in-house receptionist, we cover that separately.

  • Human services: real people, quotes vary by plan and call volume
  • AI services: software answers from your saved business details
  • AllDayDesk pricing is on the plans page — compare it against a quote from any human service
  • Neither type guarantees every call connects or that transfers are picked up
  • An in-house receptionist does far more than answer phones, so compare scope, not just cost

Keeping your phone number with call forwarding

You do not need a new phone number. You keep your public number and forward calls to AllDayDesk. The exact steps depend on who provides your phone service, because each carrier uses its own codes or portal.

For example, Verizon mobile uses *72 plus the destination number for all-call forwarding and *71 for unanswered calls, while T-Mobile uses codes like **21*1 followed by the destination. Comcast Business, Spectrum Business, Vonage, Frontier, and Optimum each have their own procedures, often through an online portal rather than star codes. One known limit: Google Voice does not support forwarding calls to an automated system, so a Google Voice number cannot be forwarded to AllDayDesk.

Our carrier guides walk through the verified steps for major providers. If your provider is not listed, contact them to ask whether conditional or all-call forwarding is supported on your specific plan before you sign up for any answering service.

  • You keep your existing public phone number
  • Forwarding instructions differ by carrier and product — identify your exact service first
  • Verizon mobile: *72 for all calls, *71 for unanswered, *73 to disable
  • T-Mobile: **21*1 plus destination for unconditional forwarding, ##21# to disable
  • Google Voice numbers cannot be forwarded to an automated answering system

How to set up AllDayDesk

Setup starts with your business information. You choose your business from a list or enter its website, then check that the details the service pulled are accurate. Next, you hear a personalized sample of how the assistant would sound answering for your business — this sample does not create any real booking, it just lets you preview the experience.

After you are satisfied, you choose your phone setup option. That is where forwarding comes in: you follow the instructions for your phone provider so calls reach the assistant. Once you have configured your services and availability, new callers can book appointments directly on the built-in AllDayDesk calendar, or on Google Calendar if you connect and authorize your account in Settings.

From then on, you check the dashboard to see calls, read transcripts and summaries, review bookings, and handle any messages or appointment-change requests the assistant collected for you.

  • Enter your business or website and verify the details
  • Listen to a personalized sample — no real booking is made
  • Choose phone setup and forward your existing number
  • Configure services and availability so new appointments can be booked
  • Optionally connect Google Calendar in Settings
  • Review calls, transcripts, summaries, and bookings in the dashboard

Is an AI answering service right for your business?

An AI answering service fits well when calls mostly involve predictable questions — hours, services, pricing you have listed, and booking new appointments — and when you want coverage outside the hours you can personally answer. Owner-operated businesses like plumbers, HVAC contractors, salons, and law firms often fit this pattern, since the owner is usually the one answering the phone and cannot always pick up.

It may be a weaker fit if most of your calls need human judgment, sensitive intake, or back-and-forth negotiation. The assistant takes a message rather than guessing, so those calls still reach you — but the conversation itself happens later, between you and the caller. Also note that transfers to you only work if you configure a destination and rules, and a transfer is not guaranteed to be picked up or answered immediately.

A practical way to decide: list the ten most common calls your business gets. If most could be answered from a written list of your services, prices, and availability, an AI service handles them well. If most need a conversation with a person, compare human services instead.

  • Good fit: routine questions, messages, and new appointment booking
  • Weaker fit: calls needing human judgment or sensitive intake
  • Unknown answers and prices become messages, not guesses
  • Transfers need configured destinations and rules, with no pickup guarantee
  • Most owners answer their own phones, so coverage gaps are the problem to solve

More questions, answered

Do I have to change my business phone number?

No. You keep your public number and forward calls to AllDayDesk. The forwarding steps depend on your phone provider, and our carrier guides cover the major ones.

Can it book appointments on my Google Calendar?

New appointments go on the built-in AllDayDesk calendar by default, once you have configured your services and availability. Google Calendar is an optional connection: you connect and authorize your Google account in Settings if you want to use it.

What happens when the assistant does not know an answer?

It takes a message for you instead of guessing. You see the message, along with the call transcript and summary, in your dashboard.

Can it change an existing appointment for a caller?

Changes to existing appointments are sent to you as requests. The assistant does not confirm those changes on its own — you decide and act on them.

Can I forward a Google Voice number to it?

No. Google states that forwarding calls from a Google Voice number to an automated system is unsupported, so Google Voice numbers cannot be forwarded to AllDayDesk.

Can it transfer urgent calls to my cell phone?

Transfers are possible, but only after you configure a transfer destination and rules. A transfer is not guaranteed to be picked up or answered immediately, so the assistant also takes messages as a normal part of handling calls.
