AI phone answering for your business
An AI receptionist for property management is a phone assistant that answers calls for your office around the clock using the business details you save. It can share information about your services, take messages, and book new appointments on a calendar you set up. You keep your current phone number by forwarding calls to the service, and the exact forwarding steps depend on your phone provider. It is not a human receptionist: when a caller asks something you have not saved, or wants to change an existing appointment, the assistant takes a message for you instead of guessing. Transfers to you only happen if you configure a destination and rules, and a pickup is not guaranteed. Everything the assistant handles, including transcripts, summaries, and bookings, shows up in your dashboard so you can follow up.

How it works
Choose your business or enter its website. Check the services, hours, and details callers need.
Listen to a sample for your business and check its answers. The sample does not create a real booking.
Follow the steps for your phone service. Set up booking availability and any call transfers you want to use.
Review calls, messages, and bookings in your dashboard.
AllDayDesk answers business calls around the clock using the information you save about your property management company. During setup, you either pick your business or enter its website, check the details it found, and hear a personalized sample of how your calls would be answered. The sample is a preview only and does not create a real booking.
Once you are live, callers hear an assistant that knows your saved business details. It can answer general questions, take messages, and book new appointments. New appointments go to the built-in AllDayDesk dashboard calendar by default, once you have configured your services and availability. If you prefer, you can optionally connect Google Calendar in Settings after connecting and authorizing your Google account.
Every call leaves a record. You can review transcripts, summaries, and bookings in your dashboard, so you always know who called, what they asked, and what needs your attention.
Knowing the limits helps you decide whether this fits your office. An AI receptionist is not a person, and it will not pretend to know things it does not. Here is the honest scope:
Existing appointment changes are handled as requests for you, not confirmed changes. If a tenant or owner calls to move a showing or reschedule, the assistant records the request so you can approve it.
You do not need a new phone number. You keep your public number and forward calls to AllDayDesk. The forwarding instructions depend on your phone service, so check which product you actually have before entering any codes.
Examples from provider documentation: Verizon mobile uses *72 plus the 10-digit destination for all calls, *71 for unanswered calls, and *73 to turn forwarding off, set from the phone while in Verizon coverage. T-Mobile uses **21*1 plus the destination and # for unconditional forwarding, with separate codes for no-reply, unreachable, and busy conditions. AT&T Phone for Business uses *72, destination, # for all calls and *92 for no-answer forwarding. Spectrum Business Voice manages forwarding in the online portal under Voice Settings or Forwarding Manager rather than with star codes.
One important exception: Google Voice does not support forwarding calls from a Google Voice number to an automated system, so that path will not work. If you are unsure about your provider, our forwarding guides walk through the major carriers, and your provider can confirm what your specific plan supports.

Property managers generally choose between an AI receptionist, a human-staffed answering service, or an in-house employee. Each has trade-offs, and the right choice depends on your call volume, budget, and how much judgment your calls need.
Human services, such as Ruby, AnswerConnect, and Smith.ai's live receptionist plans, put trained people on your calls. That helps with nuanced conversations, but pricing varies: Ruby advertises plans starting at $245 per month as of October 2026, and Smith.ai uses per-call pricing that depends on the needs you select. Always compare the current quote, included allowance, overage rates, hours, and contract terms. Note that Smith.ai also sells a separate AI receptionist product with its own escalation features; that is their offering, not AllDayDesk's.
An in-house receptionist does far more than answer phones. Federal occupational data shows reception duties include greeting visitors and office tasks beyond the phone, so a phone service is not a full employee replacement. Human coverage and fees also vary by service and plan, so it is not accurate to say people always cost more or only work business hours.
This comparison is based on documented features and published pricing pages, not hands-on testing of each provider. AllDayDesk, the product on this site, is the AI option: it answers around the clock using your saved details, takes messages when unsure, and books new appointments on your configured calendar.

Use these questions to decide:
If your calls are mostly routine questions, maintenance requests that need a message taken, and new-appointment requests, an AI receptionist covers that pattern well. If most calls need judgment calls about leases, disputes, or emergencies that require a person immediately, weigh a human service or a hybrid approach. You can also start with AllDayDesk, hear the personalized sample during setup, and judge the fit from the dashboard records after your first weeks.
